Members Present: Brenda Burrup Stephame Grundie Ernie Terrazas Ashley Wilson LouAnn Kamigaki Cmdi Hellewell Andrew Garcia Sandra Tuck Sub Committee: Diana Lopez Camryn Faiola Members Absent: Craig B1ehk Diane Nelson Maralyn Mazza Ken Ritz NIkki Lovell Nicole Lovell Ex-Officio: Monte Stewart, Parks and Cemetery Manager Jacob Chadwick, Parks Eqmpment Operator Derek Wtlhamson, Amphitheater Coordmator Ashley Bockwoldt, Special Events Assistant Stacey Olsen, ProJect Coordmator APPROVAL OF MINUTES Ms Wilson called the meetmg to order and asked for a motiOn to approve the minutes. Ms. Hellewell motioned to approve the minutes from February 8, 2018. Ms. Grundie seconded. Committee approved SWEATSHIRTS Ms Wilson mtroduced Ms. Ashley Bockwoldt, she is the Special Events Assistant for the City Ms Wilson, asked Ms Bockwoldt to come to the meetmg to discuss the hoodies and combmmg the Parade hoodie With the VIllage hood1e Ms Bockwoldt said she would hke to do a call to artists and ask them to come up with a design We also asked our Mike McBnde to work on a design We Will get the designs m and vote on them SUB COMMITTEES Ms Wilson said that our committee IS growmg and so many want to be mvolved She would hke to try to assign proJects to everyone We need people to volunteer for sub-committees Volunteenng for a sub-committee does not mean you cannot help With other areas, you are JUSt the dnvmg force to get that area complete and help make sure It Is a success You will still report to the committee and receive feedback and gmdance • Breakfast with Santa - the overall program IS Ms Lovell and Ms Kam1gaki o Breakfast- Ms Lopez volunteered to help with this o Entertamment - Ms Kamigaki said Mr Biehk IS workmg on this MINUTES OF THE REGULAR MEETING OF THE CHRISTMAS VILLAGE ADVISORY COMMITTEE OF OGDEN, UT MARCH 1, 2018 PAGE 2 OF 3 o Donations - Ms Tuck volunteered to help With this o Elves- Ms Nicole Lovell handles this o DecoratiOns- Ms Faiola volunteered to help With this • Float- No one volunteered This committee will see that our float IS decorated, workmg and make any repaus or changes to It • Cottages- No one volunteered This committee will contact all the cottage sponsors and make sure they are followmg the decoratmg gmdehnes and are aware of deadhnes. • Store -No one volunteered. This committee will find the Items to sell and stock the shelves, and make sure there IS coverage at the store • Mrs Claus- No one volunteered This committee stuffs the treat bags, schedules the tours, and prepares the castle before each tour • Harvest Moon- No one volunteered Prepare a craft; find volunteers to help at the event BREAKFAST WITH SANTA UPDATES Breakfast - Ms Lopez contacted the Health Department, they said If we prepare the food, we would need a permit and someone With a food handlers permit She also contacted the Job Corp and they will prepare the food and cater It at no cost, we would need to purchase the food Ms Kamigaki also did some checkmg, Golden Corral will cater for $5 00 a person and McKay Dee Hospital will prepare boxed lunches for $7 per person Ms Tuck has contacted local busmesses m the Valley and has asked them for donatiOns She will contmue to look for donatiOns Ms Olsen reported that she contacted the Umon Station and they are already booked on December 8 She asked the committee If they would like to change the date or find a different locatiOn Ms. Hellewell motioned to have the Breakfast with Santa on December 1, 2018. Mr. Terrazas seconded. Committee approved Ms Havas IS concerned with the electrical hook ups at the Umon Station. She IS worried that we Will not have the power we need She said the kitchen does not work and has brown water With her expenence With the Umon Station, she does not feel It will be a good venue for the Breakfast with Santa Ms Fawla said she could get about 20 youth from Youth Impact to help with the decorations Ms Olsen showed a picture of some whistles we found for the Breakfast With Santa and for the I Spy game in the cottages For 400 whistles, It will be $340 00 Mr. Garcia motioned we purchase the train shaped whistles, Ms. Kamigaki seconded. Committee approved OPEN DISCUSSION Ms Bockwoldt IS workmg on a new cottage for this year It will be the Make a Wish cottage and will have pictures or somethmg from all the past Make a Wish Children Mr Williamson would hke to put a call out to performers and see If they have them submit proposals for our openmg ceremony We would hke to find something new and creattve to entertam our guests Ms Olsen Will get Mr Williamson a list of agenda Items that need to be mcluded m the openmg ceremony The comm1ttee would still like to keep the Ceremony 10 to 12 mmutes long MINUTES OF THE REGULAR MEETING OF THE CHRISTMAS VILLAGE ADVISORY COMMITTEE OF OGDEN, UT MARCH I, 2018. PAGE 3 OF 3 Mr. Terrazas reported that he IS lookmg mto movmg the nbbon hghts to the front of the Mumcipal Bmldmg and makmg a half tree Ms Olsen said we need music playing m the park when there are not performers on the stage Ms Bockwoldt said she would talk with Ben to see If he can have speakers placed throughout the park and that, we may do a trammg on how to tum the music on to our hght program when the performers are not on stage NEXT MEETING The next meetmg for the Christmas VIllage Advisory Committee IS Thursday, April 5, 2018 at 4:00pm The meetmg locatiOn IS at the Ogden Umon StatiOn located at 2500 Wall Avenue ADJOURNMENT With no further busmess to discuss, Ms. Grundie motioned to adjourn, motion seconded by Ms. Tuck. Committee approved.
