A motion to approve the remote participation of Randy as a phone attendee for this meeting was made by Frank and seconded by Sallie. All voted and the motion passed unanimously. Randy subsequently joined in person at approximately 12:50. Jim W. left the meeting at approximately 12:30. A motion to accept the April 3 meeting minutes was made by Jim W. and seconded by Sallie. All voted and the motion passed unanimously. Melissa presented the Treasurer’s report including expenses of $10,902 and a balance of $210,233. A motion to accept the report was made by Jim W. and seconded by Jim G. All voted and the motion passed unanimously. Garth provided an Anniversary Expense Reconciliation. The Board previously approved an expense of up to $5,000.00 including pictures, game tickets for guests, and reimbursing Community Baseball for meal and guest expenses. The total amount spent was $4,313.00; with a reimbursement to Community Baseball of $3,188.00. A motion to change the July Board meeting to July 10 was made by Wayne and seconded by Melissa. All voted and the motion passed unanimously. Locker Room Renovations Woolpert presented a revised drawing that preserved the mini wiffle ball field and met other expectations. The board discussed the revised drawing and footprint which includes 40 lockers for both 2 6/11/2023 home and visiting teams, umpire dressing/locker rooms, coach dressing/locker rooms, training room, weight room, laundry, mechanical room, and team lounge. The board requested that Woolpert move forward with a detailed design drawing using the revised layout and consider the removal of the left side corridor. A motion endorsing the revised drawing with the item noted above was made by Garth and seconded by Sallie. Jim G. abstained; all others voted, and the motion passed unanimously. History Wall • The two large Stadium History Displays have a target completion date of July 9, 2023. • The contract work is underway by Riggs-Ward Desing. They are waiting for high resolution photos from the Daily Press. • This is a City of Hampton led project. Bookkeeping and Future Audit We received one proposal pursuant to our RFP for Bookkeeping Services. The first step is to have auditable financial statements – with the support of a bookkeeper/accountant. The second step will be to perform a financial audit; this second step will require another RFP and an independent firm. We are currently reviewing the proposal. Peninsula Pilots Updates • Thanks to Randy for supporting Fireworks on the Field. • Pilots noted Police and Security presence at games. • Several city representatives noted the scoreboard malfunction and the need for a new scoreboard. • Received no negative comments about traffic barricades. This is for fan safety. • The stadium was host to more than 10 games over the 1st weekend in June; including the Pilots, high school playoffs, and travel ball teams. • Desire to clean up area around the old concession stand including the “cooking tent”. New hood or other fire suppression systems is needed to cook indoors or in screened in porch. • Fan update – drawings/permit have been provided by the contractor to the city. Angela and Dave are researching. • Gap at the top of the backstop screen appears to be a few feet short; foul balls can pop over. This appears to be a 2024 project as we do not see a short-term fix. July Meeting • Project listings from 2022 and 2023 were distributed to all board members. The July meeting will be dedicated to reviewing 2024 project priorities. The Chair adjourned the meeting at 1:00 p.m. Next regular meeting on July 10, 2023, at 12:00 (noon) War Memorial Stadium.
