BOARD OF PUBLIC WORKS AND SAFETY MINUTES April 19, 2016 Regular Session: The Board of Public Works and Safety met in regular session on Tuesday, April 19, 2016 at 9:00 a.m. in the Common Council Chambers. Members present were: Gary Henriott, Cindy Murray, Ron Shriner, Dawn Ross and Norm Childress. Jacque Chosnek, 1st Deputy City Attorney, was also present. President Henriott called the meeting to order. The Pledge of Allegiance was given to the flag of our Country. MINUTES Mr. Childress moved for approval of the minutes from the April 12, 2016 regular meeting. Mrs. Murray seconded. Passed. NEW BUSINESS Engineering Recommendation for Award-Beckenham Trail Jenny Leshney, Public Works Director, presented to the Board and recommended approval of a Recommendation for Award for the Beckenham Trail with Midwest Paving Inc. in the amount of $315,315.00. Mr. Shriner moved for approval. Mrs. Ross seconded. Passed. Contract-Beckenham Trail Mrs. Leshney presented to the Board and recommended approval of a Contract for the Beckenham Trail with Midwest Paving Inc. in the amount of $315,315.00. Mr. Shriner moved for approval. Mrs. Murray seconded. Passed. Notice to Proceed-Beckenham Trail Mrs. Leshney presented to the Board and recommended approval of a Notice to Proceed for the Beckenham Trail dated today. Mrs. Ross moved for approval. Mr. Childress seconded. Passed. Change Order #4-Old Romney Road Phase III Mrs. Leshney presented to the Board and recommended approval of Change Order #4 for Old Romney Road Phase III in the amount of $4,832.73. The change order includes traffic signal handholes and additional NEMA boxes. Mr. Childress moved for approval. Mrs. Ross seconded. Passed. Board of Public Works and Safety April 19, 2016 Page 2 CLAIMS Tim Clary, Deputy Controller, presented for Board approval, Claims in the amount of $2,835,143.96. President Henriott asked if there were any further questions and there were none. Mrs. Murray moved for approval. Mr. Shriner seconded. Passed. MISCELLANEOUS Special Event Request-Memorial Day Parade Tim Hilton, President of the Veteran’s Council, presented to the Board and recommended approval of a Special Event Request for the Memorial Day Parade to be held on May 30, 2016 from 11:00am-2:00pm in and around Columbian Park. Mrs. Ross moved for approval. Mr. Shriner seconded. Passed. Special Event Request-National Day of Prayer President Henriott presented to the Board and recommended approval of a Special Event Request for the National Day of Prayer to be held on May 5, 2016 from 10:30am-1:30pm at Riehle Plaza. Mrs. Murray moved for approval. Mrs. Ross seconded. Passed. Special Event Request-Marine Corp 5K Walk/Run President Henriott presented to the Board and recommended approval of a Special Event Request for the Marine Corp 5K Walk/Run to be held on May 28, 2016 from 8:30am-2:00pm. Mr. Childress moved for approval. Mr. Shriner seconded. Passed. Special Event Request-March of Dimes Walk President Henriott presented to the Board and recommended approval of a Special Event Request for the March of Dimes Walk to be held on April 23, 2016 from 8:00am-1:00pm at the Tippecanoe Fairgrounds and surrounding streets. Mrs. Ross moved for approval. Mrs. Murray seconded. Passed. Special Event Request-Community Yard Sale & Festival President Henriott presented to the Board and recommended approval of a Special Event Request for the Community Yard Sale & Festival to be held on May 28, 2016 from 9:00am-4:00pm on Adams Street between 19th & 20th Streets. Mrs. Murray moved for approval. Mr. Shriner seconded. Passed. Special Event Request-Farmer’s Market/Mini Markets President Henriott presented to the Board and recommended approval of a Special Event Request for the Farmer’s Market/Mini Markets to be held May-October 2016 along with Mini Markets that start on April 23, 2016. The Farmer’s Markets are held from 8:00am-1:00pm on 5th Street between Main and Columbia Streets. Mr. Childress moved for approval. Mrs. Ross seconded. Passed.
