MINUTES OF THE BOARD OF TRUSTEES Monday, December 21, 2016 REGULAR MEETING AT 4:00 p.m. CALL TO ORDER The regular meeting of the Board of Trustees was called to order by Vice Chairman Bill Siders at 4:00 p.m. ROLL CALL The regular meeting of the Board of Trustees convened with members Jamie Barnes, Rey Berrones, Donovan Fulkerson, Bill Siders, Nanette Schumacher, and DeAngela Velasquez, Lorie Mitteer being present. A quorum was established. Members absent: Miranda Howe, Priscilla Ornelas, Peggy Krantz Staff present: Laurie Rufe, Interim Director; Olga McGuire, Membership/Events Coordinator. Guests present: Cindy Torrez, RMAC Foundation, Larry Connolly-Citizen, Bethany Freudenthal- Roswell Daily Record reporter. APPROVAL OF AGENDA Member Berrones, motioned to approve the agenda as presented. Member Velasquez, was the second. A voice vote was unanimous and the motion passed. APPROVAL OF MINUTES November 16, 2015 Meeting Member Mitteer, motioned to approve the minutes of the November 16, 2015 meeting. Member Velasquez was the second. A voice vote was unanimous and the motion passed. NEW BUSINESS – Discussion RMAC EDUCATION PROGRAM REVIEW Interim Director Lauie Rufe provided an overview of the Museum’s education programs as a result of member Schumacher’s request at the November meeting. Ms. Rufe provided a handout listing the Museum’s programs and discussed each. The handout provided information on the Museum’s educational philosophy, docent tours, custom-designed tours, self-guided tours, outreach, curriculum alignment, the Second Saturday program, studio art classes, International Film Series, lectures, the Robert H. Goddard Planetarium, and the Art Block and Chalk Art Festival. Board Members also were provided with Roswell Museum and Art Center’s newly revised Organizational Chart, Economic Impact Statement, and the History of the Roswell Museum and Art Center. Member Nanette Schumacher had originally suggested inviting representatives from the Creative Learning Center to join us for the January meeting to talk about how RMAC can collaborate. Interim Director Rufe stated it would be good to invite someone from the Creative Learning Center to open up communication. Member Schumacher said she would invite Cindy Simmons and Dietta Hitchcock. CHAIR’S REMARKS Vice Chairman Siders stated he had no remarks MEMBERSHIP AND ATTENDANCE REPORTS: For the Month of November 2015 Olga McGuire, Membership Coordinator, reported that attendance for the month was recorded at 1,621 total visitors including classes, planetarium, meetings, and tours. DIRECTORS REPORT The Curator of Education Search Committee consists of Laurie Rufe, Sara Woodbury, Laureta Huit, Cindy Torrez, Aria Finch, and Jamie Barnes. The search committee has reviewed 34 applications and have narrowed the field to 5 applicants, three out of town and two from Roswell. Interviews will begin January 4, 2016. City of Roswell has hired a search firm Waters and Co. from Dallas, TX to lead the search for the new Executive Director. Board of Trustees Chairwoman Peggy Krantz is serving on the search committee. The Planetarium Coordinator search is ongoing until filled and is posted on the International Planetarium Society website. OLD BUSINESS ADJOURN Member Berrones, motioned to adjourn. APPROVAL OF MINUTES October 19, 2015 Meeting Member Schumacher motioned to approve the minutes of the October 19, 2015 meeting. Member Velasquez was the second. A voice vote was unanimous and the motion passed. NEW BUSINESS – Discussion Proposal for Strategic Planning – Laurie Rufe selected Saturday, January 23, 2016, 9:00 a.m. to 3:30 p.m. (correction made to time 2:30). This meeting is for staff and board members to review the 2013-2016 Strategic Long-range Plan and will be treated as a board meeting and posted publically. Anyone can attend. Action item: Chairwoman Peggy Krantz motioned to amend the time. Member Schumacher moved to approve the date of January 23 and time of 9:00 a.m. to 3:30 pm for the meeting. Member Berrones was the second, a voice vote was unanimous, and the motion passed. DRAFT COPY Acquisitions – Sara Woodbury, Curator of Collections and Exhibitions, advised the board of receiving a bequest of 39 works from the Marylyn T. Joyce Trust. These works are by Roderick Mead and include paintings and prints. Sara updated members on the biography of Roderick Mead and provided visual examples of the works RMAC is receiving. RMAC currently has a total of 10 works by Mead in the collection. With this request RMAC would receive over 39 new works. Sara stated she felt this acquisition would enhance the RMAC collection. Sara also provided a brief history on Marilyn Joyce who was a native of Roswell. Chairwoman Krantz, asked for a motion to accept the acquisitions. Member Bill Siders motioned to accept, member Priscilla Ornelas was the second, a voice vote was unanimous, and the motion passed. Airport Art Response: Chairwoman Krantz requested the Board’s advice regarding a written response to Mayor Kintigh following the Mayor’s request for ideas related to art exhibited at the Roswell Air Center. Chairwoman Krantz advised the Board that she had visited the airport, discussed the current Walker Air Museum displays with airport taff, and discussed major work/construction to be done in the future at the Air Center. She felt it was unsafe and not a good place for RMAC collections. Sara Woodbury, Curator of Collections and Exhibitions, and Laurie Rufe, Interim Director, concurred. Laurie Rufe, presented a draft letter response for each member to review prior to sending said letter to the Mayor. Member Berrones also requested RISD school art be mentioned in the letter. CHAIR’S REMARKS Chairwoman Krantz stated she had no remarks, but advised board members to bring up any ideas for new business. Member Nanette Schumacher asked to include a representative from the Roswell Independent School District’s Creative Learning Center at the next meeting in an effort to discuss arts programming. Next on agenda: Education Information: Ms. Rufe will provide the Board with a list of educational programs offered by the RMAC. Cindy Simmons from the CLC was suggested by member Velasquez. Chairwoman Krantz stated she would like to be advised of RMAC staff updates, knowledge of Strategic Planning, and any news about the Museum to keep board informed. Chairwoman Krantz also brought up concern of food and eating in the Museum in the lobby area. Interim Director Laurie Rufe advised the Board that no food should be at front security desk, only in the kitchen, offices, or auditorium. Sara Woodbury reminded members of a vote they had made on no food in the Museum exhibition openings and that reception food would only be served in the auditorium. Chairwoman Krantz felt that Facebook sharing, attending meetings and RMAC events are important for all board members to participate in. MEMBERSHIP AND ATTENDANCE REPORTS: For the Month of October, 2015 Olga McGuire, Membership Coordinator, reported that attendance for the month was recorded at 5,478 total visitors including classes, planetarium, meetings, and tours, with a comparison of 2014. A letter composed by Interim Director, Laurie Rufe, will be mailed to past members who have not renewed. DRAFT COPY DIRECTORS REPORT Laurie Rufe, stated that applications for a new Curator of Education will close on November 30. She has established a committee to include Sara Woodbury, Curator of Collections and Exhibitions; Laureta Huit, Registrar; Aria Finch, Ceramics Manager; board member Jamie Barnes; and Cindy Torrez, RMACF Executive Director. Ms. Rufe reported on the Planetarium Coordinator’s position which remains open until filled. Interim Director Rufe commended Bill Siders for filling in at Planetarium events. Member Rey Berrrones suggested advertising in Mayhill since it is a star studying town. Interim Director Rufe reported on next events, December film, Tora, Tora, Tora, December 11, coinciding with the Howard Cook exhibition, and the Holiday Open House, December 12, 2015. OLD BUSINESS Airport discussion ADJOURN Member Berrones, motioned to adjourn. Member Shumacher, was the second. A voice vote was unanimous and the motion passed. Staff Curator of Education Search: We have narrowed the thirty-four applications down to five and will begin the interview process the first week of January. The search committee is compiled of: Laurie Rufe, Sara Woodbury, Laureta Huit, Cindy Torrez, Aria Finch, and Jamie Barnes. Executive Director Search: The search firm of Waters & Company has been retained by the City of Roswell to conduct the search for a new director. Their representative, Chuck Anderson, met with search team members on December 10. Information was provided to Mr. Anderson regarding the Museum and our expectations for a new director including experience and profile. Mr. Anderson met with Jonathan Phillips, Laurie Rufe, Sara Woodbury, Laureta Huit, Cindy Torrez, Kendra Price, and Peggy Krantz. Waters & Company are putting together a brochure, profile, and targets for advertising the position. The position opening will be announced the first week of January. Planetarium Coordinator Search: This position is still open until filled. Recently, the job announcement was placed on the website of the International Planetarium Society. Former Planetarium Manager, Jim Waldrip, was honored in the Goddard Planetarium at a December 16 event presented by the RISD to honor Jim for his service on the School Board and as an astronomy and science educator. 2. Program/Events Updates Holiday Open House: 191 people attended the Holiday Open House on December 12 which featured holiday refreshments, a film presentation on New Mexico film by Jeff Berg, a recital by Mike Lively Piano Studio students, Roswell Flute Ensemble, two Planetarium programs by Bill Siders, Museum Store discounts, and book signings. Museum staff and volunteers made the evening very successful. The Cancer Society and All Saints School decorated our 2015 “Tree of Hope” which is a Christmas tradition at the RMAC. 3. Collection News Our WPA–era tin chandelier, among three chandeliers hanging in the Founders Gallery, has returned after a 1 ½ year repair project by B.C. Designs in Albuquerque.
