WAR BONNET ROUND UP RODEO ADVISORY COMMITTEE Thursday, April 27, 2023 Recreation Center 11:00 a.m. Members in Attendance: K. Jones, K. Staten, P. Holm, T. Fonnesbeck. S. Woolstenhulme, R. Campbell, J. Stephens, C. Price, C. Horsley Members not in Attendance: B. Robertson, B. Skinner, J. Newgard, E. Grossarth, R. Buchan Call to Order K. Jones called the meeting to order at 11:05 am. Approval of Minutes The February 23rd and March 23rd minutes were tabled due to a lack of quorum. Director Updates – P. Holm P. Holm reported on the following: • Tanner Fonnesbeck is an official committee member and approved by City Council. P. Holm is working to get Shelby Woolstenhulme on as an official committee member. • There are 89 days until the qualifier and 96 days until the kickoff. • The War Bonnet is one of the 100 rodeos to be entered into the “Standard of the West” by the PRCA, and K. Jones received the “John Justin Volunteer” award. • He has contacted all the local civic clubs to schedule visits during rodeo week to represent the War Bonnet. • P. Holm listed the signed contracts he has received. • Infinity Security has developed a traffic control plan that will cost an additional $2100. They will have a specific team there who will manage the traffic flow. • Billboard update. YTT has given us money for billboards in the Yellowstone Teton territories, and we spent $6,000 on local billboard advertising with Lamar. • P. Holm discussed handmade tribal spears that can be purchased for $300 each from the tribe if we decide to go that direction instead of purchasing the rifles. Chairman/Production – K. Jones K. Jones reported on the following: • She reminded committee members to start thinking of who they want to nominate for “Volunteer of the Year.” Have your picks by the next meeting. • Day sheet and program discussion. K. Jones would like to do a contest for kids to submit art with a “Rodeo/First Responders” theme. The winner’s picture would be printed on the Thursday program. There was committee discussion on a coloring contest and the art contest, ideas on delivering coloring sheets to area restaurants, adding information to the website, age groups, size of art, etc. • The need to attract more volunteers for our rodeo this year. There was discussion on reaching out to scout groups and businesses to search for more help. • Ticket outlets were discussed. Committee Reports Military Affairs/American Legion – B. Skinner (absent) Vice Chair - Hospitality/Sponsorships – K. Staten • Zion’s is still working through details regarding the drone show. K. Staten would like to have the drone show at the rodeo, followed by bull riding and then the fireworks. • The Bank of Idaho will be doing the after party on Friday night. • Hats have been ordered for the contestants. • She is trying to obtain meal menus. Blackhawk BBQ and Café Sabor have submitted menus and would like to participate again this year. • The flyover has been decided and the planes will be alternated nightly. Marketing-Advertising/Tickets – P. Holm • R. Buchan has advised that the tickets are live online. Facilities/Grounds & Security – R. Campbell (absent) Reported by J. Stephens • The kitchen in the grandstands is completed and has passed the health department inspection. • Roping chutes have been set. • Arena staff, including Jeff Moad are at a Black Widow training. • S. Woolstenhulme reported on the quotes she has received for bully barns and shipping containers which we will need for the rodeo secretary. An 8 X 8 X 20 shipping container can be purchased for $5660. A 12 X 24 shed was quoted at $11,400. Media/Emergency Action Plan – E. Grossarth (absent) • P. Holm reported that E. Grossarth had e-mailed him the rodeo media schedule. Youth Rodeo/Family Night – C. Horsley • C. Horsley asked if we plan to expand the qualifier. Last year we had around ninety participants. Committee members discussed and agreed we should expand the event, we will need more sheep, and the event should start earlier in the day when it’s cooler. It was decided to start the event at 10:00 am. Financial Report – C. Price • No current updates. Livestock Welfare – B. Robertson (absent) Outreach – T. Fonnesbeck • T. Fonnesbeck reported that he’s looking at summer events that we can be a part of to promote the rodeo. He will have more information at our next meeting.
