Minutes of the Meeting of the
Kimberly-Little Chute Public Library Board
September 18, 2012
The meeting was called to order at 4:33 p.m. by President Moes at the Gerard H. Van Hoof Library in Little
Chute.
PRESENT: Amanda Fletcher, Kris Graff, Jim Hietpas, Jim Moes, Marcia Trentlage, Rose Vander Velden, Lori
Vanderloop.
EXCUSED: Ben Schultz.
OTHERS PRESENT: Beth Carpenter, Ann Hardginski.
MINUTES AND REPORTS
Trentlage moved, seconded by Vander Velden, to approve the minutes of the August 21, 2012 meeting. Motion
carried. Vander Velden moved, seconded by Graff, to approve the August 2012 invoices. Motion carried. The
August financial and statistics reports were discussed.
Moes moved, seconded by Vander Velden, to amend the agenda to move Old Business and New Business before
the Director’s Report. Motion carried.
OLD BUSINESS
Carpenter presented the 2013 library budget for review. Discussion followed. Trentlage moved, seconded by
Fletcher, to approve the 2013 library budget as presented. Motion carried.
NEW BUSINESS
Carpenter requested matching funds for an LSTA hearing loop grant being applied for via the Outagamie
Waupaca Library System (OWLS). Discussion followed. Trentlage moved, seconded by Hietpas, to approve the
use of $500 from the Joint Library Trust Fund for matching funds for the hearing loop grant. Motion carried.
DIRECTOR’S REPORT
Annual staff evaluations continue. September reviews included Corinne Herro, Ellen Gloudemans, and Lynn
Niemuth – all have been with the library for 18 years. Carpenter attended a workshop on hearing loops on
September 5th to gain a better understanding of the technology for the grant application the library will
participate in with other OWLS member libraries. She also attended a workshop about using data to make
effective decisions.
FOLKS met on September 14th and are planning several fundraisers in the coming months, including selling
Vande Walle’s candy bars, setting up gift giving levels for the holiday season, and hosting a bake sale on Election
Day which will include donuts and coffee for a quick breakfast after you vote. The library will open with the polls
at 7AM that day. Carpenter and Herro will also be working on a larger fundraising event for Spring 2013. FOLKS
approved a $500 contribution to matching funds for the hearing loop grant and will also be selling Pete the Cat
books for the author’s visit coming up in October. Their next meeting is set for November 9th.
The Happy Movie was shared with an appreciative audience on September 6th thanks to Compassionate Fox
Cities. The Programming Committee met on August 30 th and have the following topics lined up for future 1st
Thursday adult programs: WI Wolves (Oct), Not So Extreme Couponing (Nov), aromatherapy/essential oils (Feb).
A brown bag health series is in the works for Tuesdays in January in partnership with the HOV YMCA. The library
will also try a new series for 2013 called “Creative Community,” which will invite creative people to come to the
library to work on their projects once a month and to learn a new craft each time, too.
Carpenter has participated on a committee to discuss a new adult online book club coming to InfoSoup in 2013.
“The Year of Reading Dangerously” will encourage adults to read more and share reviews of what they’re
reading to earn prizes throughout the year. Carpenter thanked OWLS for supporting the project by providing the
funds needed for prizes. The 2013 Fox Cities Reads author has been selected, and the committee has met to
discuss plans for the coming year.
A meeting of OWLS member library directors was held on August 24th. Carpenter learned a lot from hearing
about the successes and challenges other member libraries have faced. Offline circulation training was provided
to library staff to prepare for the Sierra upgrade on September 11th. The upgrade did not go smoothly due to a
hardware failure on the server, so the process took 2 days instead of 1. Carpenter commended library staff for
coping beautifully with the upgrade and for putting in extra time and effort to get things back to normal once
the upgrade was complete. Staff will be dealing with additional bugs as the new software settles in. Carpenter
will attend an AAC meeting on September 21st and expects to hear more about Sierra and the upgrade at that
meeting.
Carpenter asked if those present had any further questions regarding the Brown County Library bill to
Outagamie County and any of the memos forwarded via email. She will continue to update the Library Board on
the situation as things progress. Carpenter reminded Trustees about a workshop being offered by OWLS on
November 13th regarding “meeting with a purpose.”
Work continues on the new library website. Carpenter attended 2 of 3 visioning workshops held in Kimberly and
will make a presentation to the Kimberly Village Board of Trustees on their orientation day on September 20 th.
Library staff will participate in the presentation, and Carpenter invited Library Board members to attend, as well.
President Moes and Carpenter met with Dr. Bob Mayfield from the Kimberly Area School District on September
13th to discuss ways for the library to communicate, cooperate and/or collaborate more effectively with the
school district. Carpenter announced that Cheesefest has awarded $1600 to the library for the creation of
Preschool Packs that will include learning games with paperback picture books. The Preschool Packs will support
the early literacy efforts started with 1000 Books Before Kindergarten.
Carpenter invited Trustees to attend the Joint Budget Hearing on Monday, October 22 nd at 6PM at the Little
Chute Village Hall.
YOUTH SERVICES REPORT
Hardginski shared an October through December youth events brochure. Past events included A Grand Night
Out (celebration of grandparents), and a Talk Like a Pirate Day Party. Future events include: Book Babies Story
Time, Toddler Drive-In Movie, Vote for Books! in October and November, a book election party, 1000 Books
Before Kindergarten’s first graduation ceremony, and a visit from Pete the Cat author Eric Litwin. Hardginski
thanked Angela Schneider for designing the Vote for Books ballots.
Mapleview Secret Service Club will be helping at the library again this year, and Hardginski hopes to start a
5th/6th grade Book Club that could write reviews and/or create podcasts or vodcasts for the library.
Hardginski recently attended a webinar regarding the Common Core State Standards. She is also working on
orders for the Preschool Packs and 1000 Books Before Kindergarten puppet packs, which will include a farm
animal puppet with books about the animal. A donation received earlier this year will pay for the puppet packs
which can be used in support of the 1000 Books literacy project.
Moes asked Library Board school representatives for a report on what’s happening at the schools. Graff and
Fletcher shared information from the Kimberly and Little Chute School Districts.
ITEMS FOR FUTURE AGENDAS
Reports from school district representatives on the Library Board will be included as a regular agenda item on
future agendas. No other items were suggested for inclusion on the next meeting agenda.
Vander Velden moved, seconded by Trentlage, to adjourn the meeting at 5:30 p.m. Motion carried.
