POLLARD MEMORIAL LIBRARY BOARD of TRUSTEES Meeting Minutes December 2, 2020 Meeting took place on December 2, 2020 via Zoom call. Present: Donna Richards, Chair Suzanne Frechette, Vice Chair Marianne Gries Linda Kilbride Helen Littlefield Anne Mulhern Muriel Parseghian Christine O’Connor Amy Wilson Victoria Woodley, Director Absent: Sara Marks  Call to Order o Meeting was called to order by Donna Richards at 5:33 PM.  Acceptance of / Amendment to Agenda  Amend under old business, automatic renewal, and new business website integrity o The agenda was unanimously approved on a motion by Helen Littlefield and seconded by Suzanne Frechette. Automatic renewal added  Meeting Minutes –November 4th o The meeting minutes from 11/4/2020 were unanimously accepted on a motion by Donna Richards and seconded by Linda Kilbride. o Correction: Under foundation meeting date was November 18th fix date for January meeting. The minutes were accepted unanimously, Muriel Parseghian abstained  Strategic Planning Update o There has not been much progress. The consultant has too many projects but has some suggestions for other people to do. Vicky is going to contact another consultant. Using donated money for the consultant. Vicky has been meeting weekly with staff.  Chairperson’s Report (Donna Richards) o Mico Kaufman donation, casting was delivered to the library. Donna is going to send thank you notes to the estate. We will also police department know it was given in honor of them. o Thank you letters were sent to the city manager, CFO, deputy CFO thanking them for their help in getting the money. o Board terms end Jan 6, 2021 new officers will be voted in. Can only serve two consecutive terms. o There was a discussion about associate members  Directors Report (Victoria Woodley) o Victoria prepared the December Director’s Report and distributed by email. o Discussion about laptops being supplied to staff working from home. City should supply laptops to those employees.  o Working getting on the money promised from State approx. $73000 o CARES act money needs to be spent by Dec 30,2020  Foundation Report (Donna Richards) o Meeting held November 18th: update from subcommittees. Full board doesn’t meet in December. o Author night 2021 will be virtual o Next meeting January 18, 2021  Friends of the Library Report (Helen Littlefield) o Tricia Kennedy volunteered to be the liaison from the foundation to friends  Old busines o Automatic renewal was turned on Nov 25th. No reports to give statistics of how many automatic renewals happened.  New Busines o Website security, Lowell Library was coming up as an unsecure website. It is fixed now. o Idea for some money is getting more professional A/V equipment. o Working with senior center to have readers read to some of the clients there. Help people to connect. o Vaccine on board by summer hoping to go back to normal. Booksale and can we do it as a virtual book sale. Helen will bring to Friends of the Library. Also making up bags with books in them was also mentioned  Adjournment o The meeting was adjourned at 6:38PM on a motion by Donna Richards and seconded by Helen Littlefield.
