TREE BOARD December 2, 2019 The Tree Board of the City of Norman, Cleveland County, State of Oklahoma, met in the Executive Conference Room on the 2nd day of December 2019, at 4:00 P.M. ITEM 1, being: ROLL CALL Present: Chairman Menzie and Members Fagin, Janaway, Lavastida, Spain, Tedder-Loffland and Winegardner Absent: Members Grisso and Huffman City Officials: Tim Vermillion, City Forester ITEM 2, being: APPROVAL OF THE NOVEMBER 4, 2019 MEETING MINUTES Member Spain made the motion and Member Lavastida seconded to approve the minutes. The vote was taken with the following results: YEAH: Chairman Menzie and Members Fagin, Janaway, Lavastida, Spain, Tedder-Loffland and Winegardner NAY: None _________________________________________________________________________________________________ ITEM 3, being: APPROVAL OF THE AGENDA Member Spain made the motion and Member Lavastida seconded to approve the agenda. The vote was taken with the following results: YEAH: Chairman Menzie and Members Fagin, Janaway, Lavastida, Spain, Tedder-Loffland and Winegardner NAY: None ________________________________________________________________________________________________ Tree Board Page 2 of 2 December 2, 2019 ITEM 4, being: SUBCOMMITTEE REPORTS Annual Holiday Parade The Board discussed and decided to not to participate in the 2019 Annual Holiday Parade since several members had conflicts with the parade date. Tree Photo Contest The Board discussed the Tree Photo Contest and how to identify previous participants through previous email lists. Member Janaway felt sending out post cards would work better than letters and said he will check with Joe Sparks with the Norman Park Foundation to see if he can obtain any email addresses they may have. The Board discussed categories, entrance fee structure and contest timeline(s) for the Tree Photo Contest. The Board decided the deadline for submissions will be December 2020 and the winners will be announced on Earth Day 2021. The Board also discussed ways to promote the Tree Photo Contest as well as potential locations to house the photos. Members Tedder-Loffland and Lavastida volunteered to check with several venues. __________________________________________________________________________________________________ ITEM 5, being: ANNUAL TREE STORY CONTEST The Board compared scores and selected first, second, and third place winners for both the 4th Grade and 5th Grade. Chair Menzie said his daughter will dress up in a Tree Costume and help deliver the prizes to the winners before Christmas Break. Donations were taken to help augment the prizes. ITEM 6, being: MISCELLANEOUS COMMENTS Mr. Tim Vermillion, City Forester, informed the Board that he responded to a citizen concern regarding utility companies operating on Berry Road. He said the citizen was concerned about her trees being ruined by the upcoming vegetation management activities planned for that area. Mr. Vermilllion gave the Board a synopsis of his contact with the citizen and said he explained to the citizen that over time, he will work with homeowners along Berry Road to replace trees that die or are removed with low growing varieties. __________________________________________________________________________________________________ ITEM 7, being: ADJOURNMENT Chairman Menzie adjourned the meeting at 5:00 p.m. Passed and approved this ____________of ________________________ 2020 Don Menzie, Chairperson
