Minutes A motion to accept the June 3 meeting minutes was made by Randy and seconded by Ruth. All voted and the motion passed unanimously. August Meeting Date Next on the agenda is the scheduling of the August meeting. A motion to move the meeting date to July 29 at 2:00 pm was made by Randy and seconded by Garth. All voted and the motion passed unanimously. Election of PSA Officers * Melissa arrived at 12:05. Angela led the meeting for the nomination and election of the PSA Board Chair. A motion to nominate Wayne as Chair was made by Randy. All voted and the motion passed unanimously. Once elected, Angela turned the meeting back to Wayne. A motion to nominate Garth as Secretary was made by John. All voted and the motion passed unanimously. 2 7/8/2024 A motion to nominate John as Treasurer was made by Wayne. All voted and the motion passed unanimously. Wayne thanked Melissa for her role as the PSA Treasurer for 2 years. Treasurer’s Report Melissa presented the Treasurer’s report that included seven approved expenses totaling $16,759 (reimbursement to Pilots for batters eye replacement - $1,997; reimbursement to Pilots for roof and press box repairs - $9,000; Johnson Controls invoices (annual monitoring, fire control replacement (second installment), and annual service agreement) - $400, $4,342, $710, respectively; Ottis Elevator invoice - $256; and QuickBooks invoice - $55) with a deposit of $2.58 for interest and a balance of $110,776. A copy of the summary report was provided to the secretary. A motion to accept the report was made by Garth and seconded by Randy. All voted and the motion passed unanimously. Bookkeeping and Restructuring Updates Angela provided the following updates: Bookkeeping – A draft 2021 financial statement has been updated with requested historical information, city funding, and year ending accounts payable. City Finance staff is reviewing the draft and will check the ability of their CPA to audit the board’s financial statements. Follow on year financial statements will hopefully be easier and quicker. We hope to present the 2021 financial statement to the board at the next meeting. Restructuring – Anticipated timing for any restructuring will coincide with a fiscal year end – i.e., June 2025. Angela is preparing a timeline with details including the Pilots lease which ends 12/24. No board action at this time. City Project Update - Locker Room McCord provided the following updates: Bids were extended to Wednesday, July 3, 2024. Potential contractors submitted 90 bid questions. The plan is to sign the contract by August 15. Parking Lots ** Malik arrived at 12:20. Zoning is looking at the stadium parking plan. A comprehensive site plan including the following considerations should be performed: • Storage and garbage locations – pads if necessary • Salters Creek parking possibilities • Fire department (emergency) access to stands and field • Parking outside of designated areas • Any other improvements or access issues Pilots should increase PA announcements and employ social media to ensure emergency access restrictions are clear. Towing offenders should also be considered. 3 7/8/2024 Safety Additions Patti is completing her review of ways to improve safety and access within the stands. She will try to attend the next meeting and present her options. Play Area Discussion The turf came up, leaving numerous under layer blemishes. We had approved $10k for repairs at the last meeting. Professional striping and painting with non-slip paint (or elimination of slip hazards) estimates range from $29,000 to $66,000. The board requested the Pilots to review and prepare a more thorough plan for the playground and play diamond area. Winter Projects 2024/25 Garth reviewed the list of potential next year’s winter projects focusing on the baseball related items. Order of magnitude estimates for pitch clocks and padded outfield wall have been obtained by the Pilots. A motion to fund the Pitch Clocks at $15k and the Padded Outfield Wall at $60k was made by Garth and seconded by Ruth. All voted and the motion passed unanimously. Additional winter projects will be considered at a later date. Peninsula Pilots Updates The following highlights were provided by the Pilots and Community Baseball, LLC (CB LLC): • Pilots won the 1st half of the CPL season. • Six players were selected to the CPL Select Team that played the US National Team. • Ten players have been identified as CPL All Stars. • 4th of July is Military Appreciation Night. • 5th of July is Fireworks. New Business None. The Chair adjourned the meeting at 1:05 p.m. Next regular meeting is July 29, 2024, at 2:00 pm at War Memorial Stadium.
