To: NGCA Members From: Barney Caulfield, Chairman NGCA Re: Draft Minutes of NGCA monthly meeting of April 28, 2010 Members Present Richard Strouse David DiBattista Charles Whitty (7:15) Michael E. Mereen Richard Podurgiel Others Present John Paesani, PGA Professional Bruce Morse, Superintendent Glenn Meadows, Member’s Club Josh Pothier, City of Norwich Meeting called to order at 7:00 p.m. Motion made by Mr. DiBattista, seconded by Mr. Mereen, to approve minutes from the March meeting as presented. This motion passed unanimously. Mike Dzaivit or City Fire Department addressed the NGCA requesting we set rates for their golf outing on June 15th. Motion by Mr. Driscoll, seconded by Mr. DiBattista to continue to charge special rate for outings held on Tuesdays in 2010. This motion passed unanimously. Treasurer’s Report presented by Josh Pothier, Deputy Comptroller 1. The NGCA was correct on the financial services fee and $4,500 had been restored to the budget in last calendar year through a reversal transaction. 2. Revenue in March 2010: $221,757.90 YTD (through 03.30.10) $266,321.05 3. Bruce Morse expresses satisfaction with the MUNIS system. 4. Corrected financial reports for December and February presented. 5. Slightly down on Member Dues revenue. a. Used a 4 installment plan this year about 50 members elected this option b. Senior membership category is down, some attrition and some aging c. Student and Junior categories are up Motion by Mr. Driscoll, seconded by Mr. Mereen to accept report as presented passed unanimously. Discussion with Josh Pothier as to proper coding of the $6.00 fee for food gift cards that are part of current golf promotion. These monies are going to the Caddy Shack. These charges are currently being charged against the advertising or materials line accounts, but we show no charges in advertising. Need to recode the entry 80037 does not show up on the 30300 (General Budget) account list. Correspondence 1. Letter from John Grillo thanking NGCA for allowing plaque in honor of Gary Mueller. 2. Letter from Ed Sakowski, Chairman Caulfield will get more information. 3. Letter from Byron Racine about handling of cart issue at course, NGCA has dealt with this. 4. Letter from Carolyn Shattuck who will be unable to play due to illness requiring chemotherapy precluding golf. Motion by Mr. Podurgiel seconded by Mr. DiBattista to refund John Devace, her son as he purchased the membership which has not been used. This motion passed unanimously. Further discussion regarding advertising crediting on financial statement. Motion by Mr. Mereen, seconded by Mr. Whitty to permit qualifying staff to plan on Wednesday’s (Thursday’s if weather inclement) with no green fee charge but a golf car fee will be charged. This is to be in lieu of a 30% reduction of membership dues. Qualifying staff must work at least 2 shifts (14 hours) per week. This motion passed unanimously. Discussion of Centennial Golf League budgeting for: a. revenues b. expenses John Paesani will facilitate this program and provide a detailed accounting. Greens Committee - No report presented. Clubhouse Committee - No report presented. Planning Committee - No report presented. Budget Committee - No report presented. Marketing Committee 1. Discussion of Centennial Golf League and Centennial Celebration. a. Need for NGCA to commit some funds for this. Motion by Mr. Driscoll, seconded by Mr. DiBattista for NGCA to become a Red Rose sponsor in the amount of $1,500 (monies to be moved from Marketing acct.). This motion passed unanimously. Motion by Mr. DiBattista, seconded by Mr. Mereen to charge members participating in Centennial Golf League a $10 golf car fee for matches. This motion passed unanimously. 2. The season opening golf promotion has bee successful as measured by April green fees which are approximately 50% higher than last year. Motion by Mr. DiBattista, seconded by Mr. Mereen to continue the promotion during May from Sunday @ noon through Thursday evening. This motion passed unanimously. 3. Discussion of links with local hotels. 4. Centennial Golf League: a. Will purchase a display banner. b. Information to be displayed on golf car information holders. Superintendent’s Report 1. Had CAGCS Meeting here today, a two man shamble gross & net. 2. Held Pro-Am tournament on Monday. 3. Applying appropriate insecticides and pesticides seasonably. 4. Golf course is in good shape. 5. Greens to be aerated on Monday. Professional’s Report 1. Best revenues for April in memory, revenues up $20,000 over last year. 2. Kick-Off Pro-Am event this past Monday was a success: 51 teams and 203 players from CT, RI, and MA. Member’s Club - No report presented. Motion by Mr. DiBattista, seconded by Mr. Mereen to adjourn @ 8:25 pm, this motion passed unanimously.
