POLLARD MEMORIAL LIBRARY BOARD of TRUSTEES Meeting Minutes June 3,2020 Meeting took place on 6/3/2020 via telephone due to the COVID 19 restrictions. Present: Donna Richards, Chair Suzanne Frechette, Vice Chair Marianne Gries Syed Hasan Linda Kilbride Helen Littlefield Anne Mulhern Muriel Parseghian Sara Marks Amy Wilson Victoria Woodley, Director Guest: Citizen, Rebecca Rauck-Dashel  Call to Order o Meeting was called to order by Donna Richards at 5:34 PM.  Acceptance of / Amendment to Agenda o The agenda was unanimously approved on a motion by Linda Kilbride and seconded by Syed Hasan. Mulhern asks if there were any measures in place in case of civil unrest.  Meeting Minutes – o The meeting minutes from May 6, 2020 were unanimously accepted on a motion by Syed Hasan and seconded by Anne Mulhern.  Library Reopening o Starting 6/8/20 25% capacity will be allowed at the library. Schedule has been done so that there are 4 teams of 9 people. Custodians work 5 days. The teams will be cycled. Open M-F 9-5. Okayed by City Manager’s office o The library will offer curb side pick-up and drop off o Phones will no longer forward, there will be one person manning the phone. Patrons will pull up and return items. Other duties will include bagging books and calling patrons to come pick up items. Pic-ups will be scheduled every 15 minutes o Will start curb side on week of 6/15/20. Supplies are in stock still need signage. o Plan will be on the library website as soon as they have a firm date also PSA on LTC, newsletter o Required to do training in PPE and social distancing in the first week o Still working from home on days employees are not in the library o No interlibrary loans, at this time. o Phase 2, waiting for governor’s announcement  Acceptance of donated Print “Round House, Lowell, MA” by Frank Wyman o Syed said to accept Form filled out o Not a lot of historical value, is it not up to standard what is already hung in library o Marianne suggested art committee get together when we get donations o Lowell historical society could weigh in o Vickey proposes we wait until we can meet in person to see print, September o Vote to postpone o Check will Paul Marion to see if artist is important to Lowell  Chairperson’s Report (Donna Richards) o Strategic planning webinar o Author night is still being talked to about  Directors Report (Victoria Woodley) o Victoria prepared the 6/3/2020 Director’s Report and distributed by email. o Air conditioning company coming to start up the system o Wellness checks on senior citizens is going well, give name to senior center if they need services  Foundation Report (Donna Richards) o Met by phone on May 20, 2020. There was a moment of silence for Suzanne Dion. The foundation will fund the cabinet to hold graphic novels and shelving for children’s room. o Jenna Blum has agreed to two dates o Wed June 10, at 5:30 officers elected o Mary Johnson Lally, Jim Milinazzo, and Nicky Tsongas new board members  Friends of the Library Report (Helen Littlefield) o No news, waiting for reopening o Book sale dates, not sure they can do it because of restrictions  Old Business o Museum passes, no answer yet  New Business o Plan if there was civil unrest in Lowell. Are we prepared? o Vickey will talk to City Manager and the police department o Amy: create resources for public about race relations o Boston public library has a lot of resources o Vickey will look into conference phone for trustee meetings, check if we can vote by phone  Adjournment o The meeting was adjourned at 6;28 PM on a motion by Helen Littlefield and seconded by Sayed Hasan.
