Draft of Minutes of Board of Trustees Meeting of April 21, 2016 Salem, Massachusetts April 21, 2016 A meeting of the Board of Trustees was held this date at 3:35 PM at the Library with Trustees Buckley, Merry, Salerno and Trustee Yale present and presiding. Trustees Little, Schild, and Mayor Driscoll were absent. Ms. Mansfield was present. Approval of minutes for meetings of February 18, 2016 and March 8, 2016 - UNANIMOUS Current Library Use and Financial reports including the Eastern Bank Quarterly Statement were distributed. Ms. Mansfield reported that the Library received the final installment of State Aid for FY16 in the amount of $32,520. Ms. Mansfield reported that the Benson painting had been returned to the Library and was reinstated on the Library’s fine arts insurance policy. The quotes that Trustee Schild provided for professional hanging of the artwork in the Reading Room were revisited. The Trustees discussed the quotes and decided to go with the lowest bid. Once the painting is installed, the Salem News will be contacted to create awareness of the public display. Ms. Mansfield reported that the work had begun on the Brownstone & Brickwork project. Folan Waterproofing and Construction, Inc. was awarded the contract and have been very responsive to the concerns of Library staff. Dust from the stone grinding was making its way into the Reading Room. Folan remedied the situation by protecting the windows and sills where the grinding was taken place with plastic film to prevent further dust from entering the building. The CPA grant for the Windows was turned in on March 18th and Ms. Mansfield reported that the committee had questions and had invited representatives from the Library to attend the next meeting. Architect Bob Farley and Ms. Mansfield planned to attend the CPA meeting on April 26th at 6:00pm. Trustee Yale discussed ongoing building concerns. He reported that the HVAC system needed significant repairs and asked that Preferred Air be contacted for estimates for each repair. He proposed that the Library’s ducts be cleaned and the Trustees agreed that the project should go ahead with the contractor providing the lowest bid. Meeting adjourned at 4:40pm.
