Board of Trustees Meeting Minutes Monday March 19, 2012 @ 4:00 p.m. Bassett Auditorium MEMBERS PRESENT: Jimi Gadzia, Joyce Tucker, Melinda Gonzalez, Richard Cibak, Ivan Hall, Mike Pemberton, and Tom Tutor. MEMBERS ABSENT: Fatima Barnes, Elly Mulkey, Bob Phillips, and Carolyn Sidd. OTHERS PRESENT: Laurie Rufe, Jeanine Corn Best, Stacye Hunter, Barbara Patterson, and Jessica Thompson. CALL TO ORDER: 4:05pm PRESIDENT’S REMARKS: Jimi Gadzia, President. Just a reminder that the Kentucky Derby event will be held on May 5th, doors open at 1pm; the Museum will be closed to the public all day. APPROVAL OF MINUTES: Jimi Gadzia asked the board members if they had had a chance to read the minutes from February 27, 2012. Minutes were approved. Mike Pemberton moved to accept the minutes, Joyce Tucker seconded: all were in favor and the motion carried without dissent. FINANCIAL REPORT: Deborah Melancon, Bookkeeper. (Report given by Laurie Rufe) Inclusion of 2012 Budget and Fiscal Year to date expenses; the Museum has only had to make a few minor adjustments in moving money around. MEMBERSHIP REPORTS: Jessica Thompson, Membership Coordinator. Inclusion of February membership and visitors report, The Planetarium figures for March will be included in April on an updated report. COMMITTEE REPORTS EDUCATION COMMITTEE: None. ACQUISITIONS COMMITTEE: None. MEMBERSHIP COMMITTEE: None. DIRECTOR’S REPORT: Laurie Rufe, Executive Director. 1. Exhibits and Events Attendance: Corwin Levi- Shine: 101 Judith Phillips Lecture: 92 March 2nd Saturday: 30 2. Gang Vandalism: Along with others from the community who suffered damage, I was subpoenaed to attend a pre-trial hearing in the case of Jacob Bejarano who is charged with shooting out our windows and door on February 14 and 15. No word on a trial date. (Barbara Patterson will be keeping us informed as the issue progresses). 3. Engaging Communities Workshop: On March 9, Caroline, Jessica, and I attended a workshop titled “Engaging Community and Moving Towards Relevance” presented by Candace Tangorra Matelic, Ph.D., in association with the NMAM-held at the NM Museum of Natural History and Science in Albuquerque. Ideas that were learned were discussed; and will hopefully be integrated 1 into the Museums Long Range Plan. (If you would like a more information on the workshop contact Laurie, Caroline, or Jessica.) Planning date(s) –we are overdue for updating our strategic long-range plan. Dates were discussed: nothing finalized. Upcoming Dates: Volunteer Appreciation Day: April 13 Slow Art Day: April 28 Alien Costume Contests: The Alien Costume Contests were discussed to take place on June 30 from 1am-3pm at the Roswell Civic Center-however the motion has not yet been approved. We will keep you posted on further updates. NEW BUSINESS: Jeanine Corn Best is our new City Council Liaison. A question was brought up about our insurance coverage: It is recommended that you are insured to 40%, the Museum is insured at 25 million and this costs us $20,000. If a certain piece is brought in that is worth several millions we can increase it. New Channel: There are a lot of leaves, moss, and trash; we need to work with code enforcement to set up a community service clean up. Signage on the north side of the building us needed, possible talk to streets department to get a temporary sign up. OTHER BUSINESS: None.
