Approved June 21, 2018 MORGANTOWN PUBLIC LIBRARY Minutes of the Regular Meeting April 19, 2018 Present: Absent: Also Present: Others Present: Sue Carpenter Elizabeth McConnell Sarah Palfrey Linda Durfee Kelly Funkhouser Janet Paine Penny Pugh Call to order The Regular meeting of the Board of Trustees of the Morgantown Public Library convened at the Morgantown Public Library, on April 19, 2018. The meeting convened at 9:06am, Penny Pugh, President presiding, Kelly Funkhouser, secretary. Approval of the Minutes of the March 15, 2018 Regular Meeting The minutes were approved as corrected. PUBLIC FORUM - None CORRESPONDENCE AND COMMUNICATIONS – None REPORTS OF COMMITTEES/OFFICERS A. President – As of April 30, 2018, Penny Pugh will be out of commission for 6-8 weeks. Linda Durfee will miss the May Meeting. B. Treasurer – The March 31, 2018 financial statements were distributed, discussed and filed for audit. REPORT OF THE LIBRARY DIRECTOR –  Celebrations: o The Young Adult collection has moved to the 2nd Floor!! o All Paperback carts have been emptied.  Administrative: o Job descriptions – Circulation, Facilities Manager and Public Relations are all in the process of being revised and will be finished by the end of the month. o Facilities Manager vacancy – Sarah Palfrey is waiting on job description and is having discussions with staff about what the library and branches need out of the position. o Website – The website is in the rendering stage. o Sprucing Up Spruce Street – Sarah Palfrey spoke with Karen Goff about the Needs Assessment; Karen is getting Sarah Palfrey some contacts. The furniture selection is ready to be ordered. Sarah Palfrey is following up with two local cabinet makers about building a desk as well as one library furniture company. o Summer Programs – There will be one calendar which is scheduled to be out at the end of this month and there are plans for a kick-off party early June.  Continuing Ed/Committees: o Public Library Association – PLA held a great conference. There were 4 attendees from the Morgantown Public Library System. Lots of ideas were brought back and the conference was especially impactful for Crystal Isner. Board Minutes – April 19, 2018 – Page 2 o Leap Into Science –This program is through a National Science Foundation grant and collaboration between The Franklin Institute and The National Girls Collaborative. As part of the State Leader Team, we will train 60 people a year who in turn will offer 3 workshops (events) and participate in national Leap Into Science week for the next three years. o WVU Extension’s Community Leadership Academy – The Academy had fantastic programs focusing on community development and highlighting WVU services that are available to the whole state. o WVU Campus Read – Station Eleven is the book for next year and the Morgantown Public Library System is now on the programming committee.  Presentations/Outreach: o Newcomers Club – Sarah Palfrey spoke to their Coffee Club (16 people), highlighting the digital library and the levy. They were very excited and more than willing to help get the word out closer to the election. Many of the members use the Cheat Area Public Library and love the new programs that Collen Caldwell has offered since taking over. o Channel 5 – At Clinton District Public Library, Channel 5 interviewed Sarah Palfrey for a news segment about the condition of the building. Sarah Palfrey emphasized our need for community input and saying what we need most at this point is “friends and opinions”. o WVU Decide Day – Jay Gummer participated. o Sensitive Bunny – Bonnie Dwire participated at the Morgantown Mall. o Elephant & Piggie Program – This was a successful program with 75 attendees. UNFINISHED BUSINESS –  Proposed Lease – Arnettsville – The Arnettsville Community Association is interested in changing roles with the Morgantown Public Library System.  Plan for review of director – tabled until May 2018 meeting.  Clinton District Public Library – There has been no change in status.  Discussion of Article - “Design Choices for Libraries in the Digital-Plus Era”  Your Community Foundation potential distribution – Sue Carpenter moved that the recommended 5% 2018 spend amounts from the YCF be reinvested and not distributed. Janet Paine seconded the motion. The motion carried. NEW BUSINESS - None BOARD COMMENTS - None ADJOURNMENT –The meeting adjourned at 10:40am.
