City of Mountain View Minutes Performing Arts Committee Committee Members Brewster, Mirza, Roy, Vice Chair Wise and Chair Donahue Wednesday, April 17, 2019 6:15 PM Atrium Conference Room 1. CALL TO ORDER Chair Donahue called the meeting to order at 6:15 p. m. 2. ROLL CALL Present 5- Committee Member Erin Brewster, Committee Member Hafsa Mirza, Committee Member Alka Roy, Vice Chair Beth Wise, and Chair Carol Donahue 3. MINUTES APPROVAL 3.1 Approval of Minutes. The Performing Arts Committee approve the minutes of the March 20, 2019 meeting. Yes: 5- Committee Member Brewster, Committee Member Mirza, Committee Member Roy, Vice Chair Wise, and Chair Donahue 4. ORAL COMMUNICATIONS FROM THE PUBLIC 5. UNFINISHED BUSINESS 5.1 One-Act Play Festival Subcommittee Report. This item was considered out of agenda order. MOTION M/S Donahue/Roy - To: Create a Play Selection Subcommittee for the upcoming 2020 and 2021 One-Act Play Festivals. The motion carried by the following vote: Yes: 5- Committee Member Brewster, Committee Member Mirza, Committee Member Roy, Vice Chair Wise, and Chair Donahue MOTION M/S Wise/Mirza - To: Appoint Committee Members Brewster and Roy to the newly formed Play Selection Subcommittee. No action was taken 5.3 MV Presents. No action was taken. 6. NEW BUSINESS 6.1 41st Annual Family Parade. No action was taken. 6.2 MVCPA Operations. This item was considered out of agenda order. No action was taken. The Committee recessed at 6:18 p. m. for a tour of MVCPA. The Committee resumed at 6:49 p. m. 7. COMMITTEE/STAFF ANNOUNCEMENTS, UPDATES, REQUESTS AND COMMITTEE REPORTS 7.1 PAC Revenue and Expense Spreadsheet. Informational Item. Committee Member Roy introduced herself and gave a brief statement regarding her theatre related experience. Executive Director Whisler stated he is unable to make any announcements on the Operations Manager position at this time. Chair Donahue thanked MVCPA staff for an excellent Volunteer Appreciation the week previous. 8. ADJOURNMENT At 8:37p. m., Chair Donahue adjourned the meeting to the next Performing Arts Committee meeting to be held on May 15, 2019, in the Atrium Conference Room, 500 Castro Street. CALL TO ORDER 2. ROLL CALL 3. MINUTES APPROVAL 3.1 Approval of Minutes. Recommendation: The Performing Arts Committee approve the minutes of the March 20, 2019 meeting. Attachments: 2019-3-20 PAC Minutes 4. ORAL COMMUNICATIONS FROM THE PUBLIC This portion of the meeting is reserved for persons wishing to address the Committee on any matter not on the agenda. Speakers are limited to three minutes. State law prohibits the Committee from acting on non-agenda items. 5. UNFINISHED BUSINESS 5.1 One-Act Play Festival Subcommittee Report. Recommendation: Background: The One-Act Play Festival Subcommittee was first formed in June 2013 and has had several successful years of productions. The Performing Arts Committee (PAC) will be working on plans for the 2020 Festival. Hear an update from the Subcommittee. Recommendation: Background: At the February 20, 2019 PAC meeting, Committee members requested exploring options for possible grant or fundraising opportunities the Committee could take part in. Hear an update from Committee members and form a subcommittee to discuss further. 5.3 MV Presents. Recommendation: Background: With assistance and encouragement from PAC over several years, several interested parties have incorporated as the 501(c)(3) entity MV Presents, which has a goal of supporting MVCPA programs through fundraising and development of festivals. Former Committee member Raymond Chan is working with the MV Presents Liaison Subcommittee to coordinate that group's efforts with the Center. Hear an update from the Subcommittee. 6. NEW BUSINESS 6.1 41st Annual Family Parade. Recommendation: Background: PAC has been invited to participate in the City's Spring Parade on Saturday, April 27. The Committee has participated in the parade for the past several years. Discuss PAC participation in this year's parade. 6.2 MVCPA Operations. Recommendation: Background: An overview of MVCPA Operations will be presented to PAC members to help familiarize them with process and procedures. A tour of the MVCPA will follow. COMMITTEE/STAFF ANNOUNCEMENTS, UPDATES, REQUESTS AND COMMITTEE REPORTS No action will be taken on questions raised by the Committee at this time. 7.1 PAC Revenue and Expense Spreadsheet. ADJOURNMENT The next Performing Arts Committee meeting will be held on Wednesday, May 15 at 6:15 p.m. in the Atrium Conference Room, 500 Castro Street.
