MINUTES LIBRARY BOARD OF TRUSTEES Regular Meeting Wednesday, May 27, 2015 6:00 PM LIBRARY COMMUNITY ROOM, 625 PACIFIC STREET MONTEREY, CALIFORNIA Trustees Present: Castagna, Koenig, Ramaswamy, Wojtkowski, Yamanishi Trustees Absent: None Staff Members Library Director Michael, Reference & Reader Services Present: Manager Waite, Museums, Cultural Arts and Archives Manager Copeland, Administrative Assistant Garibaldi, Special Services Coordinator McCombs, Fund Development Coordinator Thongchua CALL TO ORDER Chair Castagna called the meeting to order at 6:00 p.m. ROLL CALL PRESENTATIONS 1. Recognize Trustee Ramaswamy for Service to the Monterey Public Library and the City of Monterey Action: Recognized On behalf of the Library Board and Library, Chair Castagna and Library Director Bill Michael thanked Library Trustee Varna Ramaswamy. Chair Castagna shared the following with trustees and staff: Trustee Varna Ramaswamy has been a staunch supporter of the Monterey Public Library since her family first arrived on the peninsula in 2009. The Library was the first place she visited when she arrived, and as she wrote in her application to the City Council for Board appointment, she ‘quickly realized it was not just a place to take her then 6 year old son to read, but one of the hubs of the community.’ In 2011 she opened her home, the Middlebury Institute of International Studies (MIIS) President’s Residence to the Friends House Tour. That same year she agreed to serve on the Community Engagement Committee for the Library’s strategic planning process. She helped craft the survey instrument we used to gather community input, led focus groups, and helped present findings at public meetings. Trustee Ramaswamy continued to advise the Library by signing up as a CALL Volunteer, helping us develop a new volunteer opportunity where organization leaders serve as liaisons to their group and the library. In October 2012 she was elected to serve on the board of the Friends of the Monterey Public Library. She quickly went to work on the Wine & Chocolate Benefit subcommittee, and was asked to assist with the Library’s Community Memory project. She was appointed to the Library Board of Trustees by the City Council in August 2014, where she continued to help the Library meet community needs through the implementation of the Strategic Plan. In her application, Varna stated that she enjoys bringing people, ideas, and information together in order to make business, education, and communities stronger. This is the work of the Library as well, and we appreciate her working alongside us these past 6 years. Library Board of Trustees Minutes Wednesday, May 27, 2015 We thank Trustee Ramaswamy for her commitment to excellence in library service. We are all very grateful for her dedicated service. Staff recommends that the Board and staff recognize and appreciate Varna Ramaswamy’s service and support to the Library and the City of Monterey, as a library customer and parent, a liaison from MIIS, a Friend’s Board member, and a Library Trustee. 2. Receive Report from Library Staff Member on Activities Action: Received and discussed Youth Librarian Russell presented her report to the Library Board. CONSENT ITEMS Chair Castagna asked if all trustees were in favor of approving the Consent Agenda and hearing no objections, the Consent Agenda was approved: AYES: 5 TRUSTEES: Castagna, Koenig, Ramaswamy, Wojtkowski, Yamanishi NOES: 0 TRUSTEES: None ABSENT: 0 TRUSTEES: None ABSTAIN: 0 TRUSTEES: None RECUSED: 0 TRUSTEES: None Approval of Minutes 3. April 22, 2015 Action: Approved as corrected ***End of Consent Agenda*** PUBLIC COMMENTS Chair Castagna opened the floor for public comments: Esther Rodriguez, Chair of the August 30th Books and Bloom fundraiser featuring author Vanessa Diffenbaugh, shared and distributed information about the upcoming event. Mayor Roberson expressed his appreciation to Trustee Ramaswamy for her continued support of the Monterey Public Library and serving on the Library Board. PUBLIC APPEARANCE New Business 4. Receive Report and Provide Direction on the 2016-2019 Monterey Public Library Strategic Plan Action: Received report and discussed The Library Board postponed review of the strategic plan until a new trustee is selected and staff vacancies are filled. INFORMATIONAL REPORTS & STAFF COMMENTS Library Director Michael shared that the Library’s dumbwaiter is again functioning and that the state inspector signed approval. The roofing project is under design. The Peninsula Library leadership will meet in September at the Monterey Public Library. 7. Receive Volunteer Report Action: Received report and discussed TRUSTEE COMMENTS Trustee Koenig reminded trustees that the Summer Reading Program kickoff is on Saturday, June 6. She shared that Sirie had informed her of Eboni’s plan to coordinate a Cider & Chocolate event for the teens. Trustee Ramaswamy shared her experience of riding on the Bookmobile. In addition, a the Board may provide a referral to staff or other resources for factual information, request staff to report back to the body at a subsequent meeting concerning any Library matter, or direct staff to place a request to agendize a matter of business on a future agenda. (G.C. 54954.2) ADJOURNMENT “The Board of Monterey Public Library Trustees provides stewardship for Monterey Public Library assets and services on behalf of all residents, ensures adaptability to a diverse population, changing environment and advancing technology. Trustees advise the City Council on matters pertaining to the Library, and advocate on the Library’s behalf, while ensuring an ongoing flow of information between the Library, the community and the City Council, in accordance with Section 7.1 of the Monterey City Charter and in support of the mission statement of the Monterey Public Library.” -adopted by Library Board of Trustees, April 25, 2007 The Library Board of Trustees meeting packet may be reviewed by the public in the Library. Information distributed to the Library Board at the Board meeting becomes part of the public record. A copy of written material, pictures, etc. should be provided for this purpose.
