HERITAGE TRAIL MEDALLION COMMISSION MINUTES Tuesday, May 27, 2025 Third Floor GwMA Conference Room 5:30 PM 70 S. Clayton St, GA 30046 Call to Order The meeting was called to order at 5:33 PM, recognizing a quorum. Melissa Hardegree asked for an amendment to the agenda to include the Approval of the Agenda that was left off in error. Motion to approve the amended agenda was made by Melissa Hardegree, Seconded by Committee Member Price. Approval of Prior Meeting Minutes Motion to approve the prior meeting minutes was made by Melissa Hardegree, Seconded by Committee Member Lindsey. Voting Yea: Committee Member James, Committee Member Price, Committee Member Abney, Committee Member Lindsey Voting Abstaining: Committee Member Brack (arrived at 5:48 PM), Committee Member Robinson (arrived at 5:46 PM) General Discussion 2. 2025 Heritage Trail Medallion Locations Reginald Anderson, City Engineer and Interim Public Works Director, presented the two locations chosen for the installation of 2 medallions for 2025. The locations were strategically chosen based on current and upcoming construction projects in the downtown area to ensure minimal disruption to any ceremonies associated with the installations. The new medallions will be placed in proximity to existing ones. Additionally, members noted  that the chosen sites were in a good location due to nearby parking availability, which will benefit attendees of the dedication ceremonies. 3. 2025 Updated Meeting Schedule Melissa Hardegree shared that an error was made on the meeting schedule previously approved, stating that July 7, 2025 should be the correct date, due to July 9, 2025 occurring on the same day City Council meets. Motion to approve the corrected meeting schedule as presented was made by Melissa Hardegree, Seconded by Committee Member Price. Voting Yea: Committee Member James, Committee Member Price, Committee Member Abney, Committee Member Lindsey Voting Abstaining: Committee Member Brack (arrived at 5:48 PM), Committee Member Robinson (arrived at 5:46 PM) 4. Review Process for Heritage Trail Medallion Applications Previous information from earlier years of the Heritage Trail Medallion Committee was reviewed and noted in the documentation that the list of nominees can take the list of nominees that have not been awarded into consideration. Melissa Hardegree shared that the City Manager is in agreement that previously nominated individuals can be included for consideration again without having to complete a new application. Michelle Robinson arrived at 5:46 PM A list of previously nominated individuals was provided to the members. This list included those previously approved for a medallion and those that were not approved. Elliott Brack arrived at 5:48 PM In addition, one newly received application and a blank application was provided to the members. The deadline for application submission is 5:00 PM on June 30, 2025 and social media and the city website will continue to post information regarding the application and deadline for submission. The next scheduled meeting of the Heritage Trail Medallion Committee will be held on July 7, 2025. By that date, the application period will have closed, and all submitted applications will be made available to committee members to allow for thorough review. The committee revisited the previous discussion format, noting that most members had conducted their own research prior to group discussions. Several members indicated that they were aware of applications expected to be submitted. It was suggested that each member bring their top three candidate choices to the July meeting to facilitate discussion and identify areas of consensus. Applications will be stored in a shared Dropbox folder for member access as they are received, and printed copies will be provided to any member who is unable to review them electronically. Other Business One member asked if the meeting could be moved to 4:30 PM, and Melissa advised she will check on how that can be changed. One member also asked why only 2 medallion recipients will be chosen per year. The decision to select only two nominees was based on maintaining the exclusivity of receiving a medallion, ensuring each honoree received the recognition they deserve. Additionally, nominees do not have to be a resident of Lawrenceville. Citizen Comments Citizen comments will be limited to two (2) minutes per person. The Commission Members will not respond to Citizen Comments. Final Adjournment Motion to adjourn was made by Melissa Hardegree, Seconded by Committee Member Price.
