WAR BONNET ROUND UP RODEO ADVISORY COMMITTEE Thursday, July 11th, 2024 Recreation Center 11:00 a.m. Members in Attendance: K. Jones, K. Staten, J. Newgard, T. Fonnesbeck, S. Woolstenhulme, C. Horsley, C. Price, J. Moad, H. Pettingill, R. Buchan, J. Stephens Members not in Attendance: B. Robertson, B. Skinner, P. Holm, E. Grossarth Call to Order K. Jones called the meeting to order at 11:03am. Approval of Minutes K. Staten motioned to approve the June 27th minutes. S. Woolstenhulme seconded. All in favor. Director Updates – P. Holm (absent) Chair Report/Production – K. Jones K. Jones reported on the following: • There was a discussion on the annual volunteer meeting and whether P. Holm intended to hold it. It was agreed that volunteers could possibly just go to Sandy Downs prior to the rodeo and pick up their shirts, wrist bracelets, and perhaps a flyer with information they might need from H. Pettingill. • K. Jones sent all the board members a list of contestants currently signed up. She listed the numbers singed up for each event and advised that the Wright brothers will compete on Thursday night. • Champs Heart will attend Wednesday thru Friday, but not on Saturday. They will provide rides. • Wade Thornley has been confirmed. Committee Reports Tribal Relations – S. Woolstenhulme S. Woolstenhulme reported on the following: • Tribal participants will need a 10% raise. • Dancers are still being confirmed. The price for each dancer will be $200.00. • She is still waiting for confirmation on the tee pee but believes the casino may provide one. • The tribal video will be completed on the 22nd. • Media passes will be needed for certain tribal members. • The Shoban royalty will attend our Wednesday event for “meet and greets” and photos. Military Affairs/American Legion – B. Skinner (absent) Vice Chair/Hospitality/Sponsorship – K. Staten K. Staten reported on the following: • The association opened registration for the pee wee contest, and it filled fast. • She confirmed which board members have their committee shirts. • She has Senior Citizen Center members willing to usher. There will be six of them per night. • The Tundra will need to be handed over to the royalty for them to drive. Tanner will get it to them. • She advised she was contacted by someone who offered to bring cornhole boards and run a cornhole tournament at the Wednesday event. • She has been contacted by the Idaho Chaplains Association who assist first responders and citizens in time of crisis. They would like to pass a boot on Thursdays night for donations to their cause. Following discussion, it was agreed to let them attend Thursday, and if all goes well, we might invite them back for Friday and Saturday night. Marketing/Advertising/Tickets – R. Buchan R. Buchan reported on the following: Ticket sales to date: Thursday: 334 Reserved, 105 GA Friday: 543 Reserved, 207 GA Saturday: 877 Reserved, 288 GA • She mentioned that the reserved seating sales might reduce the rush of people lining up at the gates early to get a seat. • She will plug Thursday’s rodeo with advertising that the Wright brothers will be competing. Facilities & Grounds & Security – J. Stephens & J. Moad J. Moad reported on the following: • J. Moad confirmed the size of the Coors tent, Alive After 5 location and the location of the Monster Truck Bus. K. Staten advised it will be placed in the west lot across from the bridge. It was suggested there be a sign near the front gate for rodeo attendees that points the way to the monster bus rides. • He needs banner measurements for the gates. • The mats are cut for the dancers. Communications/Public Information – E. Grossarth (absent) E. Grossarth e-mail a list of updates including: • The program is in the final stages of design and is expected to be completed by July 12th, pending we get all available ads. • Media passes and photos, this year to insure we don’t have any competing interest for photographers helping with the rodeo and our media supporters. • Media Day updates. • WBRU Legends Video will be started in the next few days. Youth Rodeo/Family Night – C. Horsley C. Horsley reported on the following. • There are 43 riders signed up for the Mutton Bustin qualifier, 3 chute doggers, and 2 steel wrestlers. • Fluid Apparel is handling the trophies. • He secured several B.Y.U.I. rentals including a rock-climbing wall, giant soccer dart, six human bumper balls, an archery game, etc. • There was a discussion on the BB Guns and who was going to obtain them. Finance – C. Price C. Price reported on the following: • She distributed the weekly War Bonnet financial report. • She is working with IT on rodeo needs. Livestock Welfare – B. Robertson (absent) Outreach – T. Fonnesbeck T. Fonnesbeck reported on the following: • He has received a lot of great feedback on the parade. • He needs more koozies for the golf course cafés, as he prepares for the advertising blitz at all three courses during the last two weeks of July. • He suggested, regarding Bison Bucks, we arrange to have the bison in the arena on Tuesday to let it get familiar with the layout.
