PAGE 1 OF 3 C>~c(~ CHRISTMAS VILLAGE ~Christmas ADVISORY COMMITTEE MEETING Village Mmutes of the regular meetmg of the Christmas VIllage Advisory Committee held Tuesday, August 10, 2017 at 4 00 p m at the Ogden Pubhc Ways and Parks Conference Room, 133 West 29th Street, Ogden, Weber County, Utah Members Present: NIkki Lovell Stepharue Grundie Ashley Wtlson Craig Biehk Ernie Terrazas Ken Rttz Andrew Garcta Diane Nelson Sub Committee: Maralyn Mazza Members Absent: Stephanie Billmgs LouAnn Kamtgaki Cmdt Hellewell Sandra Tuck Nicole Lovell Brenda Burrup Ex-Officio Stacey Olsen, Pubhc Services, ProJect Coordmator APPROVAL OF MINUTES Mr Biehk called the meetmg to order and asked for a motion to approve the mmutes. Ms. Lovell motioned to approve the minutes from May 2, 2017. Ms. Wilson seconded. Committee approved Mr Biehk welcomed our new members, Andrew Garcia, Ken Rttz He asked them to tell a httle about themselves IMPORTANT DAYS Opemng Ceremony - November 25th Thts IS the first mght we are open The Santa Run starts at 4 30pm, followed by the parade at 5 30pm Once the parade IS over, we will have a short opemng ceremony, then the Chnstmas lights are flipped on and the fireworks go off Breakfast with Santa- December 9th We will have the breakfast at the Ben Lomond Hotel, aka The Bigelow, m the ballroom They are preparmg the breakfast that mornmg We need all the committee members to be present We are lookmg for 24 teenage kids that are willmg to be elves for the event Ms Lovell has agreed to set up an Elf Trammg Ms Lovell and Kam1gaki have contacted Coke and asked them to donate some Coke Bears to g1ve to the children Ms Olsen IS lookmg for a cow bell Mr Biehk will contact Hershey, get some chocolate bars donated so we can place golden tickets on them The kids will take the tickets to the tram m the village and get a free nde Tickets for the event are $20 00 each and we will host two events, one at 9am and one at 11 am Each event can seat 150 people Harvest Moon- September 23rd The coimmttee would hke to set up a booth at the Harvest Moon Ms Rttz Will work on a simple craft we can have the kids make Ms Olsen suggested sellmg our MINUTES OF THE REGULAR MEETING OF THE CHRISTMAS VILLAGE ADVISORY COMMITTEE OF OGDEN, UT AUGUST II, 2017. PAGE 2 OF 3 merchandise at the event Ms Lovell would like to sell Breakfast w1th Santa tickets at the event Ms Wilson will look at the w1-fi s1tuat10n and Ms Olsen will find out the details of gettmg a spot reserved OPEN POSITION Ms Olsen satd that Ms B1llmgs has asked to still be mvolved, but she cannot attend the meetings She IS gomg to become a sub-committee member and IS planmng to design our placemats and take pictures at the Breakfast with Santa Ms Lovell said that Bmmie Marshall a previOus member has asked to return to the committee Ms Olsen said she will contact her and see If she IS still mterested WAREHOUSE DATES Mr B1ehk explamed that each year, we open the warehouse where the cottages are stored We allow the sponsors an opportumty to work on their cottages This g1ves them a chance to pamt or make other changes while bemg out of the weather Mr Terrazas said the best dates for rum and his crew are October 12th and the 14th from 9am to noon OPENING CEREMONY Ms Olsen sa1d that Austm Smgley has created a new opemng act She IS trymg to arrange a meetmg With h1m and the amphitheater manager to discuss his ideas Then Austm will present It to the committee to vote on Mr Terrazas suggested havmg a power pomt at the end of the ceremony thankmg all the sponsors SWEATSHIRT Ms Olsen passed ruound a picture of this year's hood1e OPEN DISCUSSION • Ms Ritz asked how a busmess gets mvo1ved Mr Biehk sa1d they JUSt need to come up with a cottage design and submit It for approval, Ms Olsen has some bwldmg guidelmes they she can send to potent1al sponsors If they don't want to build the1r own, we can add them to a cottage wa1tmg hst Ms Lovell sa1d you can also donate funds • Mr Biehk asked what Ideas everyone has for a memonal for Mr Huffaker The committee discussed bmldmg a cottage or havmg Ius kids as the Honorary Mayors of Chnstmas V 1llage Mr Terrazas satd he 1s buildmg a w1re structure that will be placed m the VIllage m memory of Perry and Sarah Huffaker He suggested the committee thmk on Ideas and don't make any declSlons JUSt yet • Mr B1ehk suggested we start meetmg every few weeks startmg m September NEXT MEETING The next meetmg for the Christmas VIllage Advisory Comnuttee IS Thursday, September 7, 2017 at 4:00pm The meetmg locatiOn IS the Ogden Pubhc Works Bmldmg, 133 West 29th Street ADJOURNMENT With no further busmess to discuss, Ms. Wilson motioned to adjourn, motion seconded by Ms. Lovell.
