We had $14,228.66 at the end of October. Since then, money has been spent on various things including $1,265.65 for the caterer for the Open House. Approximately $13,500 left. Per Kathy, sitting on expenditures because it is not good to do a mid-year request. We need to wait until the end of June 2024. We can start working on the budget now. The flowers are going to cost several thousand dollars. The bid came in for watering and electrical at the bridge and will cost $9,700. Kathy asked if that expense could be shared since it would benefit the whole city. Motion: Second: Vote: Discussion Notes: November Litter Clean-U p Review Frank gave a report. We had less workers than anticipated. There were three sites on the west end of town that we did not get to. Dumpsters were picked up early on Monday and forty bags had to go in the Public Works overflow dumpster. Good job on Drakes Creek with the lake draw-down. There are still several tires out there. Some are stuck in the mud and could not be removed. Good media coverage. Kathy was sent a video from a TDOT representative that she shared with the group. Rick Murray did a good job covering the clean-up day with pictures and an article in the Hendersonville Standard. Clean-Up Day was a success! Keep focus on education in the schools and with the adults as well. We will continue to go into the schools as they start back in January after the Christmas break. The Girl Scouts were not able to help with the November clean-up but were out on December 2nd at Drakes Creek Park. Eliza with Beech Environmental Club also called about setting a date for their cleanup. Kathy left a message for her to call if they needed anything. Parade and Light Festival Review We did not have a float or trailer in the Christmas Parade. The trailer was a 16-foot trailer. There were only two volunteers to ride on it. The decorated cans (Clean City Is A Happy City) were put on the Clean Team truck that was in the Christmas Parade. Robert Cox rode in the back of the truck. It was suggested that we should have a group clean up after the Christmas Parade. It was discussed whether we should have a float or a smaller trailer in the parade next year since it is a busy time of the year. Michele and her husband drove around and looked at the Festival of Lights. It was raining and her pictures didn't turn out very well. Her feedback is to have it over a couple of weekends. She did not think there needed to be more than thirty on the list. Kathy suggested to Andy to put the voting on line for the contest to let the community decide. He was afraid it would become a popularity contest. Robbie said that some of the lights were not on when she drove by. Driving around to view all was time consuming. Wade from Parks drove around and looked at all of them and knocked on the doors of the winners to present them their award. Andy said there were 25,000 views on line. Motion: Second: Vote: Discussion Notes: Christmas Decoration at City Hall Everyone likes what they see. Kathy has permission to decorate the area in the lobby outside the Mayor's office. She and Robbie will decorate that area on December 8, 2023. We will meet at City Hall on January 4, 2024 to take the tree and decorations down. Motion: Second: Vote: Discussion Notes: Christmas Open House at City Hall December 12th 4-7 p.m. The invitations have been sent out. We expect approximately 75 people to attend. Kathy received the proposal from the caterer on December 6, 2023. The cost is $1,265.65 which does not include gratuity. Kathy wants to know the hours each person can work at the Open House so there will be coverage the entire time and someone there to clean up afterwards. Motion: Second: Vote: Discussion Notes: Other Business Kathy has ordered badges for committee members so they can be identified. She also ordered some that say volunteer. They said they would be ready by December 12, 2023. Trash Cans: They are not easy to find. Kathy has found out that sponsorship is not the way to approach getting other trash cans. Going forward we will ask businesses to pay for a can and the artist so we can put them in the Park. Michele asked if we could order them from ACE Hardware. Kathy said we could order them through the Parks Department. We can also use ones that have had food grade content. We must have ones that have lids that are removable. Chris's husband drives a bus for a Country Music star. She sees barrels at the bus shops. She will ask her husband to find out about them. If we can have the barrels and get them to the artist, that would be great. The better shape the barrels are in, the less prep work will have to be done. Going forward, we want to purchase locally if possible. Also, we would like to check on the wraps for the electrical boxes around town like what City of Goodlettsville has done.
