APPROVED OCCUPANCY TAX BOARD MEETING January 28, 2014 Tuesday, October 29, 2013 - 2:30 p.m. Conference Room, City Hall Members Present: Chair- Josh Ragsdale, Julie Morrow, Dawn Ortega Members Absent: Jill Cleveland, Adam Roe Staff Present: Janice Self, Jared Kallunki, Monica Garcia, Renee Roach Others Present: Sue Wink, Clarissa Lovato, Mona Medina, David Hayduk, Dusty Huckabee, Jeanine Best, Greg Neal (late) Meeting was called to order at 2:31 pm by Chairperson Josh Ragsdale. Three of the five members of the board were present representing a quorum. Ms. Ortega moved to approve the minutes from the September 24, 2013 Occupancy Tax Board meeting. Mr. Ragsdale seconded the motion, and it passed unanimously. 1. Lodgers Tax Funding Request – Anderson Museum of Contemporary Art-Daily Tourism Destination (ongoing marketing- no dates) Ms. Sue Wink was there to present the request for $3,800. Ms. Wink began the presentation explaining that new brochures were needed with updated information and they would be able to put the Lodgers’ Tax required wording and logo on the brochure. About 5000 brochures would be printed. They are sent to the other museums in Roswell so that visitors to those Museums can send them to the Anderson Museum. (This is reciprocated for all the Museums.) Ads are also placed in the New Mexico Magazine. Because the ad is so costly, the ad and cost is split between the Roswell Museum & Art Center (RMAC) and the Anderson Museum of Contemporary Art. There is also a billboard on the north side of town, which also needs to be updated and the Lodgers’ Tax logo with the required wording can be placed on it then. Ms. Wink shared a story about a gentleman from Switzerland who was in Santa Fe and came to Roswell on his way to Marfa, TX. He stayed over 3 hours at the Museum. The website is also maintained and shows various pieces that can be seen at the Anderson Museum. Brochures are distributed outside of Roswell when members of the Museum travel and take the brochures with them, visitors take them, and they are mailed out when requested. The Anderson Museum feels that they are part of a whole tourist team in Roswell. Ms. Morrow asked why the application showed marketing outside of Roswell as 16%. The purpose of Lodgers Tax is to advertise to bring people in to Roswell. It seems that the advertising is targeting people who are already here with the brochures and the billboard. Ms. Wink responded that, as with the gentleman from Switzerland, we are on the trail from Santa Fe to Marfa, TX (another artist community) and many people stop to see the Museums. Ms. Wink added that maybe they should target more advertising outside of Roswell. Ms. Morrow made the motion to recommend to the Finance Committee that Lodgers’ Tax funding in the amount of $2,000.00 be provided on a reimbursement basis for Lodgers’ Tax eligible expenses for this purpose. Ms. Ortega seconded the motion. The motion passed unanimously. All attendees were informed that the date for the Finance Committee meeting has been set for Wednesday, October 30, 2013 at 8:00 a.m. in the Conference Room at City Hall. Marketing Directors Report: Ms. Roach introduced Dave Hayduk with HK Advertising, who proceeded to make a presentation of the ongoing marketing campaign for the City of Roswell. The 2013/2014 Marketing consists of New Mexico Magazine advertisement, Web Banner Ads, Television, Radio, Trip Advisor, Go New Mexico, On Site Banners, Collateral, Website, Social Media, New Brochure, New Mexico Tourism dot org, Event Sweepstakes, Public Relations and Event Promotion. The new brochures will be here on Thursday. Roswell ad for New Mexico True is being used to promote the New Mexico True idea to other cities in New Mexico. Following the presentation some questions were asked by Mr. Huckabee and Mr. Greg Neal. Those questions were answered by Mr. Hayduk and Ms. Roach. Reimbursement Report and Event Reports update: Ms. Self reported that the 24th NM Championship Ranch Rodeo has submitted a reimbursement request for $2,500 and that it has been processed and the check is waiting for them to pick up. The 24th NM Championship Ranch Rodeo has also submitted their event report and financials. These were provided in the OTB packet. Please note that Ms. Morrow had to leave at 3:18 p.m. due to time constriction, therefore there was no longer a quorum present. This was during the questions and answers, with Mr. Hayduk, in the Marketing Directors Report. No further actions were required at the meeting. The meeting was adjourned at 3:24 p.m. Minutes submitted for approval by Janice Self.
