Printed and posted: November 16, 2018 ROSWELL MUSEUM AND ART CENTER  MINUTES OF THE BOARD OF TRUSTEES Monday, October 15, 2018 DRAFT DOCUMENT REGULAR MEETING AT 4:00 p.m. CALL TO ORDER Bill Siders called the regular meeting of the Board of Trustees to order at 4:02 p.m. ROLL CALL The regular meeting of the Board of Trustees convened with members Donovan Fulkerson, Priscilla Ornelas, Nanette Schumacher, Bill Siders, Jessica Parham, Jamie Barnes, and De Angela Velasquez being present. A quorum was established with chair Cymantha Liakos, and members Anne Baker, Peggy Krantz, and Lorrina Segovia being absent. Staff present: Caroline Brooks; Executive Director, Aubrey Hobart; Curator of Collection and Exhibitions, Wendy Cook; Interim Communications and Events Coordinator, and Cindy Torrez; Executive Director, RMAC Foundation. Community members present: Lisa Dunlap; Reporter with Roswell Daily Record. C. APPROVAL OF AGENDA Member Parham motioned to approve the agenda. Member Schumacher seconded. A voice vote was unanimous, and the motion passed, with members Liakos, Baker, Krantz, and Segovia being absent. D. APPROVAL OF MINUTES Member Parham motioned to approve the minutes for the September 24, 2018 board meeting. Member Schumacher seconded. A voice vote was unanimous, and the motion passed, with members Liakos, Baker, Krantz, and Segovia being absent. E. DISCUSS AND CONSIDER DONATION APPROVAL OF PETER ROGERS’ PAINTING “THE PROPOSAL” BY ERIC ENFIELD Director Brooks presented discussion. Eric Enfield had offered to donate Peter Rogers’ Painting “The Proposal” to the museum, however since posting of agenda, Mr. Enfield has removed the offer. Member Parham motioned to not consider due to donor’s wishes to remove the offer. Member Fulkerson seconded. A voice vote was unanimous to not consider due to donor’s wishes to remove the offer. The motion passed, with members Liakos, Baker, Krantz, and Segovia being absent. F. INTRODUCTION – CURATOR OF COLLECION AND EXHIBITS; AUBREY HOBART New Curator of Collection and Exhibitions, Aubrey Hobart introduced herself. She has been in Roswell for three days now and comes to us from Santa Cruz, California. G. INTRODUCTION – INTERIM COMMUNICATONS AND EVENTS COORDINATOR; WENDY COOK Wendy Cook has stepped in as a temp through itsQuest to support communications and events efforts. G. UPDATE – MEMBERSHIP/VISITATION REPORT Director Brooks presented the membership and visitation report. Attendance numbers have been higher due to attendance at City Council meetings. She shared that the museum would no longer be hosting the City Council meetings once the Convention Center renovations are complete. She noted that a new dais is being built for the City Council and the current dais would be moved out of the museum. Director Brooks expressed the goal to see museum membership up to 500 and envisions a campaign for this effort in 2019 to be organized by the new Communications and Events Coordinator once that person is hired. H. DIRECTOR’S REPORT 1. Roswell Science and Art Festival The Roswell Science and Art Festival took place on Saturday, October 13 from 10-4 pm at the Museum and on 11th. Twenty-six educational and science-affiliated groups participated and there were more than 2,000 visitors. Headliner Kate “the Chemist” Biberdorf was a huge hit with an audience of approximately 400 people. The aim of the event was to engage our community in art and science and to inspire the next generation of creative thinkers. Funding was provided by Xcel Energy and the Alfred P. Sloan Foundation with fiscal management by the RMAC Foundation. Pre-festival outreach was held with 280 students at four area middle schools: Sierra, Mesa, Sydney Gutierrez and Berrendo. The students built Rube Goldberg Machines that were then put on display during field trips to the museum the week of the festival. During the field trips, Goddard High School students and museum staff also led baking soda rocket launches with the kids. The Media Arts program at ENMU-Roswell filmed the event and will be assembling a compilation video for future promotion. Goddard High School students and AirPlay Media (via drone) also documented the event. 2. Staffing Jim Wheeler has been hired as the new Museum Preparator. He holds a PhD from Harvard University in science and has extensive wood-working experience. We are in the process of hiring an additional Guest Services Associate and a Communications and Events Coordinator. 3. Relighting Project Xcel Energy will be starting the relighting project at the museum this week. They are providing approximately $145,000 towards the project with a remaining $95,000 being provided by the City through a utility franchise fee fund. The project will take approximately six weeks to complete. Current fixtures will be completely replaced or retrofitted depending on the age of the fixture. The project will improve the overall quality of lighting, lower electricity costs and increase the ease of adjusting lights in galleries. I. RMAC FOUNDATION REPORT Executive Director Torrez explained the Foundation’s annual appeal letter is printed and the board will be meeting tomorrow to write personal notes as appropriate. Once complete, the appeal letter will be mailed prior to the end of the month. Plans are in discussion for a February or spring fundraising event, the board is considering another mystery at the museum night. Director Torrez suggested another goal of 200 tickets sold. Director Brooks will look at the exhibition schedule with Curator Hobart to coordinate the best date for the fundraiser. P. CHAIR’S REMARKS AND BOARD ANNOUNCMENTS None Q. PUBLIC COMMENT None R.
