Minutes of the Meeting of the Kimberly-Little Chute Public Library Board August 21, 2012 The meeting was called to order at 4:30 p.m. by President Moes at the James J. Siebers Memorial Library in Kimberly. PRESENT: Amanda Fletcher, Kris Graff, Jim Hietpas, Jim Moes, Ben Schultz, Marcia Trentlage, Rose Vander Velden, Lori Vanderloop. OTHERS PRESENT: Beth Carpenter, Adam Hammatt, Rick Krumwiede. GUEST SPEAKER Rick Krumwiede, Director of the Outagamie Waupaca Library System (OWLS), discussed Brown County Library’s recent bill to Outagamie County and the possible ramifications of that action on county reimbursements to the Kimberly-Little Chute Public Library. Discussion followed. Trentlage moved, seconded by Vander Velden, to authorize OWLS to issue a bill on the library’s behalf for services rendered to Brown County residents. Motion carried. GUEST SPEAKER Village of Kimberly Administrator, Adam Hammatt, presented information related to a Pay for Performance Program plan based on examples relevant to permanent part-time library employees. Discussion followed. Hammatt and Krumwiede left the meeting at 5:12 p.m. MINUTES AND REPORTS Graff moved, seconded by Schultz, to approve the minutes of the July 17, 2012 meeting. Motion carried. Carpenter raised a question regarding the timing of monthly approval of invoice payments. Discussion followed. The consensus was to proceed with current practice. Trentlage moved, seconded by Fletcher, to approve the July 2012 invoices. Motion carried. The July financial and statistics reports were discussed. DIRECTOR’S REPORT Carpenter reported on new staff and measures being taken to provide spot training on problem areas for other staff. Annual employee reviews continue with four in August with employees ranging from 1 to 20 years of service. Carpenter thanked Jane Werner for volunteering to start an easy nonfiction relabeling project and showed an example of the improvement that will result. Monthly staff and supervisor meetings continue. The library was closed on August 15th for a staff in-service day. The morning session focused on the following: a Sierra preview with Gerri Moeller from OWLS in preparation for the upgrade to Sierra on September 11th; a Jeopardy game to review policies, service, reference tools, etc.; MS Word training; 2013 budget discussion; summer reading program wrap-up. The afternoon session consisted of CPR and AED training with Kathy Verstegen from the Kimberly Area School District. Sixteen staff members are now CPR certified as community responders. Carpenter reported that the next FOLKS meeting will take place on September 14th. Scott Reilly of the DOT’s Share & Be Aware program was hosted at the Kimberly Library to share information about safe biking & driving, trails, etc. and will be hosted at the Little Chute Library on August 22 nd. The adult summer reading program was hugely successful with registrations and weekly participation, but low on program attendance. The Programming Committee will meet soon to look at improvements for next year’s program, as well as planning for 2012-13 adult 1st Thursday programs. The next adult program will be a free screening and discussion of HAPPY, a feature-length documentary, on September 6th at 6:30 p.m. in Kimberly. The screening and discussion leaders are provided by Compassionate Fox Cities. Carpenter is participating on an InfoSoup committee to begin planning a collaborative adult reading challenge for 2013. The Compassionate Canines contract is still under negotiation at this time. The library will be participating in an LSTA grant through OWLS for installing hearing loops at both library service desks. Carpenter shared an article regarding hearing loop technology. The Sierra upgrade will take place on September 11th, and the library will stay open to provide basic services. Carpenter will be attending an OWLS Directors Meeting on Friday, August 24th. Work on a new website for the library continues. Carpenter will be meeting with Evan Bend at OWLS on August 23rd to make some progress on the project. OWLS provides the library free Bookletters lists that allow the creation of materials lists that link into InfoSoup. Carpenter has been using them to create lists of new materials which are then sent out via the library’s social media tools and will be shared on the new website. Pinterest and Twitter accounts have recently been added to the library’s social media pool. Carpenter has been meeting with Administrator Hammatt recently regarding the Pay for Performance proposal and the 2013 budget. Carpenter will be gathering data concerning pay scale data and benefits for area library staff to assist with a salary survey. Kimberly is hosting several visioning workshops regarding the use of the former mill site and surrounding neighborhoods, and Carpenter will be attending. The Village of Kimberly Board of Trustees will be having an Orientation Day on September 20th with each Village department given time to share what they do and provide a tour of their facilities. YOUTH SERVICES REPORT Carpenter shared Ann Hardginski’s Youth Services Report. There was a great turnout for the Incredible Bats program on July 18 with 495 people in attendance for 2 shows. Carpenter braved her fear of bats and “wore” Tut the Egyptian Fruit Bat to earn a $1000 donation for children’s books. Library volunteer Alexis Ludewig conducted an owl pellet workshop on July 25 with 166 people attending. Special thanks were given to Lex for her generous donation of time and talents. The morning session featured a naturalist from Apple Creek YMCA teaching about nocturnal animals – this program was free through the Passport to Nature partnership. The final Wednesday program featured Mad Science of Iowa who engaged children in the wonders of science and finished off with a rocket blast that was greatly enjoyed by the 451 people in attendance. Teens enjoyed a Dream Catcher workshop with Debra Morningstar and a screening of the new Sherlock Holmes movie with pizza. The summer reading program ended on August 3 and was a great success. Adding 2 weeks to the program was valuable, but it also made it difficult to keep prizes and books on hand for incentives. Sponsors were thanked for their support, as the program would not be possible without their help. Summer students, Brianna Hardginski and Jenna Hennessey, were also thanked for keeping the program running smoothly and for encouraging the kids with their reading efforts. The library partnered with both Village Park & Rec departments this summer for Trivia Trek in Kimberly and Pages in the Park in Little Chute. Both collaborations were very successful and there is hope that these programs will continue in the future. Other August programs include showings of The Lorax, and The Hunger Games. Plans for the fall include family story time, Building Night with the Learning Shop, a chance for kids to vote for their favorite book character as a tie-in to the presidential election, a visit by author Eric Litwin of Pete the Cat fame, and hopefully the return of Compassionate Canines. Hardginski is also working on reader’s advisory bibliographies for families, plus continued weeding and collection development. OLD BUSINESS Administrator Hammatt’s Pay for Performance proposal was discussed. In general, comments were positive and in favor of the proposal, however, the consensus was to wait to see how financial commitment to the proposal develops before adopting the plan for library employees. NEW BUSINESS Carpenter presented several scenarios for the 2013 budget based on focusing additional funding toward staffing and collection needs. Discussion followed. Carpenter was given direction on how to proceed with the 2013 budget, and she will bring a recommendation to the September Board meeting for approval. ITEMS FOR FUTURE AGENDAS The 2013 Budget will be added to the next meeting’s agenda under Old Business. No other items were offered for the next meeting’s agenda.
