CITY OF HENDERSONVILLE HENDO EARTH FEST SUBCOMMITTEE MEETING Virtual Tuesday, January 06, 2026 – 5:15 PM MINUTES CALL TO ORDER Meeting called to order at 5:15pm Present: Elle Travis, Kimberly Blackwell, Richard Harris, Dawn Barr, Virginia Tegel, Emily Davidson, Pam Torlina, Sarah Richards, and Caitlyn Gendusa (Staff liaison) BUSINESS 1. Upcoming Meeting Reminder January 20th, February 3rd, February 17th, March 3rd, March 17th, March 31, April 14th All meetings are at 5:15 with location specified closer to meeting date. Hendo Earth Fest: April 18th 10am-3pm 2. Discuss positions still needing fulfillment Emily Davidson – Chair Musician/Entertainment Coordinator – vacant Electric Vehicle Show Coordinator – Richard Volunteer Coordinator – Sarah Richards 3. Finalize event budget appropriation Full budget will be finalized at next meeting $1,990 is allocated for event DJ and sound engineer 5. Exhibitors & vendors – The committee decided for this year we will not allow products to be sold, except for food vendors. Non-profits and other groups are allowed to collect donations. HENDO EARTH FEST SUBCOMMITTEE MEETING – January 06, 2026 Page | 1 Sarah Richards brought up the idea of purchasing compostable to-go ware and give to food trucks to use. Richard is going to reach out to contact he knows with Hendersonville Pride who are eco-friendly food vendors.
