Printed and posted: 01 / 14 /16  DRAFT COPY MINUTES OF THE BOARD OF TRUSTEES Monday, December 21, 2016 REGULAR MEETING AT 4:00 p.m. CALL TO ORDER The regular meeting of the Board of Trustees was called to order by Vice Chairman Bill Siders at 4:00 p.m. ROLL CALL The regular meeting of the Board of Trustees convened with members Jamie Barnes, Rey Berrones, Donovan Fulkerson, Bill Siders, Nanette Schumacher, and DeAngela Velasquez, Lorie Mitteer being present. A quorum was established. Members absent: Miranda Howe, Priscilla Ornelas, Peggy Krantz Staff present: Laurie Rufe, Interim Director; Olga McGuire, Membership/Events Coordinator. Guests present: Cindy Torrez, RMAC Foundation, Larry Connolly-Citizen, Bethany Freudenthal- Roswell Daily Record reporter. APPROVAL OF AGENDA Member Berrones, motioned to approve the agenda as presented. Member Velasquez, was the second. A voice vote was unanimous and the motion passed. APPROVAL OF MINUTES November 16, 2015 Meeting Member Mitteer, motioned to approve the minutes of the November 16, 2015 meeting. Member Velasquez was the second. A voice vote was unanimous and the motion passed. NEW BUSINESS – Discussion RMAC EDUCATION PROGRAM REVIEW Interim Director Lauie Rufe provided an overview of the Museum’s education programs as a result of member Schumacher’s request at the November meeting. Ms. Rufe provided a handout listing the Museum’s programs and discussed each. The handout provided information on the Museum’s educational philosophy, docent tours, custom-designed tours, self-guided tours, outreach, curriculum alignment, the Second Saturday program, studio art classes, International Film Series, lectures, the Robert H. Goddard Planetarium, and the Art Block and Chalk Art Festival. Board newly revised Organizational Chart, Economic Impact Statement, and the History of the Roswell Museum and Art Center. Member Nanette Schumacher had originally suggested inviting representatives from the Creative Learning Center to join us for the January meeting to talk about how RMAC can collaborate. Interim Director Rufe stated it would be good to invite someone from the Creative Learning Center to open up communication. Member Schumacher said she would invite Cindy Simmons and Dietta Hitchcock. CHAIR’S REMARKS Vice Chairman Siders stated he had no remarks MEMBERSHIP AND ATTENDANCE REPORTS: For the Month of November 2015 Olga McGuire, Membership Coordinator, reported that attendance for the month was recorded at 1,621 total visitors including classes, planetarium, meetings, and tours. DIRECTORS REPORT The Curator of Education Search Committee consists of Laurie Rufe, Sara Woodbury, Laureta Huit, Cindy Torrez, Aria Finch, and Jamie Barnes. The search committee has reviewed 34 applications and have narrowed the field to 5 applicants, three out of town and two from Roswell. Interviews will begin January 4, 2016. City of Roswell has hired a search firm Waters and Co. from Dallas, TX to lead the search for the new Executive Director. Board of Trustees Chairwoman Peggy Krantz is serving on the search committee. The Planetarium Coordinator search is ongoing until filled and is posted on the International Planetarium Society website. OLD BUSINESS ADJOURN Member Berrones, motioned to adjourn. Staff Curator of Education Search: We have narrowed the thirty-four applications down to six and have begun the interview process. The search committee is comprised of: Laurie Rufe, Sara Woodbury, Laureta Huit, Cindy Torrez, Aria Finch, and Jamie Barnes. To date, we have conducted on-site and Skype interviews. The three top applicants have been asked to complete an exercise that will evaluate their creativity in developing education programs, and their writing abilities. Executive Director Search: The position has been posted on the City’s website and should be posted on the Waters & Company website soon. We have been assisting their representative, Chuck Anderson, create a brochure for dissemination to interested individuals and organizations. 2. Blizzard Due to the blizzard, the Museum was closed Sunday December 27 through Thursday, December 31. The Museum reopened on Saturday, January 2. Security Officer Michelle Coombes and Interim Director Laurie Rufe were the only staff that could make it in on Thursday, December 31 to assess any leaking or damage. We found a leak on the ground level of the Horgan Gallery, a leak in the staff kitchen that will force us to replace the floor covering, and a leak in the Shipping and Receiving ceiling Otherwise, the Museum was in good shape. The City removed snow from the parking lot and bridge. Since the melting conmmenced, there have been a number of leaks from the roof/parapets that will most likely continue until all snow is melted from the roof. 3. Strategic Planning Reminder that we have a review of the Strategic Long-range Plan (2013-2016) scheduled for Saturday, January 23. This is a meeting that will be scheduled as a regular board meeting and will include staff, Board of Trustees, and Foundation, as well as any interested members of the public. Agenda includes: 9:15-10:00 – docent tour 10:00 – noon and 1-3 will include: Strengths and Weaknesses interactive session Director’s Remarks – status report on 2013-2016 strategic plan Further discussion on unmet objectives and revisions to plan Identify top five strategic priorities for the year 2016 Lunch will be served 12 noon to 1 pm – please RSVP to attend the meeting and the lunch so we have numbers The Roswell Museum and Art Center Foundation was founded in 1987 to promote and support the Roswell Museum and Art Center, its education programs, and its operation and maintenance. Since 1987, the Foundation’s goal has been to support the Museum by providing financial resources to develop programs that inspire learning and creative exchange. Acquisitions, Conservation, and Collections Care  Acquisitions Funding: Art and artifact purchases for the collection. One of the most recent being the commissioning of artist Kim Wiggins work Cattle Kings of the Pecos in recognition of the RMAC 75th anniversary, $75,000.  Art Conservation Support: Conservation assessments and treatments to preserve the collection. In October 2004 funded the restoration of the Peter Hurd Dry River painting, $12,000. Capital Projects  Patricia Lubben Bassett Art Education Center: The Foundation raised $1.1 million in bricks and mortar funding to build this state-of-the-art education facility in 1998.  Architectural Services: The Foundation underwrote completion of a site plan to renovate the Museum’s outdoor patio in 2004.  Storage Vault Renovation: The Foundation sponsored the addition of a mezzanine to expand collections storage capabilities in 2005.   West of Beyond: The Rogers and Mary Ellen Aston Collection of the American West: The Foundation provided supplemental funding for this $676,000 renovation and reinstallation project in 2006.  Museum Security Upgrades: The Foundation joined with the City of Roswell to upgrade the museum’s CCTV security system in 2007.  Courtyard renovation and expansion: The Foundation again partnered with the City of Roswell to complete the courtyard renovation and expansion in accordance with the site plans draw up in 2004. The project was completed in 2009 for a total cost of $370,000. Community Outreach and Program Development  Scholarships and Fellowships: Studio art class tuition for at risk youth, and visual arts training for adults through the Lorene Johnson Gratton Fellowship Program.  Sensational Sundays: Free opportunities for musical entertainment and arts literacy programming designed for the entire family.  Film Series: Classic to modern avant-garde films that link our community to the world.  Lectures: Scholarly lectures that provide greater context about our unique place in the Southwest.  Exhibitions: Underwriting for traveling exhibitions, opening receptions, artist talks, and exhibition catalogs.  Website Re-development: providing new, effective ways for the museum to reach and serve its global audience.  Second Saturday Art Classes: A two hour class that begins with thirty minutes in the gallery and an hour and thirty minutes in the classroom doing a hands-on art activity. The class is designed for third grade and up and runs from January to October.  Art Block Party: An annual outdoor event running from 10 am to 4 pm with hands-on art activities, crazy hair, and chalk art competition. Staff Support  Intern Program: Over a three-year period through the generosity of Donald and Sally Anderson, the Foundation administered a program that provided nine-month internships to entry-level museum professionals. The Foundation has since worked with Highlands University to bring interns to the Museum for special projects.  Professional Development: Funding for staff training and development.  Recruitment of Staff: The Foundation provides travel expense to bring candidates in for interviews and additional funding for relocation expense.
