ADJOURNMENT Tourism Committee Meeting Minutes 7:30 AM - Thursday, October 24, 2024 Conference Room The Tourism Committee of the City of New Richmond was called to order on Thursday, October 24, 2024, at 7:30 AM, in the Conference Room, with the following members present: PRESENT: Kim Dimick, Brian Meyer, Pete Vrieze, Dawn Jacobson, Timothy Sass ABSENT: OTHERS Lexi Derrick, MaryKay Rice PRESENT: CALL TO ORDER ROLL CALL ADOPTION OF AGENDA Pete Vrieze made a motion to adopt the agenda. Brian Meyer seconded the motion. Carried unanimously. APPROVAL OF MINUTES MINUTES FROM DATE Pete Vrieze made a motion to approve minutes from September 10, 2024. Dawn Jacobson seconded the motion. Carried unanimously. BUSINESS 2025 RIVER TRAVEL MEDIA CONTRACT REVIEW Lexi Derrick provided a recap on the last Tourism Committee meeting. The committee then went into deep conversation over what the ideal length of Marketing Services and Implementation would be. Additional conversation took place over the newsletters, a sweepstakes, marketing that will attract new eyes and how important they felt digital and social media advertising is. Throughout the conversation, the committee discussed the impact and amount of room tax dollars this would require. This led to the committee adjusting some of the proposed contracts and creating a new one that balances cost and need. Tourism Committee Meeting October 24, 2024 After the contract review, the committee discussed 3rd party expenditures. Due to the amount time it took to discuss the contracts, the committee will continue this conversation during their regular November meeting. Pete Vrieze made a motion made a motion to approve River Travel Media's Standard contract, but with only 10 months of Marketing Services and Implementation in the amount of $26,010. Brian Meyer seconded the motion. Carried unanimously. COMMUNICATION AND MISCELLANEOUS Lexi Derrick provided an update on how her and Michelle Scanlan met with the airport the previous week to get them caught up on everything they were doing with River Travel Media. Lexi Derrick handed the committee campaign theme ideas that River Travel Media has come up with. The Committee decided to meet on November 14th to review third quarter applications. They also agreed on December 17th being a meeting placeholder if needed. ADJOURNMENT Pete Vrieze made a motion to adjourn at 8:27am. Brian Meyer seconded the motion. Carried unanimously. Tourism Committee Meeting October 24, 2024 MEMO Prepared for: Tourism Committee Staff Contact: Lexi Derrick, Michelle Scanlan Meeting: Tourism Committee - 14 November 2024 Subject: 3Q24 Room Tax Collections BACKGROUND INFORMATION: Room tax collections from July 1, 2024 through September 30, 2024 totaled $47,735.52 which is a $9,098.93 or 16.0% decrease from prior year. Coratel has not paid their room tax to the city for third quarter. City staff have reached out to Coratel requesting this gets paid to the city as soon as possible. Last year the hotel had $7,803.11 in third quarter room tax. The table below illustrates tax collection for third quarter over the last five years. At the beginning of 2024, the Tourism Committee strongly encouraged applicants to place more emphasis on marketing efforts. Included below is a pie chart showing reimbursed marketing efforts compared to operational expenditures from 2021 through 2023 and a seperate chart showing 2024 efforts year to date. Of the $24,341.96 marketing expenditures reimbursed in 2024 so far, 93% is from the Tourism Committee/City of New Richmond and 7% is from the New Richmond Area Chamber efforts. At the previous meeting discussion over third party expenditures started to occur. Due to time constraints, the Committee requested this conversation be continued again at the next meeting. The City of New Richmond is responsible for the direct payment of all third-party costs. River Travel Media would suggest the following list of advertising buys for 2025. This list is malleable and can be expanded or contracted depending on budgetary needs and the committee's desires. ● Robly Webmail Program | $290 estimated cost ○ RTM suggests the purchase of the Robly webmail service for the newsletters. It has competitive features and great customer support. ○ $29 per month (March through December) ● Digital Ads | $4,300 estimated cost ○ Likely the most cost effective way in which to reach your audience. RTM highly suggests a strong digital advertising component for the campaign. ○ 43 weeks/$100 per week spend. We provide free corn through a partnership with Lakeside and inflatables for kids. We host a senior picnic ahead of Com Fest itself and have carnival style food available for purchase for participants What marketing and promotion strategies did you utilize to invite attendees? We utilized email along with social media posts to get the word out. We utilized our membership base of over 2600 emails. We asked local partners to post on their social medias. We had 16 take advantage of the opportunity to get their information in front of around 1,000 people throughout the event. At that time, city staff advised that the application did not qualify for reimbursement based on the language in the tourism reimbursement application. Since then, a shelter was constructed by city staff and the disc golf association filed a new reimbursement request on behalf of the City. This was discussed at the regular City Council meeting on Monday, November 11th. Council was in support of submitting this request and allowing the Tourism Committee to discuss the merits of the application. (Must include samples of marketing with dates/locations of postings. The project would target the need for a shelter at Whispering Hills disc golf course as well as anyone looking to rent a park shelter. The shelter would stand as a meeting ground, for leagues and give us cover from the rain. As well as give us the opportunity to host State and National Tournaments for years to follow. We will be advertising across the Twin Cities and Chippewa Valley to attract disc golfers from outside of St. Croix County. Everybody can disc golf as disc golf is a very aerobic hobby. We plan to hold community education classes at The Centre and possibly Northwood’s Technical College. We would like to establish disc golf with the youth of New Richmond and teach kids how to play. Our opening tournament had over 70 people attend. This runs about average for tournament in our area. Max number of Page 3 of 4 attendees could range from 90-110. New Richmond Disc Golf Association has many opportunities to partner with local events and businesses. We have set up a “Learn Disc Golf” class at The Centre to get locals interested. We have reached out for Hole sponsorships. We will be reaching out to out sponsors about deals they could give our Association members and tournament participants. Donations towards Tournaments prizes. Tournaments would attract people to the downtown area and into the hotels. Our plan for 2025 is to host a charity tournament which would benefit a local charity.
