MINUTES OF THE BOARD OF TRUSTEES Monday April 18, 2016 Regular Meeting at 4:00 p.m. CALL TO ORDER The regular meeting of the Board of Trustees was called to order by Chairwoman Krantz at 4:02 p.m. ROLL CALL The regular meeting of the Board of Trustees convened with members Peggy Krantz, Rey Berrones, DeAngela Velasquez, Bill Siders, Donovan Fulkerson, Lorie Mitteer being present. A quorum was established. Members absent: Priscilla Ornelas, Jessica Parham, Jamie Barnes Staff present: Laurie Rufe, Interim Director; Sara Woodbury, Curator of Collections and Exhibitions; and Cindy Torrez, Executive Director, RMAC Foundation. Tabitha D. Denney, City Councilor for Ward 5, was present as City liaison. Guests present: none APPROVAL OF AGENDA Member Siders motioned to approve the agenda as presented. Member Berrones seconded. A voice vote was unanimous and the motion passed. APPROVAL OF MINUTES Member Velasquez motioned to approve the minutes of the March 21, 2016 Board of Trustees meeting. Member Siders seconded. A voice vote was unanimous and the motion passed. NEW BUSINESS Acquisition ― Action Item Discussion and Vote Acquisition to the RMAC Collection: Acquisition proposal of prints from collection of Warren McKelvy was presented as an action item by Sara Woodbury, Curator of Collections and Exhibitions. McKelvy, a retired physician and longtime Roswell resident, offered to donate several prints by Mexican and Native American artists to the RMAC. The majority of the works consist of lithographs by Francisco Zúñiga (1912-1998), as well as two pieces by Rufino Tamayo (1899-1991), and prints by Fritz Scholder (1937-2005) and R.C. Gorman (1931-2005). Ms. Woodbury shared her opinion of how the prints would expand and diversify the Museum’s present holdings of Mexican prints, which currently consists primarily of works by José Guadalupe Posada (1852- 1913). She also stated that the donation would underscore not only the ongoing importance of art- collecting within the Roswell community, but also the close relationship between the Museum collection and the philanthropy of area residents. COMMITTEE VOTE: Member Fulkerson motioned to accept donation of the prints. Member Berrones seconded. A voice vote was unanimous and the motion passed. CHAIR’S REMARKS Chairwoman Peggy Krantz remarked on the ongoing interview process for the Executive Director, stating that Skype interviews had been completed and on-site visits would occur next. She also emphasized the importance of Trustee attendance and involvement at Museum-related events, particularly the RMAC Foundation’s Kentucky Derby fundraiser taking place on May 7. MEMBERSHIP AND ATTENDANCE REPORTS: For the month of March 2016, interim director Laurie Rufe reported that attendance for the month was recorded at 2713 total visitors including classes, Planetarium, meetings, and tours. Membership renewals and new members’ figures were presented 690 active members, 4 new members for month of March. Membership dues amounted to $9,192, with $6,975 paid. April renewals had been sent out and will be processed. Ms. Rufe remarked that more greeters and docents are needed, and encouraged Board members to solicit potential volunteers. Curator of Education Amanda Nicholson told the Board that she was revising the current docent description and training process. DIRECTORS REPORT Interim Director Laurie Rufe provided a report on updated status of the Curator of Education, Executive Director, and Planetarium and Program and Events information. She discussed grant opportunities for the digitization for the Planetarium, and the upcoming Peter Hurd and Henriette Wyeth retrospective. Ms. Rufe also reviewed recent current staff changes, including Olga McGuire’s resignation as Membership and Event Coordinator, Charles Bentley’s retirement as store manager, effective April 29, and the departure of two security guards. Interviews are scheduled for Ms. McGuire’s position, and Mr. Bentley may be contracted to assist with the annual inventory. Job postings have been listed for the security positions. Foundation Report Ms. Torrez provided the Board members with Roswell Museum and Art Center Foundation Executive Director’s Report, including Financial Status, Grants, Fundraising, and Programming/Projects. She discussed the upcoming Kentucky Derby event, scheduled for Saturday, May 7. She also mentioned the Foundation’s interest in updating the Planetarium while underscoring the importance of researching all options for refreshing its equipment effectively. ADJOURN Member Mitteer motioned to adjourn. Member Siders seconded. A voice vote was unanimous and the motion passed. APPROVAL OF MINUTES February 16, 2016 Board of Trustees Meeting Member Parham motioned to approve the minutes of the February 16 meeting. Member Siders was the second. A voice vote was unanimous and the motion passed. NEW BUSINESS Acquisition ― Action Item Discussion and Vote Loan and acquisitions to the RMAC Collection: 1. Acquisition of 30 photographs by Robert Christensen was presented as an action item by Sara Woodbury, Curator of Collections and Exhibitions. Ms. Woodbury advised board members that Robert Christensen, the photographer of New Mexico Vernacular has offered to donate all the works currently on view in the Spring River Gallery. Ms. Woodbury advised members photographs are already prepared for storage, with custom cut acid-free archival mats. Ms. Woodbury shared her opinion of how the photographs, involving cultural landscapes would be an appropriate acquisition to the museum collection. She also stated it would be an opportunity for the photographer to share his own legacy, and his work being in level of accredited museum such as Roswell Museum and Art Center. Ms. Woodbury will be working on a press release for this acquisition. Exhibit Loan Request ― Action Item 2. Second Action Item: Loan request for The Carved Line: Block Prints and New Mexico. Albuquerque Museum would like to borrow some RMAC pieces to be featured in exhibit catalogue and exhibition. The exhibition is being curated by Josie Lopez, guest curator for the Albuquerque Museum, who visited the Museum prior to the BoT meeting. Ms. Woodbury circulated two letters for Board members to review, the letter of loan request, and a second letter Ms. Lopez sent after after her visit adding more prints to the original checklist. Ms. Woodbury felt it would be an opportunity for the Roswell Museum and Art center to get works presented to public in the accredited Alb. Museum. Transportation would be suggested and discussed for the Alb. Museum to transport. 3. Third Action Item: Loan request for 20 Howard Cook / WWII paintings to the Artesia Historical Museum and Art Center for a month during Veterans month. Ms. Woodbury stated she felt comfortable with the new building and lighting for these paintings. Ms. Woodbury suggesting it would be a great opportunity for the Artist and RMAC in lending to a neighboring institution to honor Veterans. COMMITTEE VOTE: 1. Member Fulkerson motioned to accept donation of the 30 photographs by Robert Christensen Member Barnes was the second. A voice vote was unanimous and the motion passed 2. Member Ornelas motioned to accept the loan request for The Carved Line: Block Prints and New Mexico to the Albuquerque Museum. Member Parham was the second. A voice vote was unanimous and the motion passed and signature obtained by all members. 3. Member Velasquez motioned to accept the loan request for The 20 Howard Cook/ WWII paintings to Artesia Historical Museum and Art Center. Member Parham was the second. A voice vote was unanimous and the motion passed and signature obtained by all members. CHAIR’S REMARKS Chairwoman Peggy Krantz remarked on the great selections of the Director interviews, stating she felt honored to be a part of the interview panel. MEMBERSHIP AND ATTENDANCE REPORTS: For the Month of February 2016 Olga McGuire, Membership Coordinator, reported that attendance for the month was recorded at 2324 total visitors including classes, Planetarium sessions, meetings, and tours. Membership renewals and new members’ figures were presented 686 active members, 2 new members for month of February and upcoming April 8, 2016 volunteer Appreciation Luncheon event. DRAFT COPY DIRECTORS REPORT Interim Director Laurie Rufe provided a report on updated status of the Curator of Education, Executive Director, and Planetarium and Program and Events information. OLD BUSINESS Member Fulkerson shared his introduction of a new film festival to the community to begin in May 19- 21, 2016, showcasing for 3-4 days involving independent national film makers at the Galaxy 8 movie theater. Member Fulkerson stated he has visited with Sara Woodbury, Curator of Exhibitions in regards to adding Arts of film exhibit at RMAC in 2017. Members Fulkerson plans to incorporate the City personnel to help with this event and invited any member to participate. Foundation Report Ms. Torrez provided the Board members with Roswell Museum and Art Center Foundation Executive Director’s Report, including Financial Status, Grants, Fundraising, and Programming/Projects ADJOURN Member Parham motioned to adjourn. A local non-profit is on board to work on the campaign with the Foundation. Fundraising 2016 Kentucky Derby Fundraising Event, May 7, 2016 Event begins 2:30 Post time 4:24 – Prizes awarded, Silent auction closes and final raffle tickets drawn after the race. 200 tickets will be sold for $100 each. The ticket will admit two to the event and one entry into the raffle, last ticket drawn wins cash prize. Prizes: $2,500 Cash $500 gift certificate – J & L Jewelers Car Detail (value $200) – Desert Sun Motors Wine/Paint Party for up to 20 people – Peggy Krantz Art & Main Street Arts Club table and chairs – All About Spas * Additional prizes are pending confirmation Programming/Projects The RMAC Foundation will be looking at the possible funding of a 2018 Exhibition, Magical & Real: Henriette Wyeth & Peter Hurd A Retrospective. The exhibition is co-curated by Kirsten M. Jensen, the Michener’s Gerry & Marguerite Lenfest Chief Curator, and Sara Woodbury, Curator of Collections and Exhibitions at RMAC. This is a 70 piece exhibition, with 20 RMAC works and an approximate RMAC participation fee of $50,000.
