WAR BONNET ROUND UP RODEO ADVISORY COMMITTEE Thursday, September 22, 2022 Recreation Center 11:00 a.m. Members in Attendance: K. Jones, K. Staten, D. Marshall, B. Skinner, R. Buchan, E. Grossarth Members not in Attendance: J. Newgard, P. Holm, R. Campbell, C. Horsley, D. Sorensen, B. Robertson Call to Order K. Jones called the meeting to order at 11:05 am. Approval of Minutes B. Skinner motioned to approve the August 24th minutes. D. Marshall seconded. All in favor. Director Updates – P. Holm (absent) Chairman/Production – K. Jones • The dates for the 2023 rodeo are August 3rd, 4th, 5th. The Mutton Bustin Qualifier will be on Saturday, July 29th. The dates of other nearby rodeos were discussed. • The board is looking at Felix Santana (equestrian act) to be the rodeo’s specialty act for 2023. • John Harrison has been selected to be our 2023 barrelman. Action Items: Vote on removal of contracted personnel - • The board discussed the issue regarding our contracted professional announcer. K. Staten motioned for the board to vote to not extend an invite to Mr. Carper for the 2023 rodeo. B. Skinner seconded. The board voted and members were unanimous on the decision to not renew this contract. War Bonnet ticket prices and seating - • Capping ticket sales was discussed and lack of seating on certain nights. R. Buchan gave the number of tickets that were scanned in. There was discussion on having reserved seating under the grandstands, ways to expand the seating and the number of tickets we should sell. • The Coors tent and how to improve its capacity was discussed. • The board considered the 2023 ticket prices, and it was decided that the 2022 financials need to be analyzed before making a final decision. Committee Reports Military Affairs/American Legion – B. Skinner • The guns are paid for and being engraved. P. Holm will send out the letters to the winners. • Have the National Finals tickets been ordered? • The military spot for 2023. B. Skinner would like to keep the current format. Hospitality/Sponsorships – K. Staten • K. Staten has started meeting with sponsors for the 2023 rodeo. • A discussion on the crow’s nest and that the costs associated with its construction may be covered by a sponsorship. • There will be a Cowboy Christmas event on December 10th at the Elks Lodge. The revenue will go to Toys for Tots. This will be a great opportunity to sell War Bonnet tickets as Christmas gifts. • Radio and television advertising for 2023 is being considered. Facilities/Grounds & Security – R. Campbell/J. Stephens (absent) Media/Emergency Action Plan – E. Grossarth • E. Grossarth is working on plans for the 2023 Media Day. He will reach out to production members and other key players who need to be interviewed. He has received some feedback from the media about what they want to see. He asked if Media Day is an effective means to get information about the War Bonnet out. He reported to the board that the media is short staffed with reporters right now and each reporter usually only about has about twenty minutes at an event. Call for Agenda items: • Agenda items recommended for the next meeting include: the budget, purse amounts, ticket prices, recommendations of announcers, and contracts. Youth Rodeo/Family Night – C.
