I. Call to Order
Meeting was called to order by Chris Frezza, Chair, at 5:30 p.m.
II. Roll Call
Members Present: Josephine Berthet, Dave Brown, Chris Frezza, June Hughes,
Stacy Ziarko
Members Absent:
III. Approval of Agenda
Motion to approve the Agenda was made by Ziarko, seconded by Berthet. Motion
carried.
IV. Approval of Minutes
Motion to approve the minutes of the meeting of January 22, 2018 was made by
Berthet, seconded by Hughes. Motion carried.
V. Communication from Citizens
Turgeon asked Board members about contributing to the City’s 50th Anniversary Time
Capsule. The Board suggested putting in a picture of the board, a library card, a copy
of the Friends’ newsletter, a copy of the bookmark contest winners, and an audiobook.
VI. Monthly Reports, Statistics, and Correspondence
A. Building-Wide Stats – FY2017 / FY2018
Board reviewed statistics. Library visits can now be compared to the previous year
because the new patron counters were installed in February 2017. Visit numbers
are lower compared to last February. Circulation is also lower compared to last FY.
Programming numbers continue to remain high as well as wireless usage. The
audio visual and ebook/eaudiobook collection numbers are also higher compared
to last FY.
B. Monthly Issues – January and February 2018
Board reviewed the monthly issues reports. The new Winter Reading program was
very successful. The scanning of old photographs is being done by a volunteer.
The photos will then be put into the Digital Archive so that patrons can view them
from anywhere with Internet access.
C. Compliment/Complaint Forms
Board reviewed compliments. Received compliments for Toddler Time program,
Shake, Rattle and Roll program, Storytime program, and Meet the Kennedys
program. Staff recognition was received for Tish Huang, Carolyn Sherrill, Laurie
Zachwieja, and for all of our friendly and welcoming staff. Board reviewed
suggestions/complaints. Patron had an issue with daughter’s library account and
having access to it. Loa spoke with patron to resolve issue. Patron asked why we
do not have current yellow pages. Debbie is investigating.
VII. Suburban Library Cooperative
Automatic renewals of materials began this month. The service will automatically
renew any items that have not reached the renewal limit and are not on hold for
anyone. The service has been well received. The Virtual Library Card program is
going well with Utica Community Schools. We are in the process of adding Warren
Consolidated Schools.
VIII. Friends of the Library
A. Bookstore Report
The bookstore sales are behind last year’s sales.
B. Friends Fundraiser
$210 was raised at the Friends’ Winetasting fundraiser. This will be an annual
event.
C. Friends Customer Appreciation Week
The Friends are having a customer appreciation week May 14 – 20 with
refreshments, sales, and the book cart in the lobby. June Hughes volunteered to
work the shift on Sunday from 1-4pm. The event is being held to bring attention to
this hidden gem of the Library and the city.

X. New Business
A. Donation from Sutherland
A donation was received from a patron for $1,000, with $200 being spent on books
and the other $800 to be spent on artwork for the wall by the Administration
staircase.
B. Circulation Policy Revision
Motion to revise the Circulation Policy was made by Brown, supported by Ziarko.
Motion carried.
C. Code of Conduct Policy Revision
Motion to revise the Code of Conduct Policy was made by Berthet, supported by
Hughes. Motion carried.
D. Study Room Use Policy Revision
Motion to revise the Study Room Use Policy was made by Brown, supported by
Ziarko. Motion carried.
E. Photograph, Videotaping, and Filming Policy Revision
Motion to revise the Photograph, Videotaping and Filming Policy was made by
Berthet, supported by Ziarko. Motion carried.
F. Self-Published Children’s Book
The Arts Commission is working with an artist and an author to publish a children’s
book to sell for the 50th anniversary, with a portion of the proceeds to go to the
Friends.
XI. Adjourn
Motion was made by Ziarko to adjourn, supported by Berthet. Motion carried. Meeting
adjourned at 6:30 p.m.
