Present: Virginia Tegel, Emily Davidson, Pam Torlina, Dawn Barr, Judi Moolten. Absent: Tracy Roughton APPROVAL OF AGENDA Virginia Tegel motioned to approve first followed by Emily Davidson. NEW BUSINESS Review draft Special Events Committee application - Caitlyn Gendusa, Sustainability Manager Caitlyn sending out email to attract more potential subcommittee members Caitlyn asking Omar Zafra on organizing electric vehicle demo at event. Ian Baille with Land of Sky is also an option. The committee confirmed requesting 2 off duty officers would be fine. Virginia Tegel also asked how many officers are used at Rhythm & Brews. Caitlyn is finding this out. Caitlyn confirming that Visitor’s Center is available. Discuss assignment of subcommittee roles & Hendo Earth Fest Guidelines - Caitlyn Gendusa - Sustainability Manager Volunteer Coordinator: Virginia Tegel Vendor/Exhibitor Coordinator: Pam Torlina Marketing Coordinator: Caitlyn Gendusa Business Coordinator: Judi Moolten Music Coordinator: Judi Moolten (potentially Tracy Roughton also) Bike Coordinator: Dawn Barr Positions not confirmed yet: Chair, Vice Chair, Tent Coordinator, and EV organizer ENVIRONMENTAL SUSTAINABILITY BOARD - HENDO EARTH FEST SUBCOMMITTEE – August 27, 2025 Page | 1 Discuss non-profit partner - Caitlyn Gendusa, Sustainability Manager Business sponsorships via non-profit partner – Caitlyn is waiting to hear back from City attorney. For the non-profit partner that would make the most sense being an organization already working on the subcommittee (Conserving Carolina or Bike Walk HVL). Caitlyn also finding out how business sponsors could re recognized through partner. There is interest from non-profit organizations but they would need sponsorships to make this happen.
