ROSWELL PUBLIC LIBRARY BOARD OF TRUSTEES MEETING 4:00 p.m. October 24, 2013 Bondurant Room MEMBERS PRESENT: Marna Hunt, Patti Bristol, Linda Madrid, Magil Duran, and Judy Armstrong MEMBERS ABSENT: Elizabeth Shamas and Edward David OTHERS PRESENT: Betty Long, Library Director, Stacye Hunter, Assistant City Manager, Jared Kallunki, representing the City Attorney’s office, and Kay Carrasco, Recording Secretary. CALL TO ORDER: Marna Hunt, President, called the meeting to order at 4:00 p.m. Members present were noted, proper quorum was met. MINUTES: President Hunt asked if there were any corrections or additions to the minutes of the previous meeting; there were none. Linda Madrid moved to approve the September 26, 2013 minutes as presented, Magil Duran seconded, and the motion passed. DIRECTOR’S REPORT: In addition to her written report Betty Long, Library Director, gave an update on the bid for building repairs, which came in about $10,000 higher than anticipated. The City took $2,000 from our capital equipment line and took over $5,000 from our building maintenance budget. In the meantime, the bid from Vantage Engineering had expired, but Frank Willis is checking on the status to see if the delay affected any costs. The library has ordered 14 new computers for staff and will move the old staff computers to replace some public computers. The interior painting is complete except for the book drop room. GIFT COMMITTEE REPORT: Ms. Hunt briefly reviewed the proposal from Mrs. I.J. Marshall to donate her doll collection to the library. She and Ms. Bristol visited with Mrs. Marshall, who consented to remove any restrictions on the acceptance and housing of the collection by the library. The committee members then looked through the Children’s area and determined that there simply was no space available for even a smaller display cabinet (reduced from the original proposal); the only blank wall space currently available would crowd the emergency exit and thus would not be acceptable. The committee’s recommendation was to not accept the gift, as there is not adequate display room and it could set an unwanted precedent for others who might want to leave collections to the library (with the same drawbacks of space, appropriateness, and costs). Ms. Bristol moved that recommendation and Ms. Madrid seconded that the committee send a letter of appreciation but regret that we cannot accept the gift. The motion passed. Ms. Hunt will write the letter in consultation with Ms. Long. PROPOSED GIFT BY ANONYMOUS DONOR: Ms. Long explained that a painting had been dropped off by a man who gave no name or contact information and left before the library’s donation policy could be explained to him. The painting is signed “Torres,” without any further identification. No one has been able to determine who the donor is. Mr. Duran suggested that it be stored in the library. Ms. Madrid moved that action, Mr. Duran seconded, and the motion passed.
