Minutes The ending time for the April 6 meeting minutes was corrected. A motion to accept the corrected April 6 meeting minutes was made by Randy and seconded by Jerri. All voted and the motion passed unanimously. Treasurer’s Report On Melissa’s behalf, Garth presented the Treasurer’s report that included two approved expenses totaling $10,728 (one reimbursement to Pilots for fire panel installment plus one Intuit QuickBooks invoice - $55) and $3 income with a balance of $178,768. A copy of the summary report was provided to the secretary. A motion to accept the report was made by Garth and seconded by Jerri. All voted and the motion passed unanimously. Chair Report Wayne shared two updates with the board related to our annual Johnson Controls contract and the City Manager’s recommended budget for FY25. We have an annual monitoring and inspection contract with Johnson Controls – we are now in the second year of the contract and are able to adjust the scope of the agreement to remove the extended 2 5/20/2024 services for this year (since the new panel will be under warranty for one year). Therefore, our costs for this year will be just $1,100 for the year (instead of $1,700). With respect to the City Manager’s recommended budget for the upcoming fiscal year, it includes a recommendation to provide funding in the amount of $160,500 to the PSA. This is funding we use for ongoing costs such as Johnson Controls and for the winter projects. Please note this is not the final budget, but what the City Manager is recommending. Council’s final budget hearing is later this week. Action Item Next, we have an action item related to a Pilots reimbursement request for the protective netting for the New Scoreboard. A motion to reimburse the Pilots $11,970 for the protective netting was made by Randy and seconded by Ruth. All voted and the motion passed unanimously. Opening Day & 2024 Season Discussion • Opening day is Thursday, May 23 with fireworks on Friday. • Al Hoilman (History Museum) has had issues with obtaining high quality pictures and team logos for the history wall panels and banners. He is diligently working on a resolution but did not commit to being completed by opening day. • The 2024 opening day video with various speakers (City, PSA, and Pilot leadership) will be viewed on the new scoreboard as part of opening ceremonies. • Randy is coordinating an Honor Guard. • Picnic for PSA and City leadership starts at 5:30 and moves to the field around 6:15. • Karla is presenting the National Anthem. • Wayne / Matt will coordinate 1st pitches and other field details. (City Projects Update) Scoreboard & Locker Room Locker Room – City staff has asked the contractor to provide the package for bid request. Scoreboard – Installed and operating - completing training and final system bugs. Winter Project Update Winter projects are being completed in next two weeks, prior to opening day. Additional preseason discussions followed: • Bollards to be installed 1st week of May • Backstop net in progress • Roof leaks to be fixed 1st week of May • Kitchen final inspections • No parking at Emergency Gate (painting lines, etc.) • Additional parking discussions o A motion to spend $500 for no parking signage was made by Garth and seconded by Randy. All voted and the motion passed unanimously. The signage is intended to help with the new parking space design presented by McCord. o Pilots to contact/notify HPD for ‘keep check’ and other safety matters on opening day as well as firework nights. 3 5/20/2024 Winter Projects 2024/25 Garth provided a list of potential projects to board members to jumpstart thinking about next year’s winter projects. We will discuss priorities at the June meeting. Peninsula Pilots Updates The following highlight was provided by the Pilots and Community Baseball, LLC (CB LLC): • Season tickets are on sale New Business It was brought to the Boards attention that one of the new gates was broken. A motion to spend up to $1000 for repairing the gates was made by Garth and seconded by Jerri. All voted and the motion passed unanimously. No other new business. The Chair adjourned the meeting at 1:07 p.m. Next regular meeting is June 3, 2024, at 12:00 (noon) at War Memorial Stadium.
