BOARD OF PUBLIC WORKS AND SAFETY MINUTES July 3, 2018 Regular Session: The Board of Public Works and Safety met in regular session on Tuesday, July 3, 2018 at 9:00 a.m. in the Common Council Chambers. Members present were: Gary Henriott, Cindy Murray and Norm Childress. Absent: Ron Shriner Jacque Chosnek, 1st Deputy City Attorney, was also present. President Henriott called the meeting to order. The Pledge of Allegiance was given to the flag of our Country. MINUTES Mrs. Murray moved for approval of the minutes from the June 26, 2018 regular meeting. Mr. Childress seconded. Passed. BID OPENING 2018 Curb and Ramp Replacement Project-Elliott Street This being the time set to open bids for the 2018 Curb and Ramp Replacement Project-Elliott Street, the following bids were received and opened: Dixon Construction Lafayette, Indiana Base Bid: $101,513.00 Heartland Excavating Lafayette, Indiana Base Bid: $94,445.50 Mr. Childress moved to take the bids under advisement for further review. Mrs. Murray seconded. Passed. BIDS UNDER ADVISEMENT Manufacturer’s Court-New Road Construction President Henriott stated that this item will remain under advisement. NEW BUSINESS Engineering Change Order #1-City Hall HVAC Upgrades Board of Public Works and Safety July 3, 2018 Page 2 Jeromy Grenard, Public Works Director, presented to the Board and recommended approval of Change Order #1 for the City Hall HVAC Upgrades. The change order includes replacement of outside air and bypass dampers on AHU1 and modifying RTU-2 cabinet. The change order is in the amount of $10,630.00 which brings the revised contract amount to $592,580.00. Mrs. Murray moved for approval. Mr. Childress seconded. Passed. Change Order #3-Sagamore Parkway Phase 3 Mr. Grenard presented to the Board and recommended approval of Change Order #3 for the Sagamore Parkway Phase 3. The change order includes various adjustments to scope and changes in conditions. The change order is in the amount of $166,089.97 which brings the revised contract to $12,816,291.52. Mr. Childress moved for approval. Mrs. Murray seconded. Passed. Legal Counsel Resolution 03-2018-Lease Agreement for Equipment Mike Jones, Controller, presented to the Board and recommended approval of Resolution 03-2018 for a Lease Agreement for Equipment. The equipment includes 23 Ford Explorers for the Police Department with a 3-year lease in the amount of $942,000.00 through the Indiana Bond Bank. The lease agreement is with Regions Bank. Mr. Childress moved for approval. Mrs. Murray seconded. Passed. Purchasing Declaration of Worthless Property-Police Department Mr. Jones presented to the Board and recommended approval of a Declaration of Worthless Property for the Police Department that includes 13 cafeteria-style folding tables with benches and a Maxent 42” Monitor Serial 51981101884. These worthless items will be recycled. Mr. Childress moved for approval. Mrs. Murray seconded. Passed. CLAIMS Mike Jones, Controller, presented for Board approval, Claims in the amount of $9,486,048.34. President Henriott asked if there were any further questions and there were none. Mr. Childress moved for approval. Mrs. Murray seconded. Passed. MISCELLANEOUS Special Event Request-Indiana Main Street Workshop President Henriott presented to the Board and recommended approval of Special Event Request for the Indiana Main Street Workshop to be held on July 23-24, 2018 from 8:00am-4:00pm in the Big 4 Depot Community Room. Mrs. Murray moved for approval. Mr. Childress seconded. Passed. ANNOUNCEMENTS President Henriott stated that the Board of Works meeting that is scheduled for July 10, 2018 is cancelled due to a lack of quorum. The next Board of Works meeting will be held on July 17, 2018.
