Laconia Putnam Fund Board of Trustees Meeting May 7, 2021 This meeting was called to order on Friday, May 7, 2021 at 1:08 pm held at 45 Beacon Street East, Laconia City Hall with the following in attendance: Jim Rogota, Charles Bradley, Rich Landry in person and Linda Peary and Betty Ballantyne via Zoom. Guest: Amy Lovisek MINUTES: The minutes dated April 2, 2021 and submitted were accepted as presented. TREASURERS REPORT: Linda estimated the carry over monies to be $160,0000. Per Charles and documented by law, the allowed monies drawn is 7%. Discussions was had on the market in the last five years and the performances of the funds. Therefore, concerns were noted on the conservative returns in a healthy market. Linda reached out to Randy Haas, Chairman of the Trust of Trustees. Randy disclosed the carry over in our fiscal year to be $77,127 and with an adjusted 2.5% draw added $30,133 therefore providing a grand total of $107,260. It was noted by the Trust of Trustees Board to us withdrawing 7% would impact the integrity of the funds therefore adjusted the monies to 2.5%. We have concerns that the 2.5% would be set as our standard protocol for the future. Further review and documents will be had by our board. Linda had invited Randy to this meeting. We discussed the importance of a healthy relationship of the Board of Trustees and this Board. It was noted by Charles that Randy is arrogant and rude to not meet with us knowing of a personal invite. The Trust of Trustee will meet on July 22nd for the appropriation of our funding for next year. It was discussed we should have a presence at their meeting. PROGRAM: JAY AND THE AMERICANS: The date August 14 had been set to be considered as an alternative to the 2022 show at the Colonial. Parks & Rec, staging, sound & lights, and the band can perform on the 14th. Our original budget was $22,500. In moving the venue outdoors, the cost would grow an additional $10,000. Due the increase in funding and the threat of weather on an outdoor venue and now we have an update that the Colonial had begun promoting shows for August and September, a motion was made by Charles to adjust the date into September and to review this option with the people handling programs for the Colonial along with Julie to work the scheduling with Jay and the Americans. The August 14th date is being held as a back up in case the Colonial Theatre is not available. Amy Vorisek, Director of Parks & Rec requested we let her know asap when we have an alternate date in the Colonial to accommodate the kid’s soccer program. Currently the November Blues show is being reviewed and likely changed due to dates available at the Colonial and the performers. Tentatively the date will be moved forward by a week. We are shooting for November 26 or 27th from November 20th. The Rat Pack is still on for September 17th. Jim remains in contact with key people at Powerhouse Theater who manages the Colonial. Kara McWhinney, Director of Events & Operations and Brian Halson, Director of Powerhouse. It was suggested at this meeting they again be invited to attend a Putnam Meeting. INVITE: We did receive an invite from The Colonial to attend a tour of the new backstage on May 26th. At this time, the entire Board has accepted the invite. MISCELLANEOUS: Charles had reached out to Tara Shore of the Belknap Mill via e-mail and phone. Two meeting ago the approval and conditions set for funding the Summer Series was to include a breakdown of expenditures of the bands to be perform at Rotary Park and we had not yet received the breakdown. Charles will be attempting to reach out again. Father Adrienne’s memorial is still in the works. Welcome Back Rich Landry. You have been missed and we are thrilled to have you back on the team! NEW BUSINESS: Amy Lovisek, Director of Parks & Rec presented a request to assist with funding Fourth of July show for the evening. They currently have a small budget of $2,000 and are looking to have a band as a headliner for the evening. Setting for the staging alone is $3,000. Several bands were discussed. We gave her guidance to secure a band. We do want to assist and will be waiting for a specific request based on their choice of bands.
