HAMPTON ELECTORAL BOARD Meeting Minutes March 2, 2022 Opening The Electoral Board meeting was called to order by the Chair, David Dietrich, at 10:11 a.m. Present David Dietrich, Chair; Rebecca Winn, Vice Chair, Margaret Wilson, Secretary and Tara Morgan Registrar. Also present was Jim Avery, Democratic Party. Minutes Corrections were made to the November 5, 2021 minutes to add Michael Wade as present; correct time to Absentee canvass was not completed until 6:00 p.m. and corrections to the February 2, 2022 minutes to remove HR and Finance from paragraph five and correct the spelling of the last name of Judge Gayton to Gaten. The minutes were approved as corrected. Open Issues Vice Chair Rebecca Winn stated business cards had been ordered Electoral Board members. The Registrar stated out of responses received from Officers of Election for continuance of service were 25 for Republicans. 43 for Democrats and 41 nonpartisan giving a total of 109 Election of Officers currently available. There 21 responses indicating they would not be returning. There was a suggestion that Congratulatory Letters be sent by end of March to those who will be returning as Officers of Election. The letters will give the potential dates of June 21 for the primary election and November 8th for major election. The Registrar stated a request will be given to both the Chair of the local Political parties to meet with the Electoral Board on March 10, 2022 at 6:00 p.m. for their assistance in recruiting new Officers of Election. The staff will put together a packet to be distributed at this meeting on information required to serve as a Officer of Election. Dinner will be served. The Registrar stated a contract from KNOWINK has been forwarded to the City Procurement and Budget Departments. Registration for the Electoral Board Annual Conference has been submitted for Board members to attend. New Business The Chair has requested Board minutes begin on time. In addition, it was noted that there are no specified duties for Electoral Board members except the Secretary. It was suggested it could be mentioned at the upcoming Electoral Board Conference. The Chair also stated that private election funding is prohibited. The following subjects were discussed: The named of deceased voters information list should be reported weekly. Redistricting waiver to prohibit change in polling places has to be greater than a mile. Absentee ballots to be counted by Precincts Absentee ballots will be verified by last four social security number rather than by signature. The Board of Elections will be listed as the State Board of Elections Adjournment The meeting was adjourned at 11:41 a.m.
