Wednesday, December 3, 2025
I. CALL TO ORDER
Chair Stephanie Garcia-Vause called the Records Committee Meeting to order
at
2:00 p.m. in the Valley View Conference Room, 240 S. Water Street,
Henderson, Nevada 89015.
II. CONFIRMATION OF POSTING AND ROLL CALL
Nathan Hill, Archives and Records Manager, confirmed the Records Committee
Meeting had been noticed in compliance with the Nevada Open Meeting Law.
Present and responding to roll call were the following:

IV. ACCEPTANCE OF AGENDA (For Possible Action)

Member Jose Luis Valdez moved to accept the agenda, as presented.
(Vote)
The vote favoring passage was unanimous. Chair Stephanie Garcia-Vause
declared the motion carried.

(Motion)
Member Nicholas Vaskov moved to approve the meeting minutes from the
July 30, 2025, Records Committee Meeting.
(Vote)
The vote favoring passage was unanimous. Chair Stephanie Garcia-Vause
declared the motion carried.
2 DISCUSSION
PUBLIC RECORDS REQUEST MANAGEMENT SYSTEM
CITY CLERK'S OFFICE
Nathan Hill, Archives and Records Manager, provided an update relating to the
acquisition and funding of the new Public Records Request Management
System.
A brief discussion ensued regarding identifying staff for the initial system
training.
3 DISCUSSION
RECORDS ASSESSMENT PROGRAM UPDATES
CITY CLERK'S OFFICE
Aimee Burke, Archives and Records Analyst, provided an update on the
Records Assessment program and schedule.
Ms. Burke reported six departments have been completed, with
Human Resources scheduled next.

Aimee Burke, Archives and Records Analyst, reviewed the update for the
Department of Utility Services Retention Schedule.
(Motion)
Member Nicholas Vaskov moved to approve the Department of Utility Services
Retention Schedule.
(Vote)
The vote favoring passage was unanimous. Chair Stephanie Garcia-Vause
declared the motion carried.
VI. CHAIR\MEMBER COMMENTS
Nathan Hill, Archives and Records Manager, commented on the revisions and
challenges to the Local Government Records Retention Schedules, made by
the Nevada State Library and Archives.
VII. SET NEXT MEETING
The next meeting was set for Tuesday, March 31, 2026, at 10:30 a.m. in the
Council Chambers Conference Room.
VIII. PUBLIC COMMENT
Arnold Knightly, Public Communications Manager, Nye County, spoke regarding
the lack of clarity in the Local Government Records retention schedule posing
the greatest challenge.
ADJOURNMENT
There being no further business to discuss, Chair Stephanie Garcia-Vause
adjourned the Records Committee Meeting at 2:14 p.m.

at the discretion of the Chairman.
The Chairman reserves the right to curtail abusive, offensive, inflammatory or repetitive
comments that disrupt, disturb or otherwise impede the orderly conduct of the meeting. See
NRS 241.030(4)(a). Examples of disruptive conduct include, without limitation, yelling,
stamping of feet, whistles, applause, heckling, name calling, use of profanity, personal
attacks, physical intimidation, threatening use of physical force, assault, battery, or any other
acts intended to impede the meeting or infringe on the rights of the board and/or committee
members, City staff, or meeting participants.
