MINUTES LIBRARY BOARD OF TRUSTEES Regular Meeting Monday, October 20, 2014 5:00 PM LIBRARY COMMUNITY ROOM, 625 PACIFIC STREET MONTEREY, CALIFORNIA Trustees Present: Ramaswamy, Yamanishi, Castagna, Koenig, Wojtkowski Trustees Absent: Staff Members Library Director Bill Michael, Administrative Assistant Garibaldi, Present: Reference and Readers Services Manager Waite CALL TO ORDER Chair Castagna called the meeting to order at 5:00 p.m. ROLL CALL CONSENT ITEMS Approval of Minutes 1. September 24, 2014 Action: Approved ***End of Consent Agenda*** On a motion by Library Trustee Yamanishi, seconded by Library Trustee Koenig, and carried by the following vote, the Library Board of Trustees approved the Consent Agenda: AYES: 5 TRUSTEES: Ramaswamy, Yamanishi, Castagna, Koenig, Wojtkowski NOES: 0 TRUSTEES: None ABSENT: 0 TRUSTEES: None ABSTAIN: 0 TRUSTEES: None RECUSED: 0 TRUSTEES: None PUBLIC COMMENTS Chair Castagna opened the floor for public comments: No public comments. PUBLIC APPEARANCE New Business 2. Receive Report on Library Trust Fund Activities Action: Received report and discussed 3. Receive Report on Strategic Plan 2012-2015 Action: Received report and discussed Library Board of Trustees Minutes Monday, October 20, 2014 4. Approve Bookmobile Schedule for January-December 2015 Action: Discussed and approved On a motion by Library Trustee Yamanishi, seconded by Library Trustee Ramaswamy, and carried by the following vote, the Library Board of Trustees approved the Bookmobile schedule until necessary to return with changes: AYES: 5 TRUSTEES: Ramaswamy, Yamanishi, Castagna, Koenig, Wojtkowski NOES: 0 TRUSTEES: None ABSENT: 0 TRUSTEES: None ABSTAIN: 0 TRUSTEES: None RECUSED: 0 TRUSTEES: None 5. Request Appropriation of Donation Funds in the 2014-15 Library Trust Fund Budget Action: Approved On a motion by Library Trustee Wojtkowski, seconded by Library Trustee Castagna, and carried by the following vote, the Library Board of Trustees approved the appropriation of donation funds in the 2014-15 Library Trust Fund Budget: AYES: 5 TRUSTEES: Ramaswamy, Yamanishi, Castagna, Koenig, Wojtkowski NOES: 0 TRUSTEES: None ABSENT: 0 TRUSTEES: None ABSTAIN: 0 TRUSTEES: None RECUSED: 0 TRUSTEES: None Old Business 6. Discuss Options for a Board Retreat Action: Discussed INFORMATIONAL REPORTS & STAFF COMMENTS Library Director Bill Michael: Provided facility and donor appeal update. 7. Receive Volunteer Report Action: Received report and discussed TRUSTEE COMMENTS Library Board Meeting Minutes Monday, October 20, 2014 2 Library Board of Trustees Minutes Monday, October 20, 2014 Trustee Koenig: The Friends approved the wish list and welcomed two new board members at their annual October meeting. The annual Chocolate & Wine Benefit will be held February 20, 2015. The Friends are also staffing a table at the Big Sur Half Marathon and are preparing for the Giant Used Book Sale the first weekend in December. Trustee Wojtkowski: Inquired about book donations. Trustee Castagna: Expressed concern about the curbside book returns bin and the necessity to access the return slot while on the street. A member of the public or a Trustee may request that an item recommended for approval on consent be heard on the regular agenda for further discussion. Approval of Minutes 1. September 24, 2014 ***End of Consent Agenda*** PUBLIC COMMENTS PUBLIC COMMENTS allows you, the public, to speak for a maximum of three minutes on any subject which is not on the agenda. Any person or group desiring to bring an item to the attention of the Library Board may do so during Public Comments or by addressing a letter of explanation to: Community Services and Library Director, Monterey Public Library, 625 Pacific Street, Monterey, CA 93940. The appropriate staff person will contact the sender concerning the details. PUBLIC APPEARANCE PUBLIC APPEARANCE items are reports on action or informational issues that might stimulate public discussion, but that do not require formal noticing as public hearings. The Director may also ask for clarification or direction regarding scheduling of Board meetings and study sessions. 7. Receive Library Activity Report 8. Receive Financial Report 9. Receive Statistical Report 10. Receive Volunteer Report TRUSTEE COMMENTS Trustees may ask a question for clarification, make a brief announcement or make a brief report on his or her activities. In addition, a the Board may provide a referral to staff or other resources for factual information, request staff to report back to the body at a subsequent meeting concerning any Library matter, or direct staff to place a request to agendize a matter of business on a future agenda. (G.C. 54954.2) ADJOURNMENT “The Board of Monterey Public Library Trustees provides stewardship for Monterey Public Library assets and services on behalf of all residents, ensures adaptability to a diverse population, changing environment and advancing technology. Trustees advise the City Council on matters pertaining to the Library, and advocate on the Library’s behalf, while ensuring an ongoing flow of information between the Library, the community and the City Council, in accordance with Section 7.1 of the Monterey City Charter and in support of the mission statement of the Monterey Public Library.” -adopted by Library Board of Trustees, April 25, 2007 The Library Board of Trustees meeting packet may be reviewed by the public in the Library. Information distributed to the Library Board at the Board meeting becomes part of the public record. A copy of written material, pictures, etc. should be provided for this purpose. The City of Monterey is committed to including the disabled in all of its services, programs and activities.
