Call to Order:
Chair, Eugene Earickson, called the meeting to order at I 2:30p.m Roll was taken by Advisory
Secretary, Marqae Martinson
Acceptance of Minutes
• Mmutes from the November 9, 2017 will be accepted with the corrections of adding Dot
and Lolly's last names. Carol Robertson motioned to accept the mmutes. GHS, Bob Geier
seconded and all voted in favor
Updates and Events:
Big D Construction: Kenton Wall with Big D ConstructiOn did estimates for the Legacy
PatiO proJect The estimated came in at approximately a quarter of a mllhon dollars With
about $40,000 of that being athletic eqmpment The project will consist of removing the
old fence and concrete and replacing with new concrete, fencmg, patio cover and
landscaping The structure will be metal with the ends ,being sohd with fans and the
IDiddle section will be lattice for au flow. The fence Will be a wrought iron ornamental
fence. It Will be see through and will most hkely be black. The metal optiOn was cheaper
than wood and Will reqmre less maintenance. Staff IS workmg to submit to the City CIP
in September or October per Edd Bndge. Chrur Earickson inqmred about how long it will
take to construct the patio. GHS stated the Big D IS glad to do the proJect and should be
able the complete quite rapidly. Must generate own funding. Workmg with the Golden
Hours Foundation to generate monies Mr Bridge stated that putting the project in the
CIP process will make the process go much smoother The Planning CommissiOn reviews
all CIP projects at the same time so It will be approved and ready to go when fundmg is
achieved Chrur asked If more than one bid will be required. GHS stated that the answer
to that question depends on funding. If it is prud for through the Foundation they can do
whatever they want. If it were to be funded through the city It would require a three bid
process.
• Parking Lot Project: Staff IS also workmg With the City Engineer on the parking lot
proJect Funding has been approved and work Will begm in the spnng. This project will
be a complete rebuild mcludmg re-gradmg the parking lot and increased lighting There IS

no word on how long It will take to complete and how the bmldmg will be accessed
Member Nyce asked If the parkmg lot will stay the same size. GHS stated that It would

Issue especially smce the Library closed Many people come m to JUSt find shelter
through the day A member was recently suspended for mappropnate activities We have
a few volunteers who are currently m homeless status who tend our flower beds and clean
the parkmg lot These gentlemen play a big part m keeping our facthty welcommg and
mce. Staff works with the legal department on behav10r Issues as they arise rather than a
person's housmg status Updated code of ethtcs to reqmre a state Issued ID GHS asked If
there was any mput or discuss10n to help the situatiOn, keepmg m mmd that everyone be
allowed to retammg a right to be a member. Carol Hartmann stated that she feels all
should have a nght as long as they are willmg to follow the rules However, she
recogmzed that a lot of that populat10n are here for more than warmth Many take thmgs
with them as they go GHS stated that we must be cognoscente and keep our eyes open
Joyce Henry, also a volunteer m the kitchen stated that to have lunch one must be a
member Over 60 IS a donat10n, not a reqmred payment However, those under the age of
60 are reqmred to pay for their lunch Instances we brought up about Items which have
gone missing GHS stated that It IS a member's responsibility to watch Items and keep
belongmgs safe Ben Nmd compliment the staff on domg a good JOb and deahng w1th Issues
well as they anse VIce Chair Nmd offered a suggestion to limit the hours m the computer lab
GHS mformed the group that the computer room has been reconfigured to help with mappropnate
content Chair mqmred as to how long the library will be closed GHS mformed the group the It
will be at least another ten months The Police Department are aware ofth1s City wide Issue

New Business:
• Cleone Battsb's 901h Birthday Party will be held at Ligon's on January 15 from 1-Spm
Old Business:
• The Chnstmas Party went well with 120 members m attendance There will also be a
BBQ held on January 20,2017, JUSt for fun
• The weather IS makmg attendance tough for members to get here, which affects our
numbers

• The Health Fatr will be held m September this year m coordmation wtth the Flu Shot

has not been budgeted for and there will not be
• Next meeting will be Wednesday, February 8, 2017@ 12:30 p.m.
