Michigan City Community Enrichment Corporation Mayor’s West Conference Room Regular Meeting Minutes: February 11, 2015 6:00 P.M. Call to Order: The meeting was called to order by President Sue Webster at 6:04 P.M. Roll Call: Present – President Sue Webster, Vice-President Ron Miller, Secretary/Treasurer Steve Janus, George Kazmierczak, Allan Whitlow, Michael McKervey, Jack VanEtten, Jack Elia, Attorney Jennifer Koethe, and Jan Chamberlin. Absent: Chris Carter Approval of January 14, 2015 Minutes: Ron Miller motioned to accept the minutes as presented, Al Whitlow seconded; vote 7 yea, 1 nay. Motion passed. Jan Chamberlin will submit to the City Clerk’s office for filing, and to Catalyst Marketing for online publication. Claims: Jan Chamberlin -$175 for services in January, Sue Webster $24.61 for office supplies. Motion to accept and pay claims as submitted: Jack Elia. Second: Michael McKervey. The vote was unanimous. The claims were signed for submission to Harbour Trust for payment. Financial Statement: Secretary/Treasurer Steve Janus presented the financial statement. $1522.14 in disbursements, $60.08 interest earned, investment change -$24.34, administrative fees $143.80, deposit of $368,689 from Blue Chip Casino. The current balance is $697,306.42. Jack Elia motioned to accept the financial report; Al Whitlow seconded, all in favor. Old Business:  Election of officers will be in March – nominations will be made from the floor.  Harbour Trust – the LDA form must now be filed online. Jennifer Koethe will submit. George Kazmierczak move and Jack Elia seconded. All in favor. Harbour Trust charges $100/hr. to prepare for filing. Ron Miller motioned that Harbour Trust does it this year; George Kazmierczak seconded. All in favor. Hard copies will go to Jennifer Koethe and Jan Chamberlin for the minutes.  Grant Reporting Forms – Sue Webster reviewed several of the submitted quarterly forms. Friendship Gardens will be reminded to please use our form rather than the letter they sent. Essence Rare has unused funds. Steve Janus motioned to offer them $4,000 this year (approved grant minus their unused funds); George Kazmierczak seconded. All in favor.  The 4-H grant, Growing Up Green, has $2.92 in unused funds. They will be advised to keep that amount.  George Kazmierczak motioned, and Jack Elia seconded, to reduce this year’s Honor Flight grant by the balance they have remaining. All in favor.  Habitat for Humanity – George Kazmierczak motioned that we follow up on their missing quarterly report, ask them for their plans, or they should return unused funds. Deadline should be March 5, 2015. Steve Janus seconded. All in favor.  The contract for the Awards Banquet will be finalized in the next few days. Date is March 18, 2015 from 5:30-8:00 at the Blue Chip Casino. In addition to grant award recipients, the following are to be invited: Mayor Meer, all City Council members, former Board Attorney Atley Price, the News Dispatch, WIMS radio, and LaPorte Life. WEFM will already be represented by Ron Miller. New Business:  The Lincoln Funeral Train is coming through the area. The Historical Society wants it to stop here in town for the benefit of students and all citizens. George Kazmierczak motioned the MCCEC Board awards them $5,000 for this project as long as the Historical Society earns the total needed and submits a proposal and proof of 501 C 3 status to the Board. Steve Janus seconded. All in favor.   Sue Webster will ask the City Clerk’s office for assistance in writing a Resolution honoring and thanking Attorney Atley Price for his service to the MCCEC Board. She will have it framed for presentation during the March Grant Awards Banquet.  A workshop/meeting with Michigan City Area Schools will be set for a future date. The purpose will be to explore possible future procedures for consolidating the school-related grants.  Michigan Resources formally requested to hold $20,000 earmarked for matching funds to purchase vans until October. Michael McKervey motioned to approve as long as they provide quarterly reports/updates; Steve Janus seconded. All in favor.  2015-2016 Grants were finalized.
