Laconia Putnam Fund Board of Trustees Meeting April 2, 2021 This meeting was called to order on Friday, April 2, 2021 held at 45 Beacon Street East, Laconia City Hall, Laconia, NH with the following in attendance: Jim Rogato and Charles Bradley in person at City Hall, along with Linda Peary and Rich Landry via a Zoom attendance. Betty Ballantyne was absent of this meeting. APPROVAL OF MINUTES: The minutes dated February 26, 2021 were submitted, reviewed, and accepted as presented. NEW AND OLD BUSINESS: Jay & The Americans: Michael did ask if we would submit to the City an application to the Parks & Recreation for use of Park property for this show. Jim did apply for Michael requesting two dates. The dates requested are August 14 and August 21st. The Park Department will meet on April 19th. Jim requested Weirs Park and Opechee Park. We may have conflicts with The Ironman Competition on the 21st. Regarding Opechee Park, soccer practices and games could also be a conflict. Per Michael they will need six to eight hours to set up the staging, sound, and lighting for the performance. Jim will be reaching out to Amy of Parks & Rec. The Weirs Park will be limiting in space and audience size; therefore, we believe Opechee is likely the best option. It was suggested we may need to secure a third date. Charles inquired of the renewed contracts with Julie and suggested we obtain newly signed adjusted agreements. The list of shows with their newly adjusted dollars knowing Spectacle’s support of lights and sound at the Colonial Theater will replace Michael’s fees are as follows: The Rack Pack was $14,250 and now $11,750; Hart Keene was $9,500 and now $8,000; The Blues Show with Albert Cummins & Ronnie Earl was $13,215 and now $11,750. This grand total was $36,965 and now is $31,965. This is a net number not inclusive of other incidentals such as transporting, food & lodging. In reviewing the Riders, it was noted a conflict of dates for the Keene Show. Our prior documentation indicated the 8th of the month and the adjusted Rider indicated the 15th. Jim will reach out to Julie before any notification be stated or adjusted to the Colonial. Charles did send out two videos for shows to be considered. It was agreed they could be of interest, though due to the outstanding programs yet delayed due to Covid, it may be best for us to delay any new commitments. Jim suggested we may want to reevaluate our future programing due to the likely venues to be shown by Spectacle at the Colonial Theater. We may want to be engaged with more lectures and speaking engagements. Many of these well know lectures had been out of our budget. Knowing music and various live entertainment gaps can be filled by Spectacle, Linda was concerned for the Laconia residents missing the opportunity for free programing whereas many of the prices may eliminate affordability for others to attend the shows which we agreed was a valid observation. We agreed we will want to continue with a mix of varied shows/programs. A known and now a local resident John Davidson now lives in Tamworth, is now developing a Theater. Perhaps he could present to us. Linda did state she was approached by Becky Guyer in hopes of resurrecting the Multicultural for this coming Fall. It is late though her attempt will be to secure a $15,000 budget. We believe prior two Falls ago we had approved a $2,000 to $3,000 for live entertainment for the Event. Becky will be reaching out to us soon. MISCELLANEOUS: Charles did share with us his concern in not hearing back from Tara Shore after sending out two e-mails. He did confirm with us it was correct address. Tara was to give us a budget of the Concerts in the Park which we had agreed to write them a check in the amount of $8,500. Linda did reach out to Randy Haas, Chairman of the Trust of Trustees regarding the carry over monies not spent for the Putnam Programs and budget. He has not yet responded. It was suggested Randy being new may not had understood “carryover” along with other new members, though according to Linda “carryover” was in their minutes. Linda will reach out Randy soon. Linda will be reserving reservations for the hotel accommodations for this coming Fall shows. NEXT MEETING: Friday, May 1, 2021 to be held at City Hall at 1:00 pm still with the option of Zoom or a live attendance.
