Call to Order a. Councilman Loffreddo Acting Chair called the meeting to order at 5:32PM 2. Adoption of the Agenda: a. Motion to Adopt the Agenda: b. Motion: Councilman Gennaro c. Second: David Bauer d. Vote: Unanimous 3. *Technical Error with technology lasting approximately 4 minutes* 4. Public Comment a. Public Comment opened at 5:38pm b. Public Comment closed at 5:38pm 5. Discussion and Review of the minutes from the August 22nd, 2023 Regular Meeting a. Motion to approve the minutes: i. Motion: David Bauer ii. Second:Councilman Gennaro iii. Vote: Unanimous 6. Discussion and Review of the time card of the committee secretary from 8/22/2023-9/21/2023: September 29th , 2023 Page 2 a. Motion to approve the timesheet: i. Motion:Richard Pelletier ii. Second: Councilman Gennaro iii. Vote: Unanimous 7. Update and Discussion on the Farm Hill Roof Building Project a. Paul Jorgensen, Silver Petrucelli provided an update on the Farm Hill P/V Project i. P/V project was submitted to the state and returned with some adjustments that needed to be made. This letter went to the Superintendent and was shared with all Committee members during the meeting. 1. The letter from the Department of Administrative Services made mention that some of the minutes were not descriptive enough from the Council and Board of Education meetings. ii. Once resubmitted and approved by the state and given a state job number, more information with local officials and preparation for the bid process will begin. 8. Update and Discussion on the Snow School Roof Building Project a. Paul Jorgensen, Silver Petrucelli provided an update: i. The grant has not been submitted at this time. Director of Facilities and Silver Petrucelli to discuss more on drainage needs of the project ii. Discussion to occur regarding arborist from the City to review the tree concerns iii. Councilman Loffredo requested for the roof and P/V projects to be separated and submitted to the state as separate projects. 1. Note made by Christopher Puorro that additional approvals from the City Council will be required. 9. Discussion and Review Invoices from Silver, Petrucelli and Associates: a. Invoice number 23-1048 dated 09/01/2023 for $700 for additional schematic designs and construction administration i. Motion to approve the payment of the invoice: 1. Motion:Councilman Gennaro 2. Second:David Bauer 3. Vote: Unanimous b. Invoice number 23-1049 dated 09/01/2023 for $825 for additional schematic designs and construction administration i. Motion to approve the payment of the invoice: 1. Motion:Councilman Gennaro 2. Second:Richard Pelletier 3. Vote: Unanimous 10. Update and Discussion with SLR Environmental Consulting on the MHS Turf and Track Project September 29th , 2023 Page 3 a. Project became live for bids on 9/11/2023 b. 9/19/2023 was the first pre-bid meeting i. Four Contractors attended plus two turf companies ii. SLR has reached out to additional potential contractors c. Question Timeline for the Bids is 9/26/2023 11. Future Business a. Discuss Department of Administrative Services Feedback for Farm Hill 12.
