MINUTES LIBRARY BOARD OF TRUSTEES Regular Meeting Wednesday, August 27, 2014 5:00 PM LIBRARY COMMUNITY ROOM, 625 PACIFIC STREET MONTEREY, CALIFORNIA Trustees Present: Yamanishi, Castagna, Koenig, Wojtkowski, Ramaswamy Trustees Absent: None Staff Members Library Director Michael, Museums, Cultural Arts and Archives Present: Manager Copeland, Reference and Reader Services Manager Waite, Special Services Coordinator McCombs, Administrative Assistant Garibaldi CALL TO ORDER Chair Castagna called the meeting to order at 5:00 p.m. PRESENTATIONS 1. Recognize Maxine Reneker for 8 Years of Service as a Member of the Board of Trustees of the Monterey Public Library Action: Recognized; On behalf of the Board, Chair Castagna thanked Maxine Reneker. Trustee Maxine Reneker has served on the Board since July 2006. She chaired the Board in 2008-09 and again in 2012-13. With an extensive background in academic libraries including the University of Chicago, Columbia University, Stanford University and the Naval Postgraduate School, Trustee Reneker brought a wealth of professional knowledge to her board-work. She also brought a commitment to community, a deep concern for adequate funding, and a keen awareness of how communities' service needs are changing. Fiscal Year 2008-09 was a challenging time for the Library. City-wide budget reductions resulted in the elimination of Sunday hours and the suspension of Interlibrary Loan service. Despite these challenges, under Trustee Reneker's chairmanship a new bookmobile went into service, teen programming was strengthened, and the groundwork was laid for a Library Endowment, a goal which became a reality the following year. During Trustee Reneker's second stint as chair, the Library completed a strategic planning process, and Sunday hours were restored with a combination of public and private funding. Most recently, Trustee Reneker served on the Library Director recruitment sub-committee which led to the successful appointment of a new Library Director. We thank Trustee Reneker for her unwavering commitment to excellence in library service. We are all very grateful to her years of dedicated service. Staff recommends that the Board and staff recognize and appreciate Maxine Reneker's eight years of service and support to the Library and the City of Monterey. July 23, 2014 Action: Approved ***End of Consent Agenda*** On a motion by Library Trustee Castagna, seconded by Library Trustee Koenig, and carried by the following vote, the Library Board of Trustees approved the Consent Agenda: AYES: 4 TRUSTEES: Yamanishi, Castagna, Koenig, Wojtkowski NOES: 0 TRUSTEES: None ABSENT: 0 TRUSTEES: None ABSTAIN: 1 TRUSTEES: Ramaswamy RECUSED: 0 TRUSTEES: None PUBLIC COMMENTS Chair Castagna opened the floor for public comments: No public comments. PUBLIC APPEARANCE New Business 3. Discuss Options for a Board Retreat Action: Discussed; Chair Castagana appointed Trustee Ramaswamy and Trustee Yamanishi to an ad hoc subcommittee. 4. Receive Report on Koha Migration Action: Received report and discussed 5. Receive Report on Proposed Revisions to Library Activity Report Action: Received report and discussed 9. Receive Proposed Topics for Report from the Library Board to Mayor's Subcommittee Meeting with Board and Commission Chairpersons and Provide Input to Chair Action: Received report and discussed TRUSTEE COMMENTS Trustee Castagna: Asked that the Library Board meeting agenda end with trustee comments. Agreed with Library Director Michael’s suggestion to invite Library staff to present at Board meetings and thought it was a great idea. Trustee Koenig: Thanked Trustee Ramaswamy. Continuing Friends Wine & Chocolate planning and the nominating committee for the Friends Board. Trustee Yamanishi: Recognized Librarian Victor Henry for the continual reference assistance to patrons. Commented on the recent edition of Carmel Magazine highlighting the seed library. INFORMATIONAL REPORTS & STAFF COMMENTS Library Director Bill Michael: Shared that a customer left a voicemail on the City Manager’s phone line praising the service received from the Reference staff and asked that it be forwarded to Library staff. Mentioned that Museums, Cultural Arts and Archives Manager Copeland and Special Services Coordinator McCombs’ have an upcoming Chinese-American Families Heritage luncheon. 10. Receive Volunteer Report ADJOURNMENT “The Board of Monterey Public Library Trustees provides stewardship for Monterey Public Library assets and services on behalf of all residents, ensures adaptability to a diverse population, changing environment and advancing technology. Trustees advise the City Council on matters pertaining to the Library, and advocate on the Library’s behalf, while ensuring an ongoing flow of information between the Library, the community and the City Council, in accordance with Section 7.1 of the Monterey City Charter and in support of the mission statement of the Monterey Public Library.” -adopted by Library Board of Trustees, April 25, 2007 The Library Board of Trustees meeting packet may be reviewed by the public in the Library. Information distributed to the Library Board at the Board meeting becomes part of the public record. A copy of written material, pictures, etc. should be provided for this purpose. The City of Monterey is committed to include the disabled in all of its services, programs and activities.
