February 7, 2018 at 4·00 p m at Urban Studws 215 Histone 25th Street, Ogden, Weber County,

APPROVAL OF MINUTES
Ms Hellewell called the meetmg to order at 4·00 pm and conducted roll call
Ms Hell ewell asked If everyone had a chance to review the mmutes and If someone would make
a motwn to approve the mmutes. Mr. Bielik motioned to approve the November 20, 2018
minutes. Seconded by Ms. Culley. Committee approved
SPECIAL EVENTS UPDATES AND PLANS
Ms McBnde mtroduced herself and thanked everyone for their hard work in makmg the VIllage
spectacular Ms McBnde Is the divisiOn manager over Arts, Culture and Events and part of her
JOb IS diversity The Admimstratton and City Council are both supportive of addmg diversity to
every aspect of our City Diversity IS not JUSt the color of skm, but also mcludes gender, rehgwn,
and those wtth special needs. She brought an example of an elf that mcluded many aspects of
diversity Ms McBnde stated that the elfs skm was pigmented and new clothes and a wheelchair
were purchased for a few dollars at Big Lots lncludmg diversity does not have to be expensive
or time consummg She would hke to produce some wordmg that we can send out to our sponsors
to suggest ways they can create more dtversity m their cottages and offer help
Mr Biehk suggested that at the Breakfast With Santa we decorate each table with a theme from a
different country from around the world
NEW APPOINTMENTS
We have two open positions on the committee Ms Wilson has asked to resign and Ms Nicole

Lovell asked to become a subcommittee member Ms Olsen asked If everyone had a chance to
review the two b10's she sent out for Mr Chnt Weston and Ms Cmdy Weloth The committee
had all reviewed the b10s
Ms. Ritz motion to recommend the appointments of Clint Weston and Cindy Weloth to the
Christmas Village Advisory Committee. Seconded by Ms. Kamigaki. Committee approved
COMMITTEE REAPPOINTMENTS
Ms Olsen reported that Ms Nicole Lovell has asked to be moved to a subcommittee member smce
she IS unable to attend all the meetmgs The rest of the committee members whose terms are
expuing would like to be reappointed
CHRISTMAS VILLAGE SUNSET REPORT
Ms Olsen reported that our committee's sunset date IS Apnl 1 Ms Hellewell will be presentmg
to the City Council a report of our accomplishments, history and the duect10n we would hke to
take the VIllage Mr Bielik said he could help with a PowerPomt presentation Ms Olsen said
we need to submit the presentatiOn to the City Council before we can get a date on the calendar
COTTAGE APPLICATION AND AGREEMENT
Ms Olsen stated that we have a lot of families and busmess's that would like to become a part of
the Chnstmas VIllage She created an application that mterested parties can fill out and submit
to the committee If the committee approves theu apphcat10n, the sponsor will complete the
agreement form She created some templates for the applicatiOn and agreement form and asked
everyone to review them and send over any comments or suggestions by February 21, 2019 She
will update the forms with the revisions and submit It to legal for approval All the current
sponsors will be asked to sign the agreement and all new sponsors will complete the applicatiOn
and agreement
The committee discussed the current decoratmg viOlatiOns and said that all the busmesses with
large signs need to be told to remove the sign We will also not let them decorate with product
specific decoratiOns We will reqmre everyone to switch their hghts over to LED hghts
OPEN DISCUSSION
Ms Packham stated that the stage did look better this year, but It IS still not where It needs to be
She would hke It ht up and beautiful It is the center of the VIllage and needs to shme She also
asked about the white metal trees, asked why they were not all out this year Mr Chadwick said
we did not have the fundmg to buy all new hghts for the trees Ms Packham stated that If we
need money, she would raise the funds She requested a hst of Items and theu cost, she will make
sure we have enough hghts for all the trees and If we need money for the stage, she will rruse funds
for It
NEXT MEETING
The next meetmg for the Chnstmas VIllage Advisory Committee IS Tuesday, March 7, 2019 at
4:00pm at the Ogden Pubhc Works Bmldmg
ADJOURNMENT
With no further busmess to discuss, Ms. Kamigaki motioned to adjourn, motion seconded by
Ms. Grundie. Committee approved The meetmg of the Christmas VIllage Advisory Committee
adJourned at 5 45 p m
