Meeting Minutes
June 24, 2022
Opening
The Electoral Board meeting was called to order by the Secretary, Margaret Wilson, at
1:12 pm.
Present
Acting Chair, Matt Scott, Vice Chair, Rebecca Winn, Secretary, Margaret Wilson and
Registrar, Tara Morgan.
Minutes
The May 2022 minutes were approved as presented.
Open Issues
There was a discussion on the telephone contact number for the custodians at the
school precincts. The School Administration had to be contacted at 5:00 a.m. because
some of the schools were not opened at the designated time frame. This issue will be
on the list during a meeting with the School Superintendent prior to the November
election.
Due to the Junetheenth holiday, the precincts were closed on the Monday before the
Primary election. Consequently, delivery of equipment was completed on Wednesday
through Friday the week before the election.
The Mallory precinct was without air condition, however, Facilities was able to place
fans in the polling area. This will be added to list for the School Superintendent.
It was discovered by the Phenix Precinct Chief on the day before the Primary election
that there had been a party the day before and the equipment had been moved and
there a lot of trash left. After several telephone calls, it was found responsibility of Park
and Recreation for the Kenny Wallace Center which is where the Precinct is located.
However, a Utilities representative cleaned up the Center and the Chief was able to be
prepared for the Primary on time.
It was indicated at this time that Thomas, Lindsay, Kenny Wallace and the Library are
the responsibility of Parks and Recreation.
There was a brief discussion on the possibility of an investment to purchase cages to
place the equipment when delivering them to each precinct.
The Registrar stated a Absentee Coordinator will be hired prior to the November
election.
In answer to a question about changing the names of the school precincts that has been
made during the school year. The Registrar stated this issue would have to be
addressed to the City Attorney.
It was noted that the Tyler and Phillips precincts have experienced some electrical
issues which also will be during the meet with the School Superintendent.
Changing the polling area at Kecoughtan was discussed with the principal however no
decision was made as of this time. It was stated the primary was held in the cafeteria
with no problem
