AD HOC EVENTS COMMITTEE MEETING NOTES OF APRIL 18, 2024 A meeting of the Ad Hoc Events Committee was held on Thursday, April 18, 2024, in the First Floor Conference Room, City Hall, Manistee. The meeting commenced at 3:30 p.m. PRESENT: Chief Josh Glass, Mark Fedder, Jeff Mikula, Julia Cook, Bill Gambill, Dyllan Walker, James Beaudrie EXCUSED ABSENCE: Cindy Lundberg, Sammie Lukaskiewicz Introductions – Theresa Waldo, Community Development Director Committee Recommendations Discussion included: • What we have so far: Permanent Committee or Commission; two staff liaisons (Police and Community Development). • What’s next: ▪ Establish and annually review a list of City events and develop and maintain citywide sponsorship program. ▪ Tax deductible donations – Community Foundation housing funds would allow for tax benefits for potential donors – Bill will contact Community Foundation. ▪ Additional City point of Contact person – would optimize and streamline process to ensure successful events. Would also connect business/organizations to create larger events. ▪ Coordination of event volunteers with NRBC. Review Special Event Request Form and Policy Discussion included: • Charging for events • Food trucks • DDA events trailer – who could reserve? Other equipment? Sleighbell Parade Discussion included: • Trademark update. • Friday night events. • Steam tractor for small tree – Dyllan to check. • Sands’ family carriage – refurbished and should be ready by Sleighbell – Mark to follow- up. • Period pieces on display downtown – possibly sponsored by Morton or PCA if item is salt or lumber related. • Possibility of Meijer donating chestnuts – Dyllan to follow-up. Chestnut roasters – James to follow-up with past contacts. • Fire pit – would like a second fabricated. • Live music – temperature dependent.
