MINUTES COLTON HALL MUSEUM AND CULTURAL ARTS COMMISSION Monday, August 27, 2012 4:00 PM CITY COUNCIL CHAMBERS, FEW MEMORIAL HALL OF RECORDS MONTEREY, CALIFORNIA Commissioners Present: Dias, Greenwald, Han, Rodriguez, Schneider, Wojtkowski Commissioners Absent: Messenger Ex-Officio and Staff Community Services and Library Director Kim Bui-Burton, Members Present: Museums, Cultural Arts and Archives Manager Dennis Copeland, Recording Secretary Teresa Nash Ex-Officio Commissioners are non-voting members, appointed pursuant to MCC § 2-11. CALL TO ORDER ROLL CALL CONSENT ITEMS Approval of Minutes 1. Monday, July 23, 2012 Action: Approved with addition of Commissioners Comments (6-0-1, Messenger absent). ***End of Consent Agenda*** PUBLIC COMMENTS None. INFORMATIONAL REPORTS & STAFF COMMENTS 2. Museum and Cultural Arts Division Activity Report - July 2012 Action: Report received. Museums, Cultural Arts and Archives Manager Copeland noted the attendance numbers were up from last year. Commissioner Dias inquired on the reception at Colton Hall for the representatives from our new Sister City of Kusadasi, Turkish. Museum, Cultural Arts and Archives Manager Copeland said it went very well and the event signing was wonderful to see and to meet people from our Sister City. Community Services and Library Director Bui-Burton said staff was notified about 9 days before this event and everyone did a great job. PUBLIC APPEARANCE New Business Colton Hall Museum and Cultural Arts Commission Minutes Monday, August 27, 2012 3. Approve Call for Music Guidelines and Schedule for Fiscal Year 2012-2013 Action: The Colton Hall Museum and Cultural Arts Commission approved the Call for Music Guidelines and Schedule for Fiscal Year 2012-2013 (6-0-1, Messenger absent). Museums, Cultural Arts and Archives Manager Copeland reviewed the annual approval for Call for Music for three acoustic concerts in Colton Hall, and that staff recommends funding from Music Trust Fund. Commissioner Wojtkowski stated we have $4,900 now and are still looking for future funding and suggested that the subcommittee meet to discuss fundraising. Commissioner Rodriguez stated the fundraising subcommittee will meet to discuss a list of private donors towards the end of the year and then send out a letter requesting donations. On a motion by Commissioner Dias, seconded by Commissioner Rodriguez, and carried by the following vote, the Colton Hall Museum and Cultural Arts Commission approved the Call for Music Guidelines and Schedule for Fiscal Year 2012-2013: AYES: 6 COMMISSIONERS: Dias, Greenwald, Han, Rodriguez, Schneider, Wojtkowski NOES: 0 COMMISSIONERS: None ABSENT: 1 COMMISSIONERS: Messenger 4. Approve Call for Art Guidelines and Schedule for Fiscal Year 2012-2013 Action: The Colton Hall Museum and Cultural Arts Commission approved the Call for Art Guidelines and Schedule for Fiscal Year 2012-2013 (6-0-1, Messenger absent). Museums, Cultural Arts and Archives Manager Copeland noted a correction to the brochure stating the deadline should be 2012 not 2013. Staff and subcommittee members recommend that the Call for Art be opened for individual and group submissions. Commissioner Dias said group art shows seem to have a lot more energy and suggested revising the brochure to include group submissions. Community Services and Library Director Bui-Burton reminded the Commission that we need to have open and fair guidelines for the selection of artists. Commissioner Greenwald suggested adding “submission of groups welcome” to the brochure. Community Services and Library Director Bui-Burton suggested having one slot open for a group submission. Commissioner Rodriguez said she loves the idea of doing exhibits by theme. Commissioner Wojtkowski inquired if our 25% of sales brings in very much money. Museums, Cultural Arts and Archives Manager Copeland said what is selling is lower priced art. Colton Hall Museum Cultural Art Commission Meeting Minutes Monday, August 27, 2012 2 Colton Hall Museum and Cultural Arts Commission Minutes Monday, August 27, 2012 On a motion by Commissioner Rodriguez, seconded by Commissioner Dias, and carried by the following vote, the Colton Hall Museum and Cultural Arts Commission approved the guidelines and schedule for the Call for Art for 2013 resulting in three juried art shows, and correct the brochure submission deadline to 2012: AYES: 6 COMMISSIONERS: Dias, Greenwald, Han, Rodriguez, Schneider, Wojtkowski NOES: 0 COMMISSIONERS: None ABSENT: 1 COMMISSIONERS: Messenger 5. Approve Seasonal Reduction of Colton Hall Museum Hours Action: The Colton Hall Museum and Cultural Arts Commission approved the seasonal reduction of Colton Hall Museum open hours between November 1 and January 14 each year until the budget improves (6-0-1, Messenger absent). Museums, Cultural Arts and Archives Manager Copeland stated due to reductions in the City budget, staff is recommending a reduction in hours for Colton Hall Museum and to continue to use funds for the unfilled Part-time Artifacts Specialist position for Colton Hall Museum attendants. Staff is recommending reducing the open hours from 12:00-3:00 p.m. on Tuesdays and Sundays, and given the circumstances, we are asking the Commission to approve request for reduction in open hours this until the budget improves and then the Commission could decide if they want to restore the hours at that time. Commissioner Wojtkowski said he’s surprised that Sunday doesn’t have extended hours with lots of people walking around town. Museums, Cultural Arts and Archives Manager Copeland stated that based on our records, this is our lowest attendance period. On a motion by Commissioner Rodriguez, seconded by Commissioner Wojtkowski, and carried by the following vote, the Colton Hall Museum and Cultural Arts Commission approved a seasonal reduction of Colton Hall Museum open hours between November 1 and January 14 each year until such time as the budget improves and the Commission will review at that time: AYES: 6 COMMISSIONERS: Dias, Greenwald, Han, Rodriguez, Schneider, Wojtkowski NOES: 0 COMMISSIONERS: None ABSENT: 1 COMMISSIONERS: Messenger COMMISSIONER COMMENTS Commissioner Wojtkowski asked staff for an update on the Art in the Adobes event. Museums, Cultural Arts and Archives Manager Copeland said all Commissioners are pitching in on the lecture series and that volunteer orientation is Wednesday night at 6:30 p.m. in the Library Conference Room. Commissioner Greenwald stated that the folks in charge know that people were not happy with last year’s training and this year a representative from each venue will talk and you’ll get to hear what they are up to. Commissioner Dias said if each one had a paragraph about what is so great about their venue that would help us to be able to respond better and help promote other venues. Museums, Cultural Arts and Archives Manager Copeland reported there is great emphasis on marketing for this event; targeting the San Francisco Bay area, articles in the Carmel magazine and other periodicals. Commissioner Wojtkowski said he had one artist ask if their artwork is protected. Community Services and Library Director Bui-Burton stated the building is alarmed when it is closed, but during open hours it is open and is a working building. Commissioner Greenwald recommended everyone go to the Museum Of Monterey’s website and look at their exhibit listing. He said the first one is Rodin with a page that shows five videos to learn about his artwork.
