Board of Trustees Meeting Minutes Monday November 19, 2012 @ 4:00 p.m. Bassett Auditorium MEMBERS PRESENT: Jimi Gadzia, Melinda Gonzalez, Fatima Barnes, Richard Cibak, Rey Berrones, Carolyn Sidd, Tom Tutor MEMBERS ABSENT: Joyce Tucker, Ivan Hall, Mike Pemberton, Bob Phillips OTHERS PRESENT: Laurie Rufe, Barbara Patterson, Caroline Brooks, Tracy Hutcherson, Deborah Melancon, Kenna Arganbright CALL TO ORDER: 4:10 PRESIDENT’S REMARKS: Jimi Gadzia, President None. APPROVAL OF MINUTES: August 27th minutes were approved contingent on the correction that Rey Berrones was present. Rey Berrones moved to make the correction and Carolyn Sidd seconded. Melinda Gonzalez moved to accept the minutes, Tom Tutor seconded: all were in favor and the motion carried without dissent. FINANCIAL REPORT: Deborah Melancon, Bookkeeper. Inclusion of budget and fiscal year to date expenses. MEMBERSHIP REPORTS: Tracy Hutcherson, Membership Coordinator Inclusion of June Membership and Visitors Report. EDUCATION COMMITTEE: Presentation from Sue Wink and Dietta Hitchcock about 2nd Saturday ACQUISITIONS COMMITTEE: 1. Harwood Museum – extension of loan. January 1st – May 12th. Carolyn Sidd moved to accept the extension of the loan and Fatima Barnes seconded: All were in favor and the motion carried without dissent. 2. Nadler Acquisition – The acquisitions committee has recommended. Melinda Gonzalez moved to accept the motion, and Richard Cibak seconded: All were in favor and the motion carried without dissent. The Committee has recommended the Nadler Acquisition. MEMBERSHIP COMMITTEE: None. DIRECTOR’S REPORT: Laurie Rufe, Executive Director November 19, 2012 1. Job Vacancies: Ellen’s and Caroline’s positions have been advertised with the American Association of Museums, Mountain –Plains Museums Association, and the New Mexico Association of Museums’ list serve. Deadline for applicants for both vacancies is November 30. Search Committees have been established for the Curator of Education and Assistant Director. Representatives include staff, Board of Trustees, RMACF Board of Directors, and community 1  members. Each committee will be working off of a Candidate Profile that lists the qualities and experience we require and desire. Assistant Director Search Committee: Laurie Rufe, Kenna Arganbright, Mike Van Raes, Ellen Moore, Cindy Torrez, Jimi Gadzia, Bob Phillips. Curator of Education Search Committee: Laurie Rufe, Kenna Arganbright, Aria Finch, Fatima Barnes, Melinda Gonzalez, Steve Ackerman and Deb Prince. The Director’s position will be advertised in January using the websites of the aforementioned museum associations. The Board of Trustees – the body that bears ultimate responsibility for the search process and the recommendation to the City of Roswell of a qualified person to fill the Director’s position – will receive preliminary assistance from the current director with regard to goals, vision, and direction of the organization, and a profile as discussed above. The search committee will include representation from the Board of Trustees, museum staff, RMACF Board of Directors, and community members. This committee is being developed. 2. Ellen and Jesse’s Retirement Party - A joint retirement party will be held for Curator of Education Ellen Moore and Museum Attendant II Jesse Barranco on Tuesday, December 4 at 12 noon in the Bassett Auditorium. This is a pot luck event, so plan on bringing something. Jesse has been with the museum for 32 years and Ellen has been with us for 13 years. Both have added great value to our organization through their dedication and service. Their final day of work is December 31. Join us as we wish them well with new pursuits. Rick Hurless, Museum Attendant I, will be replacing Jesse on January 1, 2013. We will advertise for the Museum Attendant I full-time position in December and hopefully have a full security staff on January 1. 3. Upcoming Events: Bill Wiggins Memorial, Saturday November 24, 11 am, Bassett Auditorium. Holiday Open House: Saturday December 1, 5-7 pm Lecture and Book Signing: Marin Sardi on Craig Varjabedian’s photography and his new book, Landscape Dreams: A New Mexico Portrait, Friday, December 7, 12 noon –brown bag. Staff and Board of Trustees Holiday Party and Potluck: Friday December 14, 12 noon, Bassett Auditorium. White Elephant Gift Exchange. NEW BUSINESS: Laurie has worked on long range plan. Laurie would like to have a plan finished before she leaves. OTHER BUSINESS: Barbara Patterson will send an email of the proper guidelines for the search committees. NOMINATING COMMITTEE: None.
