Event Committee Meeting
Thursday, March 15, 2012 12:30pm

The City of Loganville Event Committee met on Thursday, March 15, 2012 at 12:30pm at City
Hall. Committee Chairwoman Michelle Lynch, City Manager Bill Jones and Committee
Members Candy Lowry, Rita Arnold and Linda Dodd were all present.
Chairwoman Michelle Lynch called the meeting to order at 12:37pm.
The first item discussed was the Broad Street Market. Chairwoman Lynch explained that the
dates would be April 21 – July 7, 2012. The number of vendors was discussed by the committee.
It was decided that the committee would accept 15-18 vendors to begin with and could be
adjusted once we are sure how the event will work.
Chairwoman Lynch explained that she had spoken with the City of Snellville and had gotten
some information from them as far as what people are allowed to sell without a license per the
Department of Agriculture. She presented the list to the committee and it was agreed that they
would allow vendors who were not required to have a license but would not venture into those
areas requiring a license.
There was much discussion regarding other artisans and the types of goods that would be
preferred such as bird houses, quilts, demonstrations, etc.
Booth fees were also discussed. Chairwoman Michelle Lynch explained that she would be
increasing the booth fees for the Autumn Heritage Festival this year to $40 (non-electrical) and
$60 (electrical). She asked the committee for their recommendations. This lead to much
discussion regarding types of demonstrators that could be promoted on the different dates of the
market.
Candy Lowry agreed to set up a schedule to schedule the vendors based on their availability.
Those vendors not selected for a particular day would be asked their availability to show up as
necessary due to last minute cancellations.
There was discussion regarding the booth fees and applications. Chairwoman Michelle Lynch
volunteered to work on the application and would forward it to everyone. The Committee
decided that they would be the core of the volunteer group for the country market. It was
decided that they would like at least one of them to be present just make sure things runs
smoothly. There was discussion regarding the promotion of the market and advertising. It was
also discussed and ideas were given for demonstrators for the market. There was discussion
regarding the types of food related items that would and would not be allowed to be sold. This
will be addressed in the application.
The Easter Egg Hunt was discussed and Chairwoman Lynch explained that this event had been
turned over to Council Member Mike Jones. She further explained that the committee would not
need to do anything for this event.
The Storybook Walk was discussed. There were many ideas discussed such as a Once Upon A
Time in Loganville. The problem with this event seems to parking. It was discussed that since
this event is stretched out over a full day that if the parking lot is full they can just come back
later. It was also discussed that we might be able to make use of the parking lot of Sonic and run
a shuttle.
The Christmas Parade was briefly discussed. The Committee decided on the theme, “An Old
Fashioned Christmas.” More details will be discussed closer to the event.
The next committee meeting will be on Thursday, April 5th at 12:30pm to look over the
applications for the Country Market.
