I. Call to Order
Meeting was called to order by Chris Frezza, Chair, at 5:30 p.m.
II. Roll Call
Members Present: Josephine Berthet, Dave Brown, Shirley Cozort, Chris Frezza,
Stacy Ziarko
Members Absent: none
III. Approval of Agenda
Motion to approve the Agenda was made by Brown, seconded by Berthet. Motion
carried.
IV. Approval of Minutes
Motion to approve the minutes of the meeting of July16, 2018 was made by Cozort,
seconded by Brown. Motion carried.
V. Communication from Citizens
None
VI. Monthly Reports, Statistics, and Correspondence
A. Building-Wide Stats – FY2018 / FY2019
Board reviewed statistics. Circulation is higher this year compared to last year, in
large part due to the automatic renewals of materials. Library visits are higher this
year compared to last year. This could be a result of the increased participation in
the Summer Reading Program, our great new programs we are offering, as well as
a very successful Sterlingfest, and the Skate Park traffic. We will watch these
numbers. Our overall collection size is higher due to the increased size of our
ebook / eaudiobook collections. We have reduced our print collection size and
increased our audio visual collection size as well.
B. Monthly Issues – July and August 2018
Board reviewed the monthly issues reports. Turgeon will ask Groth about either
expanding the Local Author Book Sale to two days or charging for space as a
fundraiser for the Friends of the Library that sponsors the program. Summer
reading had an increase in participation of 8.14%. The library continues to
participate monthly in the Farmers Market. Turgeon has been conducting
presentations for the UCS teachers and students regarding the Virtual Library Card
program, digital resources, and other programs happening at the library.
C. Compliment/Complaint Forms
Board reviewed compliments. Received many compliments for the DIY Spa Kit
program, the Creative Writers Workshop, the fact that items were not due during
Sterlingfest, the Picturing Music program, the Friends’ bookstore, and our many
kids programs. Staff recognition was received for Jason Groth, Gary Johnson and
Brent Efing. Board reviewed suggestions/complaints. Suggestion was made to
adjust lighting during Trivia Night program and to have a coffee shop instead of
vending machines. Complaint was received regarding the Go-Chip service and
having to provide an email address. Turgeon is trying to determine if a library email
could be used instead for patrons in this situation. Complaint was received about
the parking situation during National Night Out. Future library programs will not be
held on this night. Complaint was received regarding the closed parking on
Wednesday before Sterlingfest. Unfortunately, the parking lot is closed
Wednesday for the artists to setup for Sterlingfest that starts Thursday morning.

VIII. Friends of the Library
A. Bookstore Report
The bookstore sales have improved since the Customer Appreciation event. The
Circulation staff is now closing out the cash register each night.
B. Sterlingfest Report
The Friends sold all 28 cases of water, even though we had some rain. The layout
and concerts were very good this year and the move of the tent to the artist area
helped. The Friends made over $2,400 during the three day period with water,
book and bags sales as well as donations.

X. New Business
A. Circulation Policy – Library Card Renewal Discussion
Board discussed the need to have a physical library card present to renew their
library card. Board indicated that they wanted to make the process as easy as
possible. There is a cooperative-wide policy that the patron must renew their card
every three years and have picture ID proof that they still live in the community. A
reminder email or text is sent to patrons 30 days and 14 days before the card
expires. Many patrons use an app on their phone to keep their library card number.
It was agreed that the physical library card is not needed to renew the patron’s
account. However, patrons should be reminded that each library has its own
policies and the patron may need their physical card to borrow materials from other
libraries.
B. Building / Capital / Services Discussion
Board discussed building improvements that will be happening over the next few
years. New carpeting, paint, and furniture as well as moving things around in the
Library building will be happening. No timeline is set yet. Board suggested that the
building needs more electrical outlets, space for tutors, more study rooms and
group/collaborative spaces, storage space, furniture with plugs in the chairs/tables,
interactive and educational distractions for children by the Circulation desk, and
possibly a screen in lobby for promotion of library/city activities.

Motion was made by Berthet to adjourn, supported by Brown. Motion carried. Meeting
adjourned at 6:30 p.m.
