CALL TO ORDER President Cymantha Liakos called the meeting of the Board of Trustees to order at 3:00 p.m. B. ROLL CALL The meeting of the Board of Trustees convened with members Jamie Barnes, Valli West, Cymantha Liakos, Bill Siders, Lorrina Segovia, Anne Baker and Priscilla Ornelas being present via GoTo Meeting. A quorum was established with members Peggy Krantz, Donovan Fulkerson, Jessica Parham and Kay Cargill Jenkins being absent. APPROVAL OF February 24, 2020 MINUTES Member West motioned to approve the minutes for the February 27, 2020, board meeting. Member Siders seconded. A voice vote was unanimous, and the motion passed members Krantz, Fulkerson, Parham and Jenkins being absent. F. Loan request of Georgia O'Keeffe work Discussed at the February 24th BOT meeting. Curator of Collections and Exhibitions Aubrey Hobart shared a request made by the San Diego Museum of Art to loan our Georgia O’Keeffe work for a US/Canada touring exhibition. It is the recommendation of the collections working group to decline the request. Member West motioned to decline the request. Member Siders seconded. A voice vote was unanimous, and the motion passed with members Krantz, Fulkerson, Parham and Jenkins being absent. G. Discuss and consider Carlos Hall donation Discussed at the February 24th BOT meeting. Curator of Collections and Exhibitions Aubrey Hobart shared that a Carlos Hall work has been offered to RMAC by New Mexico Military Institute. Carlos Hall was a Clovis native and NMMI graduate. The NMMI Museum was gifted one of his works and has offered it to RMAC. It is the recommendation of the collections working group to decline the offer as it is not one of Hall’s strongest works. Member West motioned to decline the request. Member Segovia seconded. A voice vote was unanimous, and the motion passed with members Krantz, Fulkerson, Parham and Jenkins being absent. H. Discuss and consider Rachel Stevens donations Discussed at the February 24th BOT meeting. Curator of Collections and Exhibitions Aubrey Hobart shared that New Mexico State University sculpture professor has offered three of her works to RMAC. One being titled Jacob’s Ladder, a 16’ outdoor sculpture and two indoor sculptures. It is the recommendation of the collections working group that RMAC accept the donation of Jacob’s Ladder for the Museum patio sculpture garden. Member West motioned to accept the donation. Member Siders seconded. A voice vote was unanimous, and the motion passed with members Krantz, Fulkerson, Parham and Jenkins being absent. I. Discuss and consider Howard Cook donations Discussed at the February 24th BOT meeting. Curator of Collections and Exhibitions Aubrey Hobart shared that a private collection of 50 Howard Cook prints have been offered as a donation to RMAC. A few of the prints are duplicates within the donation and a few are duplicates within our collection. It is the recommendation of the collections working group that RMAC accept all 50 Howard Cook prints with the understanding duplicates may be sold to benefit the collection. Member West motioned to accept the donation. Member Siders seconded. A voice vote was unanimous, and the motion passed with members Krantz, Fulkerson, Parham and Jenkins being absent. J. Discuss and consider Barbara Latham donations Discussed at the February 24th BOT meeting. Curator of Collections and Exhibitions Aubrey Hobart shared that a private collection of 30 Barbara Latham prints have been offered as a donation to RMAC. A few of the prints are duplicates within the donation and a few are duplicates within our collection. It is the recommendation of the collections working group that RMAC accept all 30 Barbara Latham prints with the understanding duplicates may be sold to benefit the collection. Member West motioned to accept the donation. Member Segovia seconded. A voice vote was unanimous, and the motion passed with members Krantz, Fulkerson, Parham and Jenkins being absent. K. Discuss and consider potential purchase of Peter Rogers’ works Discussed at the February 24th BOT meeting. Curator of Collections and Exhibitions Aubrey Hobart shared that two works from Peter Rogers’ Quest series have been offered for purchase to RMAC. While it was the recommendation of the collections working group in February that RMAC purchase the Rogers’ works through the RMAC Foundation, due to current financial concerns, it is now recommended that the purchase be declined. Member West motioned to decline the request. Member Siders seconded. A voice vote was unanimous, and the motion passed with members Krantz, Fulkerson, Parham and Jenkins being absent. L. Discuss and consider digital files of Axle Contemporary as well as one print Discussed at the February 24th BOT meeting. Curator of Collections and Exhibitions Aubrey Hobart shared that the artists of the Axle Contemporary exhibition have offered to sell a digital file of the exhibition and one print to RMAC. While it was the recommendation of the collections working group in February that RMAC purchase the digital file through the RMAC Foundation, due to current financial concerns, it is now recommend that the purchase be declined. Member West motioned to decline the request. Member Siders seconded. A voice vote was unanimous, and the motion passed with members Krantz, Fulkerson, Parham and Jenkins being absent. M. BOARD TERM VOTE Discussed at the February 24th BOT meeting. Director Brooks shared that Board President Cymantha Liakos membership would be expiring. President Liakos has completed the application process to continue on to a new term. Member West motioned to approve President Liakos’ second term. Member Baker seconded. A voice vote was unanimous, and the motion passed with members Krantz, Fulkerson, Parham and Jenkins being absent. N. Board Nominations and Vote for Chair and Vice Chair Yearly voting for the positons of Board Chair and Vice Chair were to take place at the March BOT meeting. As that meeting as well as April and May meetings were canceled due to the COVID 19 pandemic, voting was postponed to June. Cymantha Liakos agreed to continue as Board Chair and Bill Siders agreed to continue as Vice Chair with no other board members expressing interest in the roles. Member West motioned to approve Cymantha Liakos for another term as board president. Member Baker seconded. A voice vote was unanimous, and the motion passed with members Krantz, Fulkerson, Parham and Jenkins being absent. Member Baker motioned to approve Bill Siders for another term as board vice chair. Member West seconded. A voice vote was unanimous, and the motion passed with members Krantz, Fulkerson, Parham and Jenkins being absent. O. Sunday Closure. Moved to discussion. P. Discuss and consider approval of admission fees Director Brooks presented a BOT action request document to discuss and consider approval of Museum admission rates. A potential admission charge has been discussed for several years and the Museum wants to be proactive in the process of finding the right price-fit for the Roswell community. Director Brooks explained that a decision did not have to be made at this meeting and could wait until the July BOT meeting as the proposal will not go before the city General Services Committee until the end of July. FOR THE RECORD: Councilor Barry Foster joined the meeting at 3:27 p.m. via GoTo Meeting. FOR THE RECORD: Member Jessica Parham joined the meeting at 3:34 p.m. via GoTo Meeting. Members discussed multiple price options and several expressed concerns that local attendance would dramatically drop with implementation of an admission fee. No action was taken on this item. Q. Discuss composition and consider approval of reopening of membership working group Director Brooks requested the reopening of the membership working group to begin making plans for a fall membership drive. Members Liakos, Baker, Barnes and Siders volunteered for the working group. Director Brooks will also reach out to a few community members to join for input. Member West motioned to approve reopening of the membership working group. Member Baker seconded. A voice vote was unanimous, and the motion passed with members Krantz, Fulkerson and Jenkins being absent. DISCUSSION ONLY O. Sunday Closure Director Brooks shared that the city plans to eliminate the Museum’s Sunday operating hours once the Museum is re-opened to the public. She explained that due to the loss of staff during the COVID 19 crisis, the Museum could no longer staff Sunday hours. Update on Cedra Wood purchase Curator Hobart shared that due to the financial downturn, the Museum staff has recommended that the Foundation not go through with the purchase of works from RAiR Artist Cedra Wood. S. DIRECTORS REPORT: See attached T. RMAC FOUNDATION REPORT RMAC Foundation Director Torrez shared that the Foundation fully support RMAC and members of the Foundation had recently met with the City Manager and City Councilors Barry Foster and Jason Perry to discuss how they may all work together for the success of the Museum. She also shared that while the Foundation Board does not typically meet in the summer, they have been meeting virtually and will be looking for new board members to replace expiring terms. Director Torrez shared that the Foundation Finance Committee is working to review Director Brooks proposed budget for the Museum. I. CHAIR’S REMARKS AND BOARD ANNOUNCEMENTS None J. ADJOURN The meeting adjourned at 4:50 p.m.  CITY OF ROSWELL Museum Board of Trustees Monday, July 20, 2020 at 4 p.m. BOT ACTION REQUESTED: Discussion and Consider Approval of Museum Admissions Rates BACKGROUND: Initiated by: Caroline Brooks Since its opening in 1937, the Roswell Museum has not charged admission in order to ensure accessibility. In recent years, charging admission has been in discussion and was being tabled for official consideration until the status of a potential renovation was determined that would move the museum store to the front and reorient the lobby (a design that would be more conducive for charging admissions). In light of the economic downturn, the proposal to charge admissions is being brought before the Museum Board of Trustees and City Council for consideration despite the renovation not being able to take place at this time. STAFF PROPOSAL: Proposed categories for discussion: • Adult (16 and up): $10 • Students (age 16+), Seniors (60+), Active Military and Veterans: $7 • Combined Adult rate for Museum and Planetarium: $12 • Groups of 10 or more: $8 per person with reservation • $2 discount on Museum fee on rack cards or for UFO Museum visitors (with sticker, receipt) • Free: o Children 15 and under o Museum Members and NARM and AAM Members o School Groups, including chaperones (with reservation) o Second Saturday of the month for Roswell Residents with ID o Seniors (60+) every Wednesday o Special events, which may include sponsored festivals, family nights or exhibit receptions in which providing free access would be of benefit for the community and success of the event.
